Objectlves and Actlvities
Objectives
The relief of financial hardship of people in Poonakary Sri Lanka by providing
funding to help them to access education, health services and care, employment,
housing, and such other general assistance to relieve their financial hardship as
the trustees deem appropriate.
Activities
Education..
Universlty student grant project
The charity's main project on
education is the university student grant assistance project for university
students from Poonakary. which commenced in November 2021. Each
eligible university student from disadvantaged backgrounds receives 5000
Sri Lankan rupees per month during their university studies. A new batch
of 40 eligible students were selected via a new application form in this
financial period. And this project recommence on January 2024
Improving education event in Poonakary . Our charity held an event on
02-09-2023 to promote and encourage education, especially early
education in Poonakary. We gathered Poonakary's prominent school
teachers, principal. govemment education officials
non governmentsl
organisations and students for this event. Grants, education equipment
and medals worth £1684.84 {see financial review section for individual cost
) were given to eligible students at this event. The event was held in district
secretariat Poonakary.
Prlmary schools physlcal educatlon (PE)
competltlon grant
Education officials in Poonakary approached our charity trustees for
assistance in the purchase of medals and trophy cups for the PE
competition held for all primary school students in March 2023 in
Poonakary. After considering the request, discussions were held by
trustees to confirm whether Ihis constitutes education related spending.

Trustees agreed to pay this small grant as physical education is still
education, especially for primary school students.
Youth development grant for Poonakary central friends sports club .
Poonakary central friends sports club helps young people of Poonakary
who are not in education in a variety of ways. This includes involving them
in apprenticeship, education clubs voluntary work and football. They also
helped our charity carry out covid dry food distribution. The club
approached the charity for assistance. Trustees felt that a small grant was
appropriate after considering their work in helping the youth of Poonakary.
Health..
Sri Lanka experienced an unprecedented economic downtum during this
financial period. This affected Poonakary like all parts of Sri Lanka. The
main hospital, Ponnakary divisional hospital, ran out of essential medicine.
The trustees carefully considered an urgent request by the medical officer
in charge; the charity provided a grant for purchase of essential medicine
for three months to the Poonakary district hospital.
Employment:
Roadslde food cart employment grant: A self employment grant was
given to Mr Kathikesu Thusianthan. He approached the charity after his
roadside food cart business ceased operation due to fuel shortages due to
prevailing economic conditions in Sri Lanka. The charity provided a grant
for repair of the food cart and purchase of food preparation machinery to
restart his business.
Mat weaver employment grant: Mr Jeyaratnam Jeyanthan is mat weaver
whose business was run from a temporary shed. He approached the
charity to build a pemianent place to improve his business. Trustees
conSide￿d his request and approved the grant.
Poonakary dlstrict office (DS) employment fair grant: Every year local
govemment and people of Poonkary hold an employment and cultural fair
to promote Poonakary's employment prospects. Trustees considered the
request by government officials of Poonakary for financial support to hold
the event. Considering the local government's help in hosting the charity's

improving education event in their administrative building free of charge
and this event's public benefit. trustees approve a small grant.
The trustees confirmed that they had regard to the Charity
Commission guidance on public benefit.
Additional Infomiatlon
Policy on grant making
People receiving self employment help must be confirmed as eligible by local
government officials {Grama Sevaka). Exisiting University students undergo
selection process upon completion of our charity eligibility form, which must be
signed by their school principal and the Grama Sevaka (GS) in their area to
validate their eligibility. Additionally, we conduct an annual review of students to
assess if there have been any changes in their circumstances. Confirmation of
the monthly payments to students is obtained through the signature of students
or parents, serving as evidence of the grant receipt. Random surveys of students
are also conducted as part of our ongoing monitoring efforts.
Contribution made by volunteers
The University Student Grant project is currently overseen by Mr. Ramalingam
Balachandran, Principal of Poonakary Central College,. Mr. Pathmanathan
Anantharasa, Principal of Mulankavil Maha Vidyalayam School., and Mr. Manithas
Sukin, a dedicated non-governmental volunteer. The trustees extend their
sincere appreciation for the invaluable contributions of these individuals. As a
registered charity in the United Kingdorn, the success of our activities in
Poonakary relies heavily on the commitment and efforts of these volunteers.
Achievements and Performance
Education The University Student Grant project successfully supported eight
students in completing their studies during the last financial period. Additionally.
foty-two students a￿ currently pursuing their education at universities across Sri
Lanka. One of the charity's core objectives is to advance education in Poonakary.
We encourage recipients of this grant to give back by engaging in voluntary
activities, such as providing extra tuition to students in their local communities.

However, it is important to note that the charity does not directly oversee these
voluntary efforts.
Health The small grant provided to the Poonakary District Hospital was
instrumentsl in addressing an urgent shortage of medicines. This support
enabled the hospital to replenish its stock and continue providing essential care
to the community.
Additionally, the economic situation in Sri Lanka has shown signs of
improvement. thanks in part to the assistan￿ from intemational monetary funds.
This extemal support has been crucial in stabilising the country's economy and
fostering recovery.
Employment
The self-employment grant awarded to Mr. Kathikesu
Thusianlhan has significantly impacted his business. This financial aid enabled
him to repair his food cart and purchase essential food preparation machinery,
allowing him to restart his business with renewed vigour and efficiency. Similarly,
another self-employment grant was provided to Mr. Jeyaratnam Jeyanthan,
dedicated rnat weaver. This grant facilitated the construction of a permanent
workplace, which has greatly improved his working conditions and productivity.
Our treasurer recently visited Sri Lanka and confirmed the positive outcomes of
these grants. During his visit, he observed first hand the improvements and the
resulting boost in the local economy.
In addition lo individual grants, another was made to the local government to
organise annual employment and cultural fairs. These events aim to promote
Poonakary's employment prospects and cultural heritage. Although the direct
impact of this grant has been challenging to assess, the trustees unanimously
approved it, recognizing its potential to enhance the overall employment benefits
for the people of Poonakary. By fostering a community-centric approach to
employment and cultural promotion, the trustees believe that such initiatives will
yield long-term positive outcomes for the region.
Additional Information
The trustees are continually seeking ways to enhance the charitys fundraising
efforts. We have recently conducted telephone canvassing to solicit donations
and plan to continue organising our annual fundraising and charity promotion
events. These initiatives are key to our ongoing success and ability to support
our cause effectively.

Financial review
The financial results for the year are outlined in the accounts section. During this
financial period, the charity provided £3,173.67 for the university student project.
Additionally, £13.43 was allocated as a primary school student PE grant. The
charity spent £3.409.36 on improving education event in Poonakary. Grants
worth £832.28, education equipment worth £385.88 and medals worth £466.68
were given to eligible students at this event. Other charitable contributions
included: a sports club youth development grant of £124.38. a grant of £186.88
to Poonakary District Hospital, a grant of £191.17 to a roadside food cart self
employment grant, and £255.84 for a DS office economic and youth
advancement event grant . Furthermore, £378.89 was given as an employment
grant to Mr. Jeyaratnam Jeyanthan. Charitable contributions of £126.12 were
also paid as travel expenses incurred for charity activities during this financial
period.
Reserves pollcy
The trustees deem it prudent to maintain a reserve of £3000 to cover the charity's
existing projects and ensure sufficient working capital for accumulating funds to
achieve future objectives. There are no uncertainties regarding the charity's
ability to continue as a going concern.
Additional Information
The charity's activities are primarily funded through donations from the
Poonakary community residing in the UK. Our funding sources include monthly
membership fees of £10, annual membership fees of £120, contributions from
money boxes, and fundraising events held during annual gatherings of
Poonakary people in the UK. Additionally, we conduct fundraising efforts through
our public WhatsApp group to support our charitable activities. We ensure that
written consent is obtained before using any personal detsils of individuals who
interact with the charity.
Structure, Governance and Management
The charity is constituted as a Charitsble Incorporated Organisation (CIO) with a
governing document based on the CIO foundation model. Trustees are selected
by the board of trustees.

Additional Information
New trustees are required to complete a charity-specific trustee application form.
Additionally, criminal record checks are conducted on all trustees. Upon a
successful trustee appointment, a copy of the charity s rule book, accounts, and
constitution is provided. Our charity primarily collaborates with government
education officials and non-governmental voluntary workers in Poonakary.

Note 8 of the accounts section is for a transaction which was an accidental
deposit of the treasurer's own funds. This occurred when he went to deposit both
the charitys funds and his personal funds. The trustees were notified on the

carrying out charity banking activities.

ACCOUNTING POLICIES
Note 1
1.1 BASIS OF PREPARATION
These accounts have been prepared under the historical cost convention with
items recognised at cost or transaction value unless otherwise stated in the
relevant note{s) to these accounts.
The accounts have been prepared in accordance with the Statement of
Recommended Practice: Accounting and Reporting by Charities preparing their
accounts in accordance with the Financial Reporting Standard applicable in the
UK and Republic of Ireland {FRS 102) issued on 16 July 2014 and with the
Charities Act 2011.
The charity constitutes a public benefit entity as defined by FRS 102.
The accounts have been prepared on a going concern basis and represent a true
and fair view of the position of the charity as at the end of the accounting period.
Assets and liabilities are initially recognised at historical cost or transaction value
unless otherwise stated in the relevant accounting policy notes.
1.2 ACCOUNTING CONVENTION
The financial statements have been prepared under the historical cost
convention.
1.3 RESOURCES EXPENDED
Resources expended are induded in the Statement of Financial Activities on an
accruals basis, inclusive of any VAT which cannot be recovered. Resources
expended have been analysed and have been allocated 100/0 to the relevant
fund.

1.4 INCOMING RESOURCES
The charity derives its income from donations and legacies from members, raffle,
monthly and annual membership fees, till boxes collections from the public and
an annual fundraising event in the United Kingdom. Items of income are
recognised and included in the accounts when all the following criteria are met:
The charity has entitlement to the funds.
Any perfOnnan￿ conditions attached to the item (s) of income have been met or
are fully within the control of the charity or its subsidiary.
There is sufficient certainty that the receipt of the income is considered probable,
and the amount can be measured reliably.
Member's donation incomes are included within the Statements of Financial
Activities as it is received. Legacies are recognised when the above criteria are
met. Grants are recognised in the period to which they relate.
1.5 GOVERNANCE COST
Governance costs are those costs associated with maintaining the govemance of
the charity as opposed to the management of the charity's activities. However
voluntary contributions and participation kept governance at a lower level.
1.6 FUND ACCOUNTING
Funds held by charity are unrestricted and restricted funds during the accounting
year. Unrestricted funds which can be used in accordance with the charitable
objectives at the discretion of the trustees. However, a restricted fund used for
the specified purpose of the donor.
