## **Agenda item:** 3. Proposal for increases and re-structure of BSMM members

**Discussion:** The executive would like to propose an increase in membership fees to £30 for standard members and £75 for 3 year membership for students. We acknowledge that there is a financial crisis within society.However, the proposed increase still retains the charities status as one of the cheapest membership rates for a society, and the new student fee protects students, and guarentees them a travel grant. Neil asked if the membershio could vote on the changes to membership fees. All members present accepted the increase to the standard membership and the new student membership structure.

**Agenda item:** 4. Executive committee elections

**Discussion:** Thre roles on the executive still require nominations and new people in these roles. NG stated as an exectuive we are working on it but no one has come forward to nominate themselves. The roles include: 

- i) Junior clinical representative (Clare’s role) – nomination received 

- ii) Meetings secretary (Lewis’ role) 

- iii) Secretary role (Rebecca’s role) 

**Conclusions:** we will aim to fill these positions in the new year.

**Agenda item:** 5. President’s report **Presenter:** Neil Gow 

**Discussion:** NG stated he must be the only president of the society who has not attended an annual BSMM meeting due to having joint meetings with Fungal Update 2020 and TIMM 2021 and thanks to the society for support. Despite COVID in the last 3 years we have made significant progress. Incorporation of the society was a huge undertaking but this puts the charity in a good legal standing and puts the risk associated with charities on the society rather than the executive and it has professionalised the society. Thanks to Rebecca and Caroline for driving this change and the consultant we employed to assist us with the transition. Thanks also to the executive for their contributions throughout this change. This means the society is robust in structure to continue to support new and developing mycologists in the field. NG also wanted to acknowledge the work undertaken by Dr Mark Ramsdale, Prof. Adilia Warris and Steve

Bates and the team pulling together the work for the joint BSMM master’s course in Exeter with the other certifications that will come with the course. 

> **Agenda item:** 6. Announcement of the next BSMM President **Presenter:** Neil Gow 

NG announced the incoming of our next President, Prof. Malcolm Richardson, who has an lot of experience and will contribute greatly to the society. Also thanks to Prof. Adillia Warris who lost out by a single vote only. Having a vote for President as a society demonstrates the strength and health of our charity. 

One final congratulation to Malcolm and welcome as President and a huge thanks to Adilia and the LOC for the Exeter BSMM meeting, which has been a return to a traditional scientific meeting and is proving to be highly successful. And finally, to everyone to enjoy the sing song later around the piano. 

> **Agenda item:** 7. Scientific meetings update **Presenter:** Lewis White 

## **Discussion:** 

Lewis has no feedback from TIMM but NG was present and confirmed it was a successful meeting and the size was what you would expect of TIMM. The blended session with the BSMM worked well and considering the era of COVID, this was a success for the BSMM. 

Mycology 2022 in Exeter has an impressive >150 registrants and LW thinks the record of 60 abstracts submitted indicates a great interest for the meeting post COVID, and that clearly a great team have organised this meeting. Applauds to the loal organising committee (LOC) for organising a sucessful meeting and attracting that attendance. 

With regards to FIS 2022, which is in 2 weeks time, and is on the changing face of fungi. Rebecca will chair the session with Norman Van Rhijn presenting on the environmental impact of fungal infection, Mike Bromley talking on drug discovery and Rebecca talking on novel diagnostics. 

BSMM 2023 is planned for May 16[th] in Manchester in the Park Inn. However we have identified a clash with the Microbiology Society yeast conference and this wasn’t the case at the time. But we will need to re-arrange the Manchester meeting to allow for maximum attendance. NG clarified that it was the Candida and Candidiasis meeting in Montreal in May. This could impact on attendance.

**Treasurer’s report for financial year ended 31[st] August 2021 – see treasurer’s financial statement** 

These are the financial statements for the British Society for Medical Mycology for the year ending 31[st] August 2021. This is the first set of accounts after converting our Society to a Charitable Incorporated Organisation (CIO). Of note, the financial year-end has changed to 31[st] August, so this first period consists of eight months, from 1[st] January 2021.

The Independent Examiner’s Report to the Trustees of the British Society for Medical Mycology is on the first page. This report concludes that accounting records are in accordance with accounts regulations, and that no unusual items or disclosures in the accounts seeking explanation came to the examiner’s attention. 

The statement of financial activities is broken down on the following five-page report, which has also been sent out to our membership. 

Page 1 of the accounts is a summary of the income and expenditure, and page 2 shows the balance sheet for the BSMM as at 31[st] August 2021. The details are found in the Notes on pages 3-5 of the accounts. Where available, the figures for 2020 are shown on the far right for comparison. The figures shown in the accounts do not include VAT. 

The income for 2021 (page 1) consisted of subscriptions amounting to £1,598 (£2,363 in 2020), together with bank interest of £1 (£36 in 2020). 

Our membership subscription payment rate was only around 30% in 2021. We would urge all members to support your Society by ensuring that the correct amount is paid each year, ideally in January. If you have a direct debit in place, a reminder to update the instructions with our new bank account details, sent out again recently by our Honorary Secretary. 

No annual meetings or other activities were held in 2021. 

Therefore, total income of the BSMM for 2021 was £1,599 (minus £83 in 2020). 

Expenses of the Society are summarised on the lower half of page 1, which I will now go through in more detail. 

No travel grants (1 in 2020, amounting to £350) or Glyn Evans Mycology awards (0 in 2020) were paid in 2021. We would encourage our members to apply for travel grants, especially the Glyn Evans Mycology award. 

The Management and Administration costs are detailed in Note 2 on page 3 of the accounts. These amounted to £686 (£4,322 in 2020), of which £375 was for accountancy fees, and £356 for expenses associated with modernising our administrative systems. 

No other expenses were incurred. 

Therefore, total expenses for the BSMM for 2021 amounted to £686 (£4,672 in 2020). 

The net incoming resources for 2021 were £913 (minus £4,755 in 2020). 

The balance sheet of the Society is shown on page 2 of the accounts and details the bank and PayPal accounts held by the BSMM throughout 2021. The British Society for Medical Mycology finished 2021 with a net worth of £186,458 (£185,545 in 2020). 

I would like to thank Mr Keith Thomson of Gardner and Partners Accountants in Aberdeen, who has been a very supportive accountant for the BSMM over the last 16 years. 

These financial statements suggest that 2021 has been a quiet year for our Society. Outwardly this may appear true, however, behind the scenes tells a different story. 

As an Executive, we have been very busy modernising our Society. This is particularly so for the administrative systems – our Honorary Secretary, Dr Rebecca Gorton, has been progressing well with updating the digital systems used for membership.

After too many telephone calls with HMRC, we have finally sorted the VAT matters associated with conversion to CIO and expect to finalise the Corporation tax issues shortly. I would like to express my deepest thanks to Julian Lomas from Almond Tree Consulting – we most certainly could have not achieved conversion without his guidance and support. We have also been working with the team at the University of Exeter to progress the MSc in Medical Mycology. The return of the MSc is very exciting and will help us meet our educational aims. Furthermore, we hope that it will provide secure income in the years to come which, in turn, can be enjoyed by our membership, for example, as travel awards. 

My term of office ends at this AGM, so this is my final Treasurer’s report. I would like to say a huge thank you to all the Executive Committee members I have had the privilege of working with over the last five and a half years. Your help and support have been invaluable. I would especially like to thank Rebecca Gorton for her unwavering encouragement and friendship – I think she would agree that we learned ‘on the job’ together! 

Finally, I warmly welcome Dr Lily Novak Frazer to the role of Honorary Treasurer. I know our Society will be in safe hands!

Dr Caroline Moore Honorary Treasurer for the British Society for Medical Mycology 

NG stated his huge thanks to Caroline for all her hard work as Treasurer in her term. She has had a lot of challenging issues to face especially with the charity conversion and we couldn’t have done it without her. The CIO is the final outcome of a herculean amount of work undertaken by Caroline.

**Discussion:** RG stated her thanks to Caroline, she will be missed. Issues with membership payments have been generated with the CIO conversions as we lost all the members payments by direct debit. We have a solution of a new system using Stripe, which will allow members to subscribe and not have to remember to pay. These payments can be cancelled at any time. Therefore until these changes are made we don’t want to ‘cull’ any members. Honorary members have not changed, but the executive will be looking to see who might be given honorary member status in the near future. We are looking healthier coming out of COVID and member activity is starting to pick up. It needs to be noted we had a lot of student members join as a result of the Exeter meeitng.

## **Travel grant update** 

We have had a great year for travel grants as we offered 20 travel grants to support the Exeter meeting, of which 9 were taken up. One more travel grant for another conference and a Glynn Evans award for a PhD-related placement. This is great as this is what we do as a society.

> **Agenda item:** 10. BSMM MSc update **Presenter:** Mark Ramsdale 

## **Discussion:** 

Today I’m pleased to update the membership on the University of Exeter (UoE)/BSMM MSc, which is offering a suite of qualifications including postgraduate MSc, diploma or ceritficate. It’s being run jointly between the BSMM and MRC and we have a legal agreement in place. The first students will start the course next Monday (12 September 2022). The students will complete 4 modules per year and in each year progress through certificate, diploma onto complete MSc. MR wanted to thanks the BSMM for their input and drive. Its been challenging to get this over the line and took a while for the university to be on board. However, everyone is now fully on board with the degree program in the UoE, we thought it was something new but of course, COVID changed that. MR wanted to thank the module coordinators including Adilia Warris, Riina Richardson, Andy Borman, Dora Corzo Leon, Caroline Moore and Lewis White leading the first tranche of topics. Also wish to thank Paul Verweijj as the external reviewer of the academic content. We kick off with 2 students, but there are many more who have enrolled, but have not heard from the university but they are being chased. 

We do need to focus on year 2 modules, if you are feeling brave you can sign up as a module lead or contribute a few lectures to those modules. After year 3, 10% of the ceritifcate fees, 15% of the diploma fees and 25% of the MSc fees will be given to the BSMM as income from the course. 

NG thanks Mark Ramsdale and stated this will be a great course lead by the Textbook of Medical Mycology, which is the foundation text book for the course. 

NG wanted to ask the membership to vote on two proposals for the UoE/BSMM course: 

1. Students get a 3-year BSMM membership as standard, as students on the course. 

2. BSMM will offer a scholarship for the course – one every 3 years. 

Rosemary Barnes – how does the electronic voting work – she didn’t get a vote link for President. NG passed to RG but confirmed we did do testing and it worked if members’ emails were up to date. RG checked to see if Rosemary gets emails from the BSMM. But Rosemary was worried she might have deleted it. RG sent a notification to show how it would appear in the inbox, as election buddy. RB stated this might have gone to junk. RG did send a warning that that could be the case. Each email has a unique link therefore it needs to come from election buddy. RG will alert Rosemary personally. 

Ruth Ashbee – please provide the cost of the scholarships for the MSc for the vote. Mark Ramsdale confirmed the price of a module is £1250-2000. Rebecca will put this information in the post.

## **Discussion:** 

- The UKCMN network has currently 24 registered members representing 20 laboratories that are providing various levels of mycology diagnostics. 

- During the COVID epidemic the activity has been limited due to NHS pressures. The network undertook one survey on the capability of mycology diagnostic provision for COVID patients on ICU. The outcome of the survey will be made available later this year. 

- With NHS England (NHSE) reintroducing the Commissioning for Quality and Innovation (CQUIN), the chair of the UKCMN has been in touch with the NHSE antimicrobial resistance board to put antifungal resistance on their agenda. There may be a possibility to be involved in shaping another antifungal stewardship CQUIN. The UKCMN is keen to work with its members on providing guidance to the NHSE, together with the BSMM, on best practice mycology diagnostics integrated in any such CQUIN. 

## **Agenda item:** 12. Website update 

## **Presenter:** Norman Van Rhijn 

## **Discussion:** 

We have worked on the website from the back end to improve security and are protected from cyber attacks, which is now in place. Now we will start the work on the front end and integrating systems, a new layout and modernising the site. We are integrating Stripe, which will allow subscriptions to be set up so members don’t need to remember to pay each year. This will integrate with the Mailchimp and the membership database so we can track our membership accordingly. 

NG stated these are tremendous developments and help to the society and this will really help the general secretary work. We look forward to seeing the new website and new layout. 

Norman requested for any cool fungal pictures to be sent in to him to add to the website. NG stated he should confer with Gordon Brown for this as there are lots of images they have to share.

## **Discussion:** 

- a) Lewis White – related to TIMM – we did have an income associated with the TIMM meeting and it was 7500 euros and was very substantial for a joint meeting. Caroline confirmed this. 

- b) Rosemary Barnes – going back to the UKCMN and NHSE – not to forget about Wales, Scotland and Northern Ireland, which are often more advanced than England in AMS. 

- c) Carol Munroe asked who would be giving the President’s joke at the dinner, Neil had thought about that but he is sorry he can’t be there to give that. 

- d) Rebecca wanted to thank Neil Gow for the last 3 years of presidency and for giving the executive the free reign and trust to develop the society.
