## **Chairs Report 23[rd] June 2025**
1. Introduction: - This report describes the activities of Derrington Village Hall for the year 2024/25
2. It has only been 8 months since our last AGM as we have tried to bring this forward to bring it more into line with the end of the financial year so it becomes more relevant to our residents.
3. We held an Extraordinary General Meeting in early April this year to discuss the reduction in bookings and our decrease in income in the last quarter of 2024/25. The meeting increased our volunteer workforce and extra trustees agreed to join us after the AGM. We have seen a reduction in bookings in the first 3 quarters which picked up in quarter 4.
4. I have now moved from the village and will be retiring as Chair at the end of this AGM.
5. In addition, two of trustees have decided to retire but will still help volunteer to support the hall for which we are very grateful.
6. Our treasurer has registered the charity for Gift Aid and a number of residents have signed up to give donations.
7. We want to thank all our supporters- those who help at events, those who arrange events and those who attend events
8. I wish the new committee all the best for the future success of the Village Hall.

## **Treasurer’s Report – Derrington Village Hall 2024/25**
## **1. Introduction**
This report provides an update on the 2024/25 accounts for Derrington Village Hall and outlines how we are working to bridge the gap between income and expenses.
## **2. Accounts 2024/25**
The accounts have been audited by Malcolm Kidd, whom we sincerely thank for providing his service free of charge.
## **a. Income** (£36,940)
This compares to £40,666 in 2023/24, though that year included over £10,000 in grants and fundraising, while this year saw only £6,000. In real terms, income has remained stable.
- Hall hire increased slightly, supported by a busy fourth quarter.
- User group income has nearly doubled (exceeding £5,000), largely due to Fun, Food, and Fitness. We extend our gratitude to Helen Sammons and the volunteers who made this event a success.
- Other income levels remain consistent.
- Keep Fit income declined after Sue Challinor discontinued her group in the summer, though Brenda continues her sessions.
- Trustees would like to thank all volunteers who run our user groups, contributing to the vibrancy of the hall.
- General hall hire decreased slightly, but this is now categorized separately from family gatherings to reduce music licence costs.
- Yoga hire sessions have ended, representing a £1,000 annual loss unless we find a new instructor.
## **b. Outgoings**

Expenditure was significantly lower than the previous year, which saw over £15,000 spent on asset improvements.
- Utility payments have decreased, thanks to Russell rerouting our solar panels to power the cooler in the bar rather than hallway lights.
- Repairs and renewals saw a slight increase due to higher plumbing and electrical costs.
- HMRC payments were made on behalf of employees and do not represent operational expenses.
- Sanitary equipment costs appear higher, but a renegotiated contract covers expenses through March 2026.
- Fete and fundraising costs remained similar to last year.
- Deposits are no longer collected, so they do not appear in either income or expenses.
## **3. Updates Since the EGM**
- Ten individuals have signed up for Gift Aid, with some making regular contributions and others one-off payments. This now extends to user group income, helping improve overall funding. More forms and details are available at the back of the hall.
- Three new trustees have joined the team.
- Russell has provided details of battery storage for solar power, and a grant application has been submitted to the Community Foundation. Additionally, DSC has made a generous financial offer towards the batteries, so we have some match funding which always improves the chance of success.
- Website & Social Media: Jen has done an outstanding job improving the website, making event details more accessible and migrating it to a platform with no annual fees—saving at least £200 per year. She also actively updates our Facebook page.
- Fourteen individuals have joined _Derrington One Team_ to help support events and initiatives.
## **4. Conclusion**
A heartfelt thank you to everyone who attended the EGM and stepped forward to support the hall. **We continue to seek new volunteers and trustees** to ensure the future success of Derrington Village Hall.

**Report to the trustees/ Derrington Village Hall members of On accounts for the year 31st March 2025 Charity no 1193099 ended**
I report to the trustees on my examination of the accounts of the above charity for the year ended 31/03/2025.
As the charity's trustees, you are responsible for the preparation of the accounts in **Responsibilities and basis of** accordance with the requirements of the Charities Act 2011. **report** I report in respect of my examination of the accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.
I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination which gives me cause to believe **Independent examiner’s** that in, any material respect: **statement**
- the accounting records were not kept in accordance with section 130 of the Charities Act; or
- the accounts did not accord with the accounting records; or
- the accounts did not comply with the applicable requirements concerning the form and content of accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a ‘true and fair’ view which is not a matter considered as part of an independent examination.
I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.
