Structure, Governance and Management

Type of Organisation:

Membership:

Charitable Incorporated Organisation (CIO) with voting members other than its trustees.

Governing Document:

Open to anybody. Annual fees are £12. Membership year: 01 September – 31 August

Constitution based on association model, version 28th January 2021.

Trustee Selection Method:

3-12 Trustees by vote for up to three years, or by appointment until next Annual General Meeting.

A third of trustees to retire each year. Trustees can stand again after retiring.

Management:

100% volunteer-run. Trustees take a hands-on approach. Operations run by a workshop team: Gary Biggs, Mary Impey, Helen Isaacs, Beverley Jordan, Katherine Kent, Shaun Maguire, Dan Spence

Objectives and Activities

The object of the Pandemonium Drummers CIO is:

to advance, improve, develop and maintain public education in, and appreciation of, the art and science of the performing arts in music, drama and dance

by any means the trustees see fit, in particular but not exclusively through the development and presentation of public performances, the provision of workshops, and the publication of materials.

Achievements and Performance

Our fourth year as a CIO confirmed that our group was in a transitional phase of low activity. Another 25% decline in member numbers reduced both recurring income and rehearsal contributions. Trustees decided on initial cost saving measures and discussed higher membership contributions, which members at a consultative workshop were not opposed to.

Despite challenges, we engaged in very positive creative activities, this year at 8 rehearsals, introducing a third venue in Croydon in addition to our bases in Harrow and Leytonstone to better accommodate our widely dispersed membership. We used these rehearsals for repertoire development, worked towards new performance pieces, and shot our first YouTube Short, a tongue-in-cheek birthday karaoke piece.

After our unsuccessful Arts Council funding application to stage a concert, we regarded the risks of a resubmission as too high and cancelled the concert, which affected overall activity levels this year, though the process delivered crucial learning opportunities.

Our 6 performances this year were all annual staples, for which we continue to be received with enthusiasm and joy, making the efforts of our activities worthwhile. We had another opportunity to explore a possibility for a stadium performance outside of London, but no financial backing and logistical challenges made it unachievable.

A consultative workshop proposed a strategic approach for securing performance opportunities, such as community events as zero-budget options and funding applications for own gigs. Both of these approaches will require procurement and development under our own steam – skills to be acquired.

Some drummers created an original score for Counterpoint Dancers as part of Critical Moment 2024, with Mary Impey drumming alongside the dancers at The Place. This collaboration is a type of activity we would happily consider in the future. Finally, we returned to the Olympic Park – but as visitors in the form of a guided tour, to enhance social cohesion.

This year, Sally Maxwell, our excellent Treasurer since the forming of the group, retired from the role. Also, Paul Hurford and Jaynie Larnie stood down as Trustees. We would like to express our gratitude for their invaluable contributions to the group.

Overall, the Trustees are confident that we continue to achieve our

Financial Review

Reserves Policy:

Ring-fencing of sufficient funds, currently £3,500, to cover at least 3 years of fixed costs in the event of a total loss of income and to meet unforeseen expenditure, to be reviewed annually.

Funds Materially in Deficit: Not applicable.

Financial Performance:

The reporting period ended with a deficit of £195.99, financed by our historical surplus.

The deficit arose mainly from rehearsal venue costs, which could not be recovered by our current contributions from rehearsal participants.

Trustees accept this level of subsidy as a temporary measure due a healthy current balance, but initiated a review of membership fees and rehearsal contributions.
