## **Trustees Annual Report 2024/25** ## **North Wales & Northwest England Rotary Passport Trust - Charity Number 1192610** ## **Aims and Purpose** The N Wales and NW England Rotary Passport Trust has the responsibility for the oversight and management of the charitable activities of the N Wales and NW England Rotary Passport Club. ## **Objectives and Activities** To apply the funds of the Trust in accordance with the charitable purposes and objectives of the charity as detailed in the Deed of Trust. Priority areas for support are aligned with the areas of focus of Rotary International, namely: - Peacebuilding and Conflict Resolution - Disease prevention and treatment - Water, sanitation, and hygiene - Maternal and Child health - Basic education and literacy - Community economic development - Protecting the environment ## **Achievements and Performance** During the year the Trust continued to manage the District Rotary Youth Award activities as an ongoing annual activity. As a new project the Trust undertook various activities to provide aid for internally displaced Ukrainian citizens. The Trust also continued established projects including organised Coach excursions for the elderly and isolated, Christmas gifts for the underprivileged, cookery instruction lessons and Santa activities. Trust continued to obtain several grants from a variety of commercial and charitable organisations to support community activities. A variety of supplementary fund-raising initiatives were also undertaken by the Rotary volunteers which generated further funds for the Trust. The underlying Passport Rotary Club qualified and received the Rotary Citation for the 202425 period. A reflection of the high level of activity and achievements of the Trust and its volunteer supporters. Only 3 such citations were awarded by Rotary International to the 70 clubs within the region. ## **Financial Review** Restricted income is detailed in the Financial Statement. The largest of these related to income in respect of the operation of the District Rotary Youth Leadership Award activities. £35,908 was spent on a variety of projects supporting vulnerable and needy individuals and their support organisations within N Wales and NW England The net result for the year was an excess of receipts over payments of £6,866. ## **Structure, Governance and Management** The Charity was established by a Deed of Trust on the 6[th] August 2020 which is supplemented by amendments to the Governing Document which were approved at a Trustees meeting on the 7[th] August 2020. Both documents are based upon standard Rotary Great Britain and Ireland documents which have the prior approval of the Charity Commission. A supplemental Grant Making policy was prepared and implemented during the year. The current trustees are: James Oliver Thomas Nicholas John Gidney Suzanne Carolyn Gidney Projects and causes are proposed by the general membership of the N Wales and NW England Rotary Passport Club at their fortnightly meetings. The trustees agree the compliance of the project with the governing document and then oversee the financial management of the activities, reporting back to the general membership on a periodic basis (generally monthly). Banking facilities are established with Natwest and the trust is also registered with HMRC for Gift Aid although no activities were undertaken that necessitated gift aid recovery. It is my responsibility to: Examine the accounts (under section 43 of the act), to follow the procedures laid down in the general directions given by the Charity Commission (under section 43 (7)(b) of the act) and to state whether particular matters have come to my attention. ## **Basis of independent examiners report** My examination was carried out in accordance with the general directions given by the Charity Commission. Examination includes a review of the accounting records kept by the charity and the comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts and seeking explanations from you as trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts presented a true and Fairview and the report is limited to those matters set out in the statement below. ## **Independent Examiners Statement** In the course of my examination no matter has come to my attention: 1. Which gives me reasonable cause to believe that in, any material respect, the requirements: next line to keep accounting records in accordance with section 41 of the act; and to prepare accounts which accord with the accounting records and comply with the accounting requirements of the 1993 act; have not been met; or 2. to which in my opinion, attention should be drawn to enable a proper understanding of the accounts to be reached David Watkinson Moulton Northwich
