Structure, Governance and Management
Governing Document
Market Weighton Youth Action Group is a Charitable Incorporated Organisation (CIO) governed by its constitution (Association model), registered with the Charity Commission on 30 June 2020.
Recruitment and Appointment of Trustees
The Constitution outlines the procedure for the appointment of Trustees. There must be a minimum of 3 trustees and a maximum of 11.
At each AGM, one third of the Charity Trustees shall resign from office but may be reappointed. A Charity Trustee who has served for three consecutive terms may not be reappointed for a fourth consecutive term but may be reappointed after an interval of at least one year.

All Trustees are provided with a copy of the Constitution, a briefing on the roles and responsibilities of Charity Trustees and a copy of the CIO’s latest Trustees Annual Report and financial statements.

Organisatonal Structure:
The charity is managed by the Board of Trustees and is responsible for all strategic decisions. Trustees are made aware that any conflicts of interest must be declared and minutes.
Risk Management
The major risks to which the charity is exposed, as identified by the Trustees, are regularly reviewed and systems have been established to mitigate those risks.
Objectves and Actvites
The purpose of the charity as set out in the constitution is:
To advance in life and relieve needs of young people in Market Weighton and the surrounding area through:

The provision of recreational and leisure time activities provided in the interests of social welfare, designed to improve their conditions of life;

Providing support and activities which develop their skills, capacities and capabilities to enable them to participate in society as mature and responsible individuals.
The Trustees have given regard to the Charity Commission guidance on public benefit.
Achievement and Performance
Review of Actvites 2023 to 2024
During the year we have gained further funding for different outreach projects including a councillor led socially inclusive sessions. We held a number of fishing sessions and other fun activities outside of the Friday sessions.
Financial Review
Reserves Policy
In line with the Charity’s Reserves Policy, we opened the financial year with £3000 of unrestricted reserves. These are held in our reserves bank account. Our policy states that we will increase these reserves by £500 per year, however it was agreed in a meeting to save some

extra funds in the reserves and we finished the financial year with a reserve balance of £7000. Our Reserves Policy will continue to be reviewed annually.
Principal Funding Sources
Our principal funding sources for the current period came from donations, subs, tuck shop sales. In addition, we have received small grants from both Tesco and the Market Weighton Rotary and the Market Weighton Town Council.
Statement of Disclosure of Informaton to the Independent Examiner
We, the trustees of the Charity who held office at the date of approval of these financial statements, each confirm that so far as we are aware:
There is no relevant information of which the Charity's Independent Examiner is unaware.
All steps have been taken to make ourselves aware of any relevant information and to establish that the Charity's Independent Examiner is aware of that information.
Statement of Trustees' Responsibilites
Charity Law requires the Trustees to prepare financial statements for each financial period which gives a true and fair view of the state of affairs of the Charity and of the excess of income over expenditure for that period.
The Trustees confirm that the accounts comply with the above requirement. The Trustees are responsible for keeping proper accounting records which disclose with reasonable accuracy at any time the financial position of the charity and which enable them to ensure that the financial statements comply with the Charities Act 2011. They are also responsible for safeguarding the assets of the Charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.
During the period the income of the Charity was below £250,000, therefore in line with Charity Legislation the trustees have elected to prepare their accounts on the Receipts and Payments basis.

A brief description of the restricted funds is given below:
East Riding of Yorkshire Council
Restricted funding from East Riding of Yorkshire Council for the initial setting up and continued development of the charity, to enable them to provide activities for young people in the Market Weighton area.
Two Ridings Community Foundaton
Restricted funding from Two Ridings Community Foundation for the development of a Youth Outreach project in Market Weighton.

Taylor Wimpey
Restricted funding from Taylor Wimpey for the development of a green gardening project to improve the town.
Groundworks (Tesco)
Restricted funding from Tesco, as voted by their customers via the Blue Token scheme, for the provision of family sporting activities.
Market Weighton Town Council
Restricted funding form Market Weighton Town Council to provide alternative Skate Ramp facilities, in the car park behind the Youth Hub, or by visiting a fellow community charity in Driffield.
Angling Trust
Restricted funding from the Angling Trust to provide fishing trips and equipment for the development of life skills and independence.
– East Riding of Yorkshire Council LGBTQ+
Restricted funding from ERYC to provide a safe space and counselling for the young people of Market Weighton.
- 2 Donations
We have received some very kind donations from parents, members of the public and generous local businesses.
- 3 Tuck Shop
Our Tuck Shop operated from the “Hub” has proved very popular. We endeavour to be as cheap if not cheaper than anywhere else in Market Weighton. However, this does allow us to use the small profit made to purchase additional equipment for use of our users in the “Hub”.
- 4 Subs
We charge £1 per person for access into the “Hub” on a weekly basis. However, everyone is given their first week at the “Hub” for free, allowing them to see what we offer. This small charge goes towards the rent for the space charged by The Acorns.

Throughout the year we have offered a variety of additional events including:

It is important to us that these trips remain free for all our members, ensuring that during this period of higher cost of living, no young person is excluded.
5a Interest
We accrue interest in our reserves account only.
Payments

Unfortunately, we have been unable to recruit any further outreach workers this year. We continue to seek them going forwards

- 7 Equipment Purchase
This year we have purchased a laptop for the treasurer to use, plus trustees when needed. We also upgraded our speaker system for our cinema nights.
Our total cost for Equipment was £818.43
- 8 Advertising & Marketing
We are now the proud owners of a branded gazebo for use at public events, funded by the Market Weighton Rotary.
Our total cost for Advertising and Marketing for the year was £899.80
9 DBS
We haven’t needed any DBS checks this financial year.
Our total cost for providing volunteer DBS’s this year was £40.00

We have had a successful year with our events, Footgolf, Cinema Trips, Water Parks, Movie Nights and End of Term Discos, the feedback has been fantastic.
Our total cost for Events this year was £5173.53
Sundries
Our total Sundries costs this year was £207.99
Expenses
This is the total cost we have reimbursed volunteers for out-of-pocket expenses throughout the year. We can confirm that no expenses have been paid to reimburse any volunteer travel costs, and we continue to thank all our volunteers for not only their time, but small financial commitment to us.
Our total Volunteer Expenses were £254.18
IT
Within this figure are the costs for our Web Hosting and PlayStation costs.
Our Total IT Costs this year were £71.86
- 11 Professional Fees
Insurance
We can confirm that we have renewed all our insurance policies with Ansvar, and the annual premium was £311.76
Accounts
Our management accounts are produced monthly by our Trustees, led by Helen Baxter our Treasurer. This Financial Statement was then produced by John Marshall & Ellen van der Kroon two of our Trustees before being checked and discussed at length by all other trustees.
Our Account cost for independent Examination this year was £0.00

We check all our tuck shop pricing before we purchase, and mainly use both Bookers and Hancock’s based in Hull.

We would like to thanks The Acorns for the use of their building at a very reasonable rate. As we develop, we are continually looking for a dedicated place of our own.
Our total Accommodation cost for the year was £358.80
Transport
We are delighted to support fellow youth groups in Market Weighton and are proud that whenever we need a minibus to provide transport to events away from Market Weighton, we always use our friends at Market Weighton Scouts, who continue to provide excellent and wellmaintained Minibuses.

- 14 Current Account
This is our main bank account and is administered by our Treasurer Helen Baxter.
15 Second Account
This year we opened a second bank account to allow us to keep Restricted and Unrestricted funds separate. This account has the same multi-trustee access requirement.
16 Reserve Account
This account is where we hold our reserves as per our reserves policy. It gains a good amount of interest each month.
17 Petty Cash
We have 2 cash floats when we operate the “Hub” 1 for the Tuck Shop and 1 for the Subs, this value also includes any income generated prior to it going to the bank.

We have continued to generate unrestricted funds via Subs, Tuck Shop sales and our ever popular Lucky Square Competition. In addition to this we have received some very kind donations from parents, members of the public and generous local businesses.

20 TV, Stand & Speakers
Our 85” Smart Samsung TV is stored at The Acorns and is very popular with our members. We mainly use You Tube on “Hub” evenings. We also use this TV when showing films at our Film Nights. This year we added speakers to the system for surround sound entertainment.
- 21 PlayStation 4
Our PlayStation 4 is a very popular facility in the “Hub”. As soon as we have more space, we plan to complement this with an Xbox and Wii.
- 22 Pool Table & Table Tennis Table
Both of these assets were donated to us.
- 23 Debtor
We can confirm that as of the 31[st] March 2023, we had no debtor.
- 24 Creditors
We can confirm that as of the 31[st] March 2023, we had one creditor due to a missed payment.
Payments to Trustees
No remuneration directly or indirectly out of the funds of the Charity was paid or payable for the financial period to any Trustee.
There was no reimbursement of travel expenses in respect of the financial period.
Taxaton
Market Weighton Youth Action Group is a registered charity. All the Charities’ income is applied to its charitable objectives and the association is therefore exempt under current legislation from most forms of taxation.
The charity is not VAT registered and all expenditure includes irrecoverable VAT.
