Trustees Annual Report for Newton-le-Willows FC Year Ending 30-April-2023
1. Purpose
This document provides the Trustees Annual report for Newton-le-Willows Football Club for year ending 30[th] April 2023. It has been compiled to the guidance as provided on the Government Portal for small non-company charities (https://www.gov.uk/guidance/prepare-a-charity-trustees-annualreport#reports-for-small-non-company-charities). The report is provided to supplement the annual financial account as required by the guidance.

3. Charity Structure and Management
The Charity was founded as a Charity Incorporated Organisation (CIO). The constitution is based on the ‘Association’ Model template as provided by the Charity Commission. The constitution deals with the mechanics of on-boarding and off-boarding Trustees aligned the Charity AGM.
New Trustees are recruited organically from the volunteers working in the club. Generally, volunteers initially contribute to specific projects and then come forward as a Trustee to fill specific roles that club offers. The approach has been successful with both male and female Trustees being active Trustees and from a variety of different age groups. The club supports diversity and offers a wide range of opportunities to the community to be involved in the operation of the club.
4. Activities and Objectives for the Year

4.1 A key objective for the year was to re-certify the club’s annual accreditation with the FA. This was a significantly larger challenge than previous years for the following reasons:

A backlog of coaching re-certification existed post pandemic.

The FA specified a pre-requisite of an approved club development plan to their specification as a mandatory requirement of 3-star accreditation (top tier in grass roots football).

The FA specified that a plan for disability football must be included in the development plan.

4.2 The club’s long-term objective is to be able to offer more opportunity to the community but is limited by facilities. Over the last few years, the club has been working with the FA and local Council on a future vision of a football ‘hub’ with both grass and all-weather facilities. A site has been identified and discussions are ongoing concerning land ownership with regards funding.
5. Achievements and Performance
The club continues to be well supported by the Football Association (FA) and is part of a forum of the top 100 grass-root football clubs in the UK. Club representatives were again invited to attend an annual FA conference to discuss best practice and areas of improvement for grass-root clubs.
The FA specified in 2022 that top-flight grass root clubs need to provide disability football. The club were delighted in early 2023 to be awarded a grant to gain access to specialised coaches to begin the process of introducing disability football opportunity within the community.

The club has continued to offer football related opportunities to approximately 500 players, and 150 volunteers providing associated health and social benefits to a community that goes well beyond those directly involved in the club. The club continues to work actively with most local schools in the immediate area providing free coaching, and donated equipment.
The club continues to promote the growth of female football in line with the FAs ambitions and now has 9 Junior Girls teams across all age groups, and one adult Ladies team.
6. Financial Review
Treasurer’s Report FY 01[st] July’21 to 30[th] June’22
We are very pleased with the commitment and dedication shown by the club, and the members, in addressing what has been a continued turbulent time for us all. We have reacted in the right manner to try and alleviate the financial burden that the current cost of living crisis that is affecting us all and the reaction and response from the local community to the football club has been tremendous.
We have been able to meet all our financial commitments and I would like to acknowledge the support of our local suppliers and businesses for their reactions to our needs e.g.: St Helens Council for their services supplied at the Leisure Centre, by far our biggest service requirement, for their payment plan which enabled us to pay for the winter services throughout the seven-month period and not as an upfront cost.
Our financial procedures are very good. By providing timely information, we have been able to source other income streams like Grant Applications which, by having the correct information to hand to support the grant application processes, we have been successful again in our applications. We have been able to apply for, and been successful, in grant funds from The Football Foundation, Grow the Game, National Lottery Community Fund. Massive thank you to James Styles for his superb efforts in this area.
Another big bonus in this period, has been the support of local businesses in their sponsorship of both club kits and the pitch side advertising on our main pitch here at the club. A massive thank you to all those contributors. To enable our Open Age teams to compete in the appropriate leagues, we have had to meet demanding deadlines and criteria for both the pitch and club facilities. From both the grants and the sponsorships, we have been able to produce a very good playing pitch and environment for those teams and spectators.
Other income successes include the ever popular Last One Standing game and to date, we have taken revenue of over £30k that has enabled winners – both local and internationally – to enjoy winnings of £15k and more importantly to the club, revenue to our development project plan. Another very time-consuming project, so big thanks to Dan Smith for running this event.
To help us further in the financial routines, we have been trialling the on-line Subscription services via Pitchero, and we will be doing further analysis of its capabilities in the new season. It really is the way forward for electronic collection and reporting etc, so I would urge us all to embrace this facility when it comes live. We still endure a very labour-intensive process of our subscriptions reporting and I would like to say what a fantastic job Louise does on this – it really is a very demanding and time-consuming role, so a big thank you Louise.
We have renewed our equipment and kit with Nike, and the supplier Vesey, again, and this has given us continued branding for the club, together with the financial support by Nike for the training bursary fund of £4,000. We appreciate that such costs are often talked about as are they sometimes seem non-competitive to other retailers etc, but we really must see the bigger picture on this contract, which is the branding continuity, the training bursary fund and the Web shop facility we enjoy in the kit and equipment ordering process.
We now enjoy the BACS payment process with our on-line bank facility via Lloyds and this has enabled us to pay out your expense claim forms directly to your bank account within a few days of receipt by myself. We have the claim forms online too, so hopefully everyone can access this process.
