1. OVERVIEW
Clwb Plant Brynaman Kids Club began the year by calling an Extraordinary AGM, to address the charity’s precarious situation, with rising energy costs, depleting board of trustees and a drop in birth rate all impacting the club’s finances. The meeting was attended by various representatives across the community of Cwarter Bach and the overwhelming consensus is that Clwb Plant Brynaman Kids club is too important a resource to fail. This resulted in a year-long programme of fundraising events such as local discos, festivals, a GoFundMe page, raffles, clothes sales, generous private donations, as well as a new cohort of trustees. The Charity also secured a number of grants and a significant increase in numbers of children attending the facility has resulted in the organisation being in a healthy and sustainably situation going into 2026.
The club was originally established in 2007, in response to local demand for affordable, bilingual, after-school childcare. In January 2021, the organisation became a Charitable Incorporated Organisation ( Foundation Model ) charity no: 1193295. Clwb Plant Brynaman’s aim is to support working parents/carers, allowing them to sustain their careers in the knowledge that their children are cared for in a friendly, stimulating and safe environment, until they return from work.
Clwb Plant Brynaman Kids Club has developed and grown as an organisation. It now includes after school childcare sessions, a holiday club during most school holidays and a wrap-around, day-care service for 3-4 yr olds attending half day sessions at a school nursery. This was made possible by the Welsh Assembly Government’s Offer for Wales childcare scheme, offering 30 free hours’ childcare to working parents. In April 2026, the hourly rate for this scheme was increased from £5 to £6 an hour and the length of time a child can spend at the club before entering full time education at the nearby primary school, was extended for an additional school term. This has increased the general day-care numbers to such a degree that Clwb Plant Brynaman will be looking to recruit an additional staff member over the coming year.
All children who attend day-care and after school sessions are pupils of nearby Ysgol Gynradd Brynaman Primary School and club staff and trustees have an excellent working relationship with the school. Summer and holiday club pupils come from further afield and as long as parents/carers can drop their children off safely, there is no restriction on which area they reside.
At present, Clwb Plant Brynaman supports 125 individual families in the area, has two full time staff, 2 regular part time staff and 3 sessional workers. It has also recruited an additional administrative assistant to help with the rise in paperwork. This post is currently on a trial basis but if successful, will become a permanent post.
The club continues to lease the building from Cwarter Bach District Council for a quarterly fee of £325. This fee was waived in 2025, to give the charity
time to stabilise its finances and will be re-instated once the Board of Trustees and Council deem the cost to be affordable again.
2. PREMISES

The organisation operates from the old Bowling Pavilion in Upper Brynaman, which is perfect for its needs. The organisation has negotiated an increase in its 5 year tenure with the local District Council of Cwarter Bach, to 10 years. This will allow the organisation to apply for more substantial grants to improve aspects of the building and exterior areas. The clubhouse is spacious and light, with plenty of surrounding green space. Its proximity to the local primary school, Ysgol Gynradd Brynaman is its success, enabling staff to escort children safely, by foot, to and from the school in less than two minutes. The building shares a car park with the school, enabling parents to collect their children from either the club, or school, without needing to make two separate stops.
With the £15,000 grant received in 2023/24, Clwb Plant Brynaman completed the roof repair works at the premises in March 2025. As a result, the organisation can be more ambitious in its plans for heating the building and throughout 2025, a small working group of parents and trustees have been working with Welsh Government organisation, EGIN, to identify a comprehensive programme of improvements that address both the climate emergency and the long term sustainability of Clwb Plant Brynaman Kids Club premises.
As a result of the Egin programme, the organisation has received a fully funded energy audit to present to funders and has already secured £15,000 from Carmarthenshire County Council’s Family Information Services Capital Grant Scheme, to install solar panels on the newly refurbished roof. The organisation is still awaiting confirmation from Wales Lottery regarding its application for a battery and will be applying for further green initiative throughout 2026. The aim is to make the entire building carbon neutral and financially sustainable, so that funds can be spent on more play, educational and sports equipment for the children, rather than over-inflated energy costs.
3. STRUCTURE OF THE ORGANISATION
Clwb Plant Brynaman is registered with CIW for up to 24 children between the ages of 3-11 and is a member of Clybiau Plant Cymru and Mudiad Meithrin. The organisation is governed by a board of 6 trustees from various professional backgrounds. The board is committed to recruiting, appointing and employing all staff in accordance with all relevant legislation and ensuring they meet the job description and personal specification requirements. The Trustees give their time freely and the aim of increasing trustee numbers last year, has been successful. The Charity has also gained additional members, who have been very active fundraisers on behalf of the Club.

Responsible Individuals:
Lee James, Headmaster of Brynaman Primary School, enrolled as Responsible Individual for the organisation at the end of 2025. He joins current Responsible Individual, Angharad Pearce Jones, who will be resigning from the role during 2026. They are both the first point of contact between the organisation and CIW.
Jennifer Taws, ( Genetral Manager), is the official ‘Person in Charge’ and is responsible for the daily running of the organisation.
4. FINANCIAL MANAGEMENT
In Carmarthenshire County Council’s 2019 profile of Cwarter Bach, it was found that the ward is the 31[st] most deprived from 58 wards in Carmarthenshire. The average income is the 7[th] lowest in the county and it has a higher than average number of people with no qualifications. Clwb Plant Brynaman seeks to directly address these inequalities, helping single parents in particular to take up opportunities for employment and further education.
As a charity, the club aims to keep its childcare fees far lower than the national UK average. As a result, however, fees only cover a percentage of the total cost of wages. Additional funding and grant aid enables the club to ensure that staff wages
are in line with comparative posts across the county. The Trustees decided not to implement a rise in fees in 2025, in order to support working families during the current financial crisis. This will be addressed in early spring, when a decision will be made as to whether to raise fees by a small amount, to account for the annual rise in the National Minimum Wage.

MANAGING FINANCES
Income is managed by the Club Manager and overseen by a team of two treasurers/ trustees, Angharad Pearce Jones and Katrine Roberts. With her vast experience in banking, Katrine has been a valuable addition to the board of trustees this year. Fees are increasingly paid online and new invoicing software adopted in 2022/23 has enabled the Manager to set reminders and keep on top of late payments. In 2026, this will be developed, to enable payments to pay their invoices directly by Paypal. Parents are struggling during this time, however and late payments do continue to be an issue. A new administrative assistant will be instrumental in helping the organisation keep on top of invoices and ongoing changes in Policies and Procedures.
Payroll continues to be undertaken by professional accountancy firm, J B Davies, based locally. The two full time members of staff are enrolled on the government work-place pension scheme.
The club’s annual accounts are verified by Huw Evans, Chartered Accountant, based in Ammanford. Huw Evans, originally from Brynaman, continues to offer his services free of charge, in order to support his community.
The treasurers provide regular financial reports to the board of trustees during monthly meetings. They also have responsibility for grant applications.
5. FIVE YEAR PLAN

Clwb Plant Brynaman’s energy strategy will be implemented during 2026, with solar panels being installed in early spring. Other developments will be the installation of a battery, insulating measures to avoid heat loss and eventually, an air to air heat pump system of heating and cooling the building.

The new part time administrator role will be monitored and if successful, the role will be made more permanent.

Savings from the green energy initiatives will enable the Charity to recruit an additional, part-time childcare worker for the day-care element.

The rotting wooden shed that houses all the outdoor gardening and sports equipment will be replaced by a sealed, metal shed and new equipment bought.

The organisation plans to increase its gardening and growing projects and will contact Keep Wales Tidy in 2026 to install planters at the premises.

Clwb Plant Brynaman staff and trustees continue to work with Mudiad Meithrin on increasing the use of the Welsh Language within the club and its activities.

Trustees and members will begin to work on the feasibility of erecting a conservatory at the main entrance, to house the organisation’s main office, which is currently squeezed into the back storeroom, among all the toys and equipment.
