## **Minutes of the Lyncombe Lodge RDA Group Trustees’ meeting at Fourwinds, Dinghurst Road, Churchill, Thursday 1 September 2022** 

**Present** :  Stella Dales, Heather Fuller, Venetia Kenny-Herbert and Jane Tomlinson Jane Gunn joined the meeting later

## **Minutes of the meeting held on 2 September 2021** 

The organiser’s name to be added to list of helpers 

Equipment - should read “…. and if anything happens to them, they may need to be replaced.” 

Following these alterations, it was proposed and seconded that these minutes should be taken as read and agreed. 

## **Matters arising** : 

The meeting acknowledged the sad loss of Elaine Jarvis, who will be greatly missed. 

## **Trustees** 

It was proposed and seconded that Jane Gunn should be appointed as a Trustee.  This was unanimously agreed by the other Trustees.

The organiser had spoken to client number 5’s guardian.  Client number 5 is still in hospital.  She needs to be there at night for treatment but can come out during the day.  The hospital has agreed that she may return to riding.  [ **Post meeting** – The organiser showed several volunteers the letter of consent from the hospital for Client number 5 to ride.  To accommodate Client number 5’s disabilities, we decided that a front dismount may be more appropriate for her.  The riding school owner will make the necessary checks to ensure that the pony used will tolerate this.] 

The organiser requested that no comments be made to Client number 8 about her weight gain.  She has a thyroid problem and whilst being aware of what she eats and exercising she is now 12.5 stones. She is very conscious of her weight but the riding school has a horse who can cope with it. 

The organiser reported that she had not ‘chased’ Client number 6, who starts at a new school this term, and does not intend to.  It was agreed that it is up to Client number 6’s guardian to make contact if she wants Client number 6 to ride again. 



The organiser has received a letter from Client number 11’s guardian.  She stopped coming because of her curriculum timetable but this would now let her return.  It was agreed that she could return in the second group.  The organiser to contact her guardian and make the necessary arrangements for her to rejoin next week, if this is still convenient to school and her timetable. 

## **Any other business** 

Concerns had been raised about paperwork concerning each client.  It was felt that the organiser should keep their application forms and green cards but that the coaches should have photocopies for each client in their group.  The organiser has to keep application forms until each client reaches the age of 21.  The coaches should keep their paperwork up to date and inform the leader of any appropriate details.
