Trustees report to the charity commission January 2021 to January 2022

We began 2021 providing indoor shooting for our members maintaining social distancing requirements and following the regulations from our national governing body to enable covid safe archery to take place. As the year progressed the covid requirements began to be relaxed nationally and we moved to our outside venue for the summer season. It was possible to increase the participation opportunities for our members to their prepandemic levels at our outside venues by July 2021.

Because of the disruption to shooting in the first half of the year we took the decision to reduce membership fees when they were due in September 2021. This was possible without loss to the organisation as our expenditure on venue hire had been slightly reduced and enable us to support our members. Towards the end of 2021 the trustees took the decision to buying 22 new 3D targets to be used at our field venue as part of a consortium purchase with a number of other clubs. This reduced the price of the targets by at least 50% compared with buying them individually and will be an investment that provides us with useable targets for many years. We have paid for the 3Ds in this financial year and they will be delivered in late spring 2022.

In the spring of 2021 we were able to resume providing competitions for our members and other archers after not being able to run any competitions during 2020 because of the covid-19 pandemic and associated lockdowns. We were able to run three major outdoor competitions in 2021, following the appropriate covid secure guidance from our national governing body. This activities helps to further our goal of advancing amateur archery and also provides income.

Our field shooting venue was devastated in late 2021 by Storm Arwen which caused significant damage to our storage spaces and targets through a large number of fallen trees. Work is ongoing by our volunteers to salvage equipment and to decide on where to re-site the hut, given that the previous location is inaccessible. Discussions are also ongoing with the landowner about the actions that they may take to deal with the damage to the woods.

Again because of the pandemic, we did not undertaken any public have-a-go events between January 2021 and January 2022. We hope to resume our have-a-go events in the spring of 2022 and have already received some enquiries to that effect. Have-a-go events help to further our charitable causes of advancing community participation in healthy recreation and the advancement of the amateur sport of archery in the local area. Recommencing these events is therefore a priority.

During the national lockdowns the number of people expressing an interest in attending our beginners courses increased as we were not able to safely run courses. During the summer of 2021 we were recommence providing beginners courses. Our volunteer coaches and helpers ran two courses outside with reduced numbers and covid secure measures. This helped to reduce the number of people on our waiting list and enabled sixteen members of the public to begin to participate in archery in line with our charitable purposes.

We continue to actively look for land that may be suitable for us to buy and develop as our own target venue to help develop the club further. This is challenging within the local area as suitable land is generally prime agricultural land and normally sells for well above it’s asking price. However we continue to look and to try to add funds to our capital account for the purpose of a potential future land purpose. Due to significant fundraising efforts in previous years, and careful management of our funds we are in a much better position than many sports clubs post covid with significant reserves although much of this is set aside in our capital fund in the event that we do find suitable land.

Treasurer’s statement accompanying accounts

Our largest expense for 2021 has been the partial payment towards the purchase of 3-d targets for the woods. Having taken this unusual expenditure into account, we balanced our accounts despite partial covid-19 lockdowns still being in place for some months. The limited number of tournaments and beginners’ courses we held, as well as membership numbers have all contributed to maintaining the club.

Other large unavoidable outgoings include new leg stands, straw bosses, insurance and indoor venue hire. The number of members attending the indoor hall has been lower for 2021 than in previous years, but hopefully this will reverse as people start to feel more comfortable with shooting indoors again.

Similar to the previous accounting year, 2021 had been a disrupted period and some usual expenses had not been paid before year end, such as fees to the rugby club and for the hire of the woods. These will, therefore, appear to be larger than expected in the accounts for 2022.

Finally, we should note that we continue to gain interest in the two savings accounts the club holds. We have been fortunate in not needing to dip into our reserves due to the hard work of those members who regularly help run tournaments and beginners’ courses, to whom we should be thankful.
