The BMX track and facilities are made available to the general public for open riding and training sessions for anyone able to ride a bike, with Membership available to individuals and families. 

The trustees and a wider committee all acting as volunteers oversee the day to day running of the track and facilities. 

The committee seeks the views of members and other volunteers for activities and improvements to the facilities and participates in the Southwest Regional BMX Series annually. 

There is a welfare officer in place who acts as part of the committee, and we take guidance from British Cycling as a Club Mark accredited club for our standard child protection and welfare issues. 

For the purposes of running the club open sessions and maintaining the facility all trustees give their time voluntarily and receive no remuneration or other benefits.

**Summary of the main activities undertaken for the public benefit in relation to these objects** 

- The promotion of community participation in healthy recreation for the benefit of the inhabitants of Devon by the provision of facilities to participate in BMX racing and cycling. 

Our core activity is ensuring the upkeep of the facilities and organising volunteers for our 3 open sessions per week and liaising with local coaches to ensure training is made available to all participants. 

In addition to our core activities, we have also arranged – 

- Gazebo transportation and set-up for all regional races at Southwest tracks and for those competing in national events. 

- Local club race events during winter months to encourage novice riders to try racing 

- Our own Regional Race Event open to experienced and novice riders 

- Improvements to track and associated facilities.

- We are extremely grateful for the many hours volunteers have spent supporting the club either through open sessions, transporting the gazebo’s, general maintenance and improvements at the track. 

Without this invaluable contribution of time, energy and expertise we would be unable to achieve so much.

This year has seen the main focus being the continued improvement of the general club facilities. We started to replace the fencing, investing in a toddler’s session, purchase of new bikes and spares thanks to a grant from One Stop Community Partnership Scheme. Track and Pump Track maintenance continues after the full revamp. Also, investment in wireless cameras positioned around the club as we invest in the facility. 

For the financial year to 31/10/25 overall turnover was £38,886.56 up from the previous year of £34,236.53 due to the increase in Track Hire fees which totalled £6,667.70. This was expected with the new pricing structure for private coaching set at the 2024 AGM. 

Club memberships and Open Session fees are down so we need to look, as a club, how we can increase these numbers and reverse the curve. Having said that, the running total of riders who registered for our open sessions from beginner riders to expert riders was 2387. 

Food and Drink turnover was down £1608.26 which might be due to people not having as much disposable income. We continue to offer reasonably priced products ensuring we do not make much of a profit on items. 

Investment in a more reliable internet provider, eliminating the intermittent connection, allowing us to run the club sessions and more devices at a faster speed. This ensures that the investment in wireless cameras does what we need it to do. 

Overall profit at £5449.29 up on £1542.48 which is expected after the significant investment in the track in 23/24 and demonstrates the continued investment in the club and facilities.

Cash in bank/hand as at 31/10/2025 was £26,966 in unrestricted funds. The main financial risk to the charity is losing the ability to

open for open and training sessions. 

A minimum amount of £4,000 is held to cover 3 months operating costs in the event of a prolonged period of closure or unexpected maintenance or costs that may occur. 

Funds are being saved for track improvements and further facility improvements as detailed in future plans 25/26.

- Private Hire fees per hour to remain at £25 non Exeter Eagles Riders and £3 for Exeter Eagles Riders. 

- Bike Hire etc to remain unchanged. 

Invest up to £10,000 as capital expenditure to improve the club, potential options to be agreed at a separate committee meeting but things to be considered.
