## **TRUSTEES’ ANNUAL REPORT FOR YEAR ENDED SEPTEMBER 30 2024**

## OBJECTIVES 

The West Hendred Village Hall CIO (TWHVH) runs a village hall for the benefit of the inhabitants of West Hendred and its neighbourhood. We offer facilities for recreation and other leisure-time occupation for individuals and groups, of all ages, and for the public at large, with the object of improving conditions of life for everyone involved. 

## ACTIVITIES IN THE YEAR 

Throughout our financial year, October 1 2023 to September 30 2024, the Hall hosted regular activities including Yoga classes, Pilates classes,  a Toddlers group, the Springline choir practices and the local Stitchers group (a vital fortnightly outing in a warm space for a number of older villagers).  In addition, the Hall runs an annual Beer Festival which includes a popular family-focused afternoon; a hugely popular Christmas Fair; quiz nights, lectures, and for children’s parties, adult celebrations and wedding receptions. 

The Hall’s activities and facilities are advertised in the monthly West Hendred newsletter as well as on the Hall’s Facebook page. One-off fund-raising events are promoted in both the West Hendred and two adjacent village newsletters and through hand-delivered flyers.  The Hall’s website will be upgraded in 2025. 

A sub-committee of the Board of Trustees, the Management Committee, was established in the year to organise and run the Hall’s increasing activities and to oversee the maintenance of the Hall, in line with current regulations.  This was a follow on from becoming a CIO.  The Management Committee has attracted several younger members of the village, whose energies and ideas have already augmented the Hall’s presence as a lively community hub. 

In 2024, a new energy-saving system was installed, which incorporates an online booking system. This is already helping to manage the Hall’s heating more effectively and enabling Hall users to make their bookings with greater ease. 

REPORT TO THE VILLAGE (BENEFICIARIES) 

The January 2025 issue of the West Hendred Newsletter included a report of the Village Hall for the last calendar year (2024) and of the coming year to the Village (the beneficiaries); this is distributed to all houses in the village by email or by hand. 

## FINANCIAL REPORT 

Independent Examiner’s report attached; approved unanimously by TWHVH Trustees and the Management Committee. 



In the year to 30 September 2024, the Hall’s income from lettings and events totalled £32,298; donations and grants £4,411 were received. The account ended the year with a credit balance of £22,678.

## ANNUAL GENERAL MEETING 

TWHVH AGM, open to all residents of the village, was held on 26 April 2025. It was advertised for over 28 days preceding the meeting on the front door of the Village Hall, in the Hall’s external noticeboard and in the monthly village newsletter distributed to all houses in the village. 

The following trustees were proposed and elected:

Membership of the Trustees’ committee and the Management Committee is open to all village residents and widely encouraged in the advertisement of the AGM as well as verbally amongst villagers.

I report on the accounts of The West Hendred Village Hall for the year ended 30 September 2024, which are set out on page 2. 

## **Respective responsibilities of trustees and examiner** 

The charity's trustees are responsible for the preparation of the accounts. The charity’s trustees consider that an audit is not required for this year under section 144(2) of the Charities Act 2011 (the 2011 Act), and that an independent examination is needed. 

## It is my responsibility to: 

·         examine the accounts under section 145 of the 2011 Act; 

·         to follow the procedures laid down in the general Directions given by the Charity Commission under section 145(5)(b) of the 2011 Act; and ·         to state whether particular matters have come to my attention. 

## **Basis of independent examiner's report** 

My examination was carried out in accordance with general Directions given by the Charity Commission.  An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records.  It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from the trustees concerning any such matters.  The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts give a “true and fair” view and the report is limited to those matters set out in the statement below. 

## **Independent examiner's statement** 

In connection with my examination, no matter has come to my attention which gives me reasonable cause to believe that in, any material respect the requirements: 

a   to keep accounting records in accordance with section 130 of the 2011 Act 

b   to prepare accounts which accord with accounting records and comply with the accounting requirements of the 2011 Act and 

have not been met or 

ii                             to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.
