## **3. To approve the Minutes of the Annual General Meetng held on 12th JAN 2024** 

## **Chair:** 

The minutes have been previously reviewed by the Group Board of trustees at their first meeting after the previous AGM and so I propose that the minutes are taken as read and ask the Group Scout Council to agree that they are a true record of that meeting.

## **4. Governance topics** 

**Chair** notes to the Group Scout Council members present that this part of the meeting is a necessary part to make sure that the charity’s foundations are in good order. 

## **4a.  To adopt the model consttuton from Policy, Organisaton and Rules** 

## **Chair:** 

In line with the recommendation from Scout Headquarters. I propose that we adopt the model constitution from Chapter 5 of Policy, Organisation and Rules.  A copy of this was available for review and inspection prior to this meeting, and available on our website

## **4b.  Note the Group’s fnancial year** 

## **Chair:** 

Members of the Group Scout Council are asked to note that our charity’s financial year is 

1st September to 31st August 

## **4c.  Agree the number of members that may be elected to the Trustee Board** 

## **Chair:** 

The Group Scout Council must agree at its AGM the number of people that can be elected to the Trustee Board.  The recommendation from the outgoing Trustee Board is that 12 people can be elected.  I propose that the Group Scout Council approves that recommendation.

## **4d.  Agree the quorum for each of the Group Scout Council (including this AGM), of the Group Trustee Board, meetngs of any sub-commitees** 

## **Chair:** 

The Group Scout Council must agree at its AGM the quorum – the minimum number of Group Scout Council members that must be present at a meeting of the Group Scout Council.  The recommendation from the outgoing Trustee Board is that the quorum should be set at 8 persons. The Group Scout Council is asked to approve that recommendation. 

(There was a brief pause and discussion to change this from 15 to 8 by Maxine and Anne)

## **5. Review of the previous year** 

**Chair** notes to the Group Scout Council members present that this part of the meeting is the opportunity to reflect on the activities of the past year. 

## **5a.  Group Scout Leader’s Review of Scoutng in the Group** 

**Chair** asks GSL to present their Annual Review. 

**GSL** gives their review. 

This included a video by Archie Mills to go towards one of his badges, mention of more trips and days out, having a new trustee board, followed by a round of applause. 

**Chair** thanks GSL for their review. 

**5b.  To receive and consider the Annual Report of the Group Trustee Board including the annual Statement of Accounts** 

**Chair:** The Group Trustee Board has approved the Annual Report and Statement of Accounts and Accounts, and the report on the accounts has been received from the Scrutineer 

**Chair** asks the Group Treasurer, to give their explanation of the Statement of Accounts. 

GSL explained that the Group Treasurer was not at the meeting but we have received a breakdown of the accounts. She asked for people to continue to ask questions and we would do our best to answer them, if not now then at a later date.

**Chair** invites questions from the floor regarding the Trustee Annual Report, and the Annual Accounts. 

The following question was asked by a parent; Can I ask what the designated funds are for?

## **6. Making appointments** 

**Chair** notes to the Group Scout Council members present that this part of the meeting sets the charity up to be well-led during the period until the next AGM.  Particularly, the Group Scout Council appoints a Trustee Board to ensure good governance for the charity over the next year. 

## **- 6a.  To (re )appoint Group President** 

**Chair** notes that appointments as Group President are made by the Group Scout Council. 

Chair advises that Susan Shimell is proposed as President.  Show of hands to (re-)approve. 

## **6c.  To approve the Group Scout Leader’s nominaton of the Group Chair** 

**Chair:** I now hand the chairmanship of this meeting over to the GSL. 

**GSL** It is Mark’s last year as chairman, thank you Mark for all you have done. The lovely lady _Annie Parks_ has volunteered as Group Chair so I would like to nominate Annie Parks as Group Chair and ask for a show of hands as approval. 

## **6d.  To elect the Group Secretary** 

**Chair:** The ‘Group Secretary’ is an elected, however no person’s has yet been found for the role. We do not have one at the moment and Claire Tarrant is stepping in temporarily. 

## **6e.  To elect the Group Treasurer** 

**Chair:** The ‘Group Treasurer’ is an elected appointment and, as required, _Emma Carver_ has been formally proposed and seconded.  Since there were no other nominations by the closing date a show of hands is required to approve _Emma Carver’s_ election. 

## **6f.  To elect persons to the Group Trustee Board** 

**Secretary -** the following have been formally proposed and seconded in writing by the due date:-

## Group Scout Report 2025 

This past year has been quite busy and rewarding for the group, comprising a wide array of engaging activities and meaningful events. The highlight of the summer was undoubtedly the session at Out of Bounds, where the members enjoyed  bouncing  high  above,  creating  a  fantastic  atmosphere  filled  with laughter  and  excitement.  Last  year’s  summer  camp  at  Butchers  Coppice  in Dorset was another significant event, where members had the chance to enjoy the Aqua Park, Splashdown, and a day out at Moors Valley that included the exhilarating Go Ape! The Cubs truly embraced this opportunity to bond and create lasting memories. 

The  group  also  showed  their  respect  during  the  November  Remembrance Sunday, with all four sections participating in a commendable manner that truly reflected their commitment to the community. Additionally, in November, the group, alongside the rest of the Bognor Regis District Scouts, worked together to help the local food bank, demonstrating their strong commitment to supporting those in need. 

In December, a team of adult volunteers helped the Bognor Hotham Rotary raise important funds for local charities through the annual Santa Sleigh Collections. Walking the streets of Bognor, they brought Christmas spirit with Santa, further illustrating the group’s commitment to uplifting those around them during the festive season 

The group played a vital role in the Bognor 10K race, with both young people and adults actively participating by manning water stations, handling bag drop off, assisting  with  car  parking,  marshalling  the  fun  run,  and  distributing  welldeserved medals to the finishers. This involvement showcased their dedication to service and strengthened their connection with the local community. 

The past events were a mixture of adventurous outings and community service. From the exhilarating Flipout and Planetarium Visit to the annual Group Summer Camp  in  the  Copse,  members  had  plenty  of  opportunities  to  make  lasting memories. They took part in the St George's Day Parade, showcasing their pride and devotion. The group also actively engaged in community support through initiatives like assisting with the Bognor 10K, further demonstrating their strong civic spirit.

It’s important to extend our gratitude to all our adult leaders, particularly  JJ  and  Claire,  who  have  significantly  contributed  to  the  group's success by going above and beyond in their roles. Their commitment, along with that of all the leaders, has created a supportive and enriching environment for the young people. 

Looking  ahead,  there  are  exciting  plans  for  the  upcoming  year,  including Scoutmoor Camp in Devon, along with various day trips and sleepovers that promise to enhance the experience for all the members. 

We also want to thank the young people for their enthusiastic participation, which not only makes the activities enjoyable but also inspires the leaders to keep  giving  their  best.  A  heartfelt  thank  you  goes  to  the  parents  for  their continued support, as well as to the other volunteers quietly working behind the scenes to make all of this possible. We look forward to another year of growth and adventure in scouting.

## Squirrel Report 2025 

This past year has welcomed a number of new Squirrels into our group, bringing fresh enthusiasm and energy to our activities. Throughout the year, we enjoyed a variety  of  meetings  that  catered  to  the  interests  of  our  members.  From celebrating Chinese New Year and taking part in Korean Night to engaging in hands-on  activities  like  Nature  Bracelets  and  Water  Rockets,  the  Squirrels experienced  both  cultural  learning  and  fun-filled  moments.  Events  such  as Pancake Art and the Halloween celebrations added joy to our calendar, while the more reflective activities, like the Remembrance Day Service, helped instil a sense of community and responsibility. 

In addition to our regular meetings, the group participated in several exciting events. The Annual General Meeting set the tone for the year, while the St George's Day Parade and community initiatives like helping at the Bognor 10K demonstrated our commitment to community engagement. More adventurous outings  followed,  including  the  Out  of  Bounds  -  Nets  event,  which  provided wonderful opportunities for bonding and outdoor fun. We also took time to give back  during  our  Scouts  Help  the  Food  Bank  initiative,  fostering  a  spirit  of generosity among the Squirrels. 

This year, we celebrated the exceptional achievements of our members with the presentation of nine Chief Scout Awards, highlighting their dedication and hard work. 

We are looking forward to another exciting year ahead, with more activity days planned  and  a  Squirrel  sleepover  on  the  horizon.  These  upcoming  events promise to offer further chances for growth and fun among our members. 

Thank you to all the children for filling our meetings with laughter and energy, and to the parents for your unwavering support. We also appreciate the efforts of all our other volunteers who work tirelessly behind the scenes to make our group a success. We look forward to another fulfilling year of Scouting, filled with new adventures and shared experiences. 

I would like to thank the leaders (Andrew, Baggy, Matt, Oliver and Hayley) that have  given  time  and  commitment  to  the  section  helping  to  run  a  fun  and successful program. We have recently said goodbye to Hayley as she ventures of to new beginnings.

## Beaver Report 2025 

September 2024 – July 2025 

Between September 2024 and July 2025, our Beaver Scouts enjoyed a fun-filled and  varied  programme  designed  to  build  confidence,  develop  new  skills, encourage teamwork, and support personal growth — all while living the Beaver Scout Promise. Throughout the year, Beavers embraced new challenges, made lasting friendships, and took part in a wide range of indoor and outdoor activities. 

## Autumn Term Highlights 

We  began  the  year  by  welcoming  everyone  back  with  Green  Cross  Code activities, helping Beavers learn how to stay safe near roads through games and role play. This was a great way to ease back into meetings while covering an important life skill. 

One of the early highlights was Pond Dipping and Archery, which we ran it over two  sessions  alongside  archery.  Beavers  loved  exploring  pond  life  up  close, spotting  creatures  and  learning  about  habitats,  while  archery  gave  them  a chance to try something new and practise focus and coordination. 

Our October Hike encouraged teamwork and resilience, with Beavers enjoying fresh air, nature spotting, and working together to complete the route. This was followed by a calmer but equally enjoyable session making Bird Feeders, where Beavers learned about wildlife and how to help birds during the colder months. 

We wrapped up  the half  term  with Park  Life, giving Beavers  the  chance  to explore outdoor spaces through games and challenges, before enjoying a very exciting Firework Night, where we learned about firework safety and all had a sparkler which they loved. 

## Winter Term Highlights 

In  November,  Beavers  tackled  Tents  R  Us,  learning  the  basics  of  camping, including how tents work and what equipment is needed for adventures away. This set the stage perfectly for Beavernomics, a session focused on money, sharing, and making choices, helping Beavers understand everyday skills in a fun, age-appropriate way. 

December  was  full  of  festive  excitement.  Beavers  enjoyed  getting  creative during Christmas Decorations, making items to take home, followed by a cosy Christmas Movie Night, which gave everyone a chance to relax together and celebrate the end of term.

One of the standout sessions of the year was Jungle Mania, where Beavers threw themselves into the soft play adventure with great enthusiasm. 

## Spring Term Highlights 

The spring term was packed with engaging and memorable sessions. A valuable Digital Footprint session helped Beavers explore online safety, kindness, and making positive choices when using technology. This was followed by a highenergy Games, Games, Games evening, which focused on teamwork, communication, and having fun together. 

Beavers  also celebrated Chinese New Year,  learning about different cultures through  crafts,  stories,  and  themed  activities.  Health  and  wellbeing  were explored during EGG-Cellent Teeth, where Beavers learned about dental hygiene in an interactive and enjoyable way. 

One of the most popular sessions of the term was Reptylers and Cuddlies, where Beavers met animals up close and learned about wildlife, habitats, and caring for living creatures. Creativity and environmental awareness were showcased during Junk  Superheroes,  with  Beavers  designing  their  own  heroes  using  recycled materials. The term also included Bears Books, promoting reading, imagination, and storytelling. 

## Summer Term Highlights 

As the weather improved, sessions became increasingly active and outdoorsfocused. Beavers took part in a wide range of games, challenges, and skill-based activities  designed  to  build  confidence,  teamwork,  and  independence.  Many Beavers showed excellent personal progress, trying new things, speaking up in the group, and supporting one another. 

Throughout  the  year,  Beavers  worked  towards  badges  through  hands-on learning, problem-solving, and teamwork. Leaders were especially proud of how well the Beavers welcomed new members, supported each other, and consistently demonstrated Beaver Scout values. 

Overall, it has been a fantastic year for Beaver Scouts. The Beavers have grown in confidence, independence, and teamwork, while having lots of fun along the way. We are incredibly proud of everything they have achieved and look forward to even more adventures in the coming year. 

Cub Report 2025

This  past  year  has  been  marked  by  a  variety  of  engaging meetings  and  events  that  brought  our  Cubs  together  for  fun, learning, and community service. The highlights included thrilling watersports on the canal, where the Cubs had the chance to enjoy the water with enthusiasm. They  experienced  the  joys  of  bouncing  around  at  Flipout  and  tackled  the challenges of the Rookery Fit Farm Obstacle Course. Additionally, a visit to the Planetarium opened up the wonders of space to our young explorers. 

In  addition  to  these  notable  activities,  the  Cubs  participated  in  numerous meetings throughout the year. They explored various themes, which included water rockets, archery sessions, traditional hikes, and exciting themed nights like Halloween Nerf Night and Christmas Baking. The wide range of activities helped keep the Cubs engaged and enthusiastic while allowing them to learn valuable skills. Over the course of this period, the Cubs earned a total of 307 badges, a commendable reflection of their dedication and commitment to their scouting journey. 

This year also saw the awarding of four Chief Scout Awards, another significant achievement that reflects the dedication and effort put forth by the Cubs. These awards  are  a  testament  to  their  continued  commitment  to  personal  and collective growth within the scouting framework. 

A special mention goes out to JJ, who has been an invaluable leader for the Cubs as well as for Beavers and Scouts. His dedication and hard work have not gone unnoticed, and we are all grateful for the comprehensive support he provides to the group. I would also like to extend a special thank you to my young leaders, Patrick  and  Ryan,  for  their  dedication  and  support  throughout  the  year. Additionally, I want to express my gratitude to all the leaders whose continued efforts have made a positive impact on the Cubs. 

Looking ahead, there is much to look forward to in the upcoming year. The Cubs can anticipate an exciting Summer Camp which will introduce even more new and thrilling activities. This ongoing commitment to enriching experiences will undoubtedly keep the Cubs engaged and eager to participate. 

As we reflect on the past year, it is also important to extend our gratitude to the children, whose spirited  participation  makes scouting  enjoyable  for  everyone involved. Additionally, a heartfelt thank you goes out to the parents for their steadfast support and to all the volunteers who work tirelessly behind the scenes to ensure that our Cubs thrive. Together, we look forward to another successful year of scouting.
