## **Castlefields Church Charity Registered Charity Number 1192197** ## **Trustees Report Year Ending 31[st] March 2022 (and for the initial period Nov 2020 – Mar 2021)** Having received confirmation of CIO status from the Charity Commission on 5[th] Nov 2020 the Trustees met for their first official meeting on 23[rd] Nov 2020. Since then, we have worked systematically at setting up all of the necessary processes of Trustees Meetings and CIO governance. Initially the Trustees were the three current Elders of the Church (pre CIO) namely:David Fielding – Chairman Peter Fry Richard Carvell. A further two Elders / Trustees were appointed as recorded in the Trustees Minutes 24[th] July 2021:David Sherwood Lee Rowcroft. Lee Rowcroft was already in post as the Church Treasurer so his appointment strengthened the Trustees by ensuring that the Finances of the church could be properly moved to a new CIO footing. “Nil” Accounts are being submitted for the first period as, although the CIO has been established it has not become fully operational. All assets had not been transferred to the new Charity and members of the church who give financial gifts regularly by Standing Order had not transferred their banking instructions to ensure gifts reached the new CIO accounts being set up. With only the current Chairman having active Trustee experience in recent years, two of the Trustees have attended the Trustee basic training programme organised by “Stewardship” (www.stewardship.org.uk). This has proved invaluable and was the basis of a Powerpoint presentation _“Thinking in the Third Dimension”_ by the Chairman to the other Trustees at the Trustees Meeting 13[th] September 2021. The intention is that all Trustees attend the Stewardship training at some stage in the next 12 months. Church activities have been greatly disrupted by the Coronavirus Pandemic throughout 2020 – 22. Latterly this disruption has eased but the significant Government restrictions on gatherings of people at times have meant that many activities were forced to be online, mainly via the Zoom facility that enabled church members & visitors to connect with church activities virtually. The requirement of self-distancing meant that when restrictions were eased by the Government, our Sunday Services have been held predominantly at Derby Conference Centre – London Road. Despite this considerable hindrance, the church has been able to engage with its charitable aims (as set out in Section 3 of the Church Constitution) and the use of YouTube has enabled the message of the Christian Gospel to be broadcast to a wider audience than perhaps would have been anticipated by the recognised normal means. Zoom & YouTube continue to be used because of this advantage. Regular meetings of our Youth Groups (Junior, Senior & Student ‘YP@C’) have been held throughout the period. Contact with the local community has been maintained with regular distribution of literature and events such as our outdoor Carol Singing & “book give-away” event in the Summer of 2021 and at Christmas. In readiness for the full transfer to CIO operational status, the financial position of the church is healthy. Two substantial amounts have been set aside in agreement with the Church Membership. One is to act as a designated fund for proposed work on the church premises and the other to act as a designated fund to prepare for the eventual employment of an Elder. Savings to facilitate this have been made, as the current Chairman is no longer paid by the church for his services as an Elder. He does remain active in an Elder & Trustee role. These items will be reflected in the first operational report and accounts of the CIO. It is currently governed by 5 Trustees who meet together four times per year formally and at other times as required. They sign off the budget and the annual accounts and annual return. They receive a quarterly summary of the finances for review and two of the Trustees meet bi-annually to review the finances and have the opportunity to ask questions and ensure everything is running in accordance with the Trust. The Trustees ensure that all insurances are in place and that appropriate Health and Safety and Employment procedures are used that are compliant with legislation. ## **ACHIEVEMENTS AND PERFORMANCE** We have vesting agreements in place to transfer the assets and funds of the Castlefields Church to this CIO and the CIO will commence operation on 30[th] June 2022.
