Trustees’ Annual Report for the period

From 01/01/2023 Period start date To 31/12/2023 Period end date

Charity name: Freshford & District Tennis Club

Charity registration number: 1192242

Objectives and Activities

SORP reference
Summary of the purposes of
the charity as set out in its
governing document
Para 1.17 To promote community participation in
healthy recreation by the provision of
facilities and coaching for playing tennis.
Summary of the main
activities in relation to those
purposes for the public
benefit, in particular, the
activities, projects or
services identified in the
accounts.
Para 1.17 and
1.19
The Freshford & District Tennis Club
promotes community participation in health
recreation by the provision of facilities and
coaching for playing tennis. The facilities
provided include two all-weather tennis
courts – one of which is floodlit - and a
court-side pavilion/rain shelter.
The courts are available not only to
members, but also to members of the
public upon the payment of a modest fee.
There is no strict dress code (other than
that suitable non-damaging footwear should
be worn).
The club is entirely volunteer-run, and there
are no paid members of staff (the tennis
coach is allowed to use the club’s facilities
to run his own business but is not paid an
employee of the club).
The principal work undertaken to manage
the club’s ongoing operation is undertaken
by the five trustees. When required, club
members are requested to volunteer to
provide assistance to mitigate costs, where
such work can be achieved safely and to a
suitable level of quality.
The club treasurer works with the recently
appointed membership secretary, and
therefore has understanding and control of
all income and expenditures and of the
club’s bank accounts. Expenditure
commitments exceeding £500 are subject
to majority approval by the trustees. All
expenditure receipts are logged. The club’s
financial accounts are produced annually

for members’ review.

Achievements and Performance

SORP reference
Summary of the main
achievements of the charity,
identifying the difference the
charity’s work has made to
the circumstances of its
beneficiaries and any wider
benefits to society as a
whole.
Para 1.20 The 2023-24 membership numbers
have dipped slightly from those
achieved during the 2022-23. Whilst
family memberships fell from 38 to 32,
this was offset by an increased
membership among our adult and
Junior membership. Overall the total
memberships reduced from 99 to 92.
The 2023-24 subscription revenue was
almost the same as the previous year,
as we made the decision to increase
membership fees, to protect the club
against rising costs. Pay-and-play and
guest fee income continues to rise and
we are competitively priced against
other clubs in the area.
As with the 2022-23 season, a suite of
half-price Autumn/Winter packages was
introduced in October resulting in a
limited number of further family
membership sales.
Pay-and-play continued to be used by
members of the public, to which a few
guest fees (now payable online) were
added.
Rising interest rates lead to a much
better return on our reserved cash.
Total income during 2023-24 was
therefore higher again than the previous
three years if you exclude the
extraordinary payments received in
2020 and 2021.
We were able to afford to replace our
existing sodium floodlights with LEDs, as
the first stage towards the second set of
floodlights. The the second payment of
£12,233 was paid in February 2023, and
we hope it will reduce energy use by 50%.
Other than the payment above, there
were one other extraordinary
expenditures made during the period,
namely:
1.
The cleaning and fungicide
treatment of the court surfaces
(£775).

Para 1.21
Statement explaining the
policy for holding reserves
stating why they are held
Para 1.22 Any annual surplus contributes towards a
sinking fund designed to be sufficient for
court resurfacing (which normally might be
expected to be required about once every
10-15 years) and to assist with other major
capital expenditure to enhance the facilities
available to its users.
The courts were last resurfaced in 2008.
With a continuing programme of court
repair and re-coating, it is expected that
resurfacing will not now be required until
2025-26 at an estimated cost of
approximately £35,000
Amount of reserves held Para 1.22 At the end of the period we held
£14,464.98 in a current account with HSBC
and £34,104.20 in a Deposit account also
with HSBC

The charity’s principal
sources of funds (including
any fundraising)
Para 1.47 The club’s principal source of funding
remains the membership fees,
supplemented to a lesser degree by
income from pay-and-play.
Grants will be requested from various
bodies when large capital expenditures are
to be made.
The membership and pay-and-play fees
are used to cover ongoing costs such as
lease costs (to the owner of the grounds)
and general maintenance such as court
cleaning, grass cutting and repairs. Any
annual surplus contributes towards a
sinking fund designed to be sufficient for
court resurfacing (expected to be required
about once every 10-15 years) and to
assist with other major capital expenditure
to improve the facilities available to its
users. A second set of floodlights may be
installed in 2024, however this is still being
discussed.
Maintenance of the facilities to a high
standard will ensure that club members and
members of the public will be able to
continue to enjoy the sport of tennis in
Freshford for many years to come.
