## **Derrington Village Hall Trustees report for 2022-2023 AGM 16[th] October 2023**
## **Chairs report**
July 2022 previous 3 trustees stood down, we wanted to say a big Thank you and acknowledgement of the hard work they put in over many years and present CB & PL (previous Chair and Secretary) and GL (previous employee and volunteer) with a glass tumbler to say thanks. CU also presented with also commemorative tumbler as well as she is standing down this year.
Last year 12 trustees stepped up and a thanks from the chair for those people coming forward. We split into 3 teams,
Entertainment- FH, EM, SC, CU, GW, DM Maintenance- KB, RW, JW, BR Finance- FS, SC, CU,LH
DM and LH stood down not long after election.
We have introduced user group meetings, allowing others to join the meetings, their input. (Church, WI, Keep Fit, SC, Darts) Groups currently using the hall:
Yoga Craft Bingo Snooker- usage improved. Bowls Whist drive Table tennis Film Keep fit WI coffee morning NHS stay well service Post Office three times a week.
Newsletter being distributed quarterly around the to try and advertise and keep everyone up to date with events going on in the Village Hall, Social Club and other user groups.
Final plea is we do have volunteers but we need more, we need more support for any event, if you feel like you could please let us know. Social media/website design or anything please get in touch and involved.
## **Entertainment group report**
There has been a significant improvement in the relationship with the Social club . Many joint events have been organised and run, barn dance, children’s Halloween party and

Christmas party, Sausage and Mash, Race Night, 60/70 night and monthly film nights back up and running.
The Coronation weekend was a great success, celebration streaming the coronation in the VH, big thanks to the Parish Council for the financial contribution concluding the celebrations with the volunteer day, ‘The Big Help out’.
Summer Fete was a massive success, where we ran out of food and alcohol which shows what a fun day it was! Massive thanks to all involved.
## **Maintenance team**
- New boiling tap installed in the kitchen making it a lot easier for user groups, in particular the weekly WI coffee morning.
- Heating has been upgraded.
- Maintenance team done the cladding of the shed (SC drink storage area), great feedback and thanks from SC. Along with general maintenance along the way.
- We had sofas donated in the snooker room & new chairs have been purchased for the village hall.
## **Financial report**
- Overhaul on policies and procedures allowing us to apply for grants.
- Massive thank you to Malcolm for his support in the auditing again.
- Previous committee left a healthy bank balance. They had put forward a proposal to buy new chairs which the new committee agreed and these have been purchased
- 2 donations in this year- Alan Merricks and an anonymous contribution.
- Serenity singers bringing a regular income in.
- Comparing last years income very similar but there was a £11k covid grant in 2021/22 so hard to compare with the previous year. No support from the government this year for fuel subsidies.
- DVH showed a loss of just over £2K in this year but chair purchases and heating upgrades have increased our assets.
- Investment Assets have increased with the Defib, new chairs and water heater big expenditures.
- £10k reserve policy now compared to 20k previous trustees had agreed upon which is 6 months costs.

I report to the trustees on my examination of the accounts of the above charity for the year ended 31/03/2023.
**Responsibilities and basis of report**
As the charity's trustees, you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011.
I report in respect of my examination of the accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.
## **Independent examiner’s statement**
I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination which gives me cause to believe that in, any material respect:
- the accounting records were not kept in accordance with section 130 of the Charities Act; or
- the accounts did not accord with the accounting records; or
- the accounts did not comply with the applicable requirements concerning the form and content of accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a ‘true and fair’ view which is not a matter considered as part of an independent examination.
I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.
