AGAPE SELF SUFFICIENCY
STRUCTURE, GOVERNANCE AND MANAGEMENT
Governing Document
The organisation is a charitable company limited by guarantee, incorporated on 20 July 2018, and registered as a charity on 18 June 2020. The company was established under a Memorandum of Association which established the objects and powers of the charitable company and is governed under its Articles of Association. In the event of the company being wound up members are required to contribute an amount not exceeding £10.
Recruitment and Appointment of Management Committee
The directors of the company are also charity trustees for the purposes of charity law. Under the requirements of the Memorandum and Articles of Association, members can appoint any person who is willing to act as a director and determine the rotation in which any additional directors are to retire. No person other than a director retiring by rotation may be appointed a director at any general meeting unless he or she is recommended for re-election by the directors, or not less than fourteen nor more than thirtyfive clear days before the date of the meeting, the charity is given notice that: is signed by a member entitled to vote at the meeting; states the member’s intention to propose the appointment of a person as director.
The Management Committee seeks to ensure that the needs of this group are appropriately reflected through the diversity of the trustee body. The management committee is made up strategic advisers in both UK and Cameroon and talented volunteers in Cameroon (medical doctors, social workers, teachers, lawyers and builders). The main purpose of the management committee is to ensure all resources are maximized to improve the lives of victims of war and orphans in Cameroon.
In an effort to maintain this broad skill mix, members of the Management Committee are requested to provide a list of their skills (and update it each year) and in the event of particular skills being lost due to retirements, individuals are approached to offer themselves for election to the Management Committee.
Trustee Induction and Training
New trustees are invited and encouraged to attend a series of short training sessions (of no more than an hour) to familiarise themselves with the charity and the context within which it operates. These are jointly led by the Chair of the Management Committee and the Project Coordinator of the charity and cover:
-
The obligations of Management Committee members.
-
The main documents which set out the operational framework for the charity including the Memorandum and Articles.
-
Resourcing and the current financial position as set out in the latest published accounts.
-
• Future plans and objectives.
Risk Management
The Trustees constantly conduct a review of the major areas of risks to which the charity is exposed. A risk register is established and updated on annual basis.
Systems or procedures are established where appropriate to mitigate the risks the charity faces.
External risks to funding have led to the development of a strategic plan which allow for the diversification of funding and activities.
Internal control risks are minimised by the implementation of procedures for authorisation of all transactions and projects.
The trustees are satisfied that the risks have been adequately addressed and recognises the process as ongoing.

Organisational Structure
The organisation has a Management Committee made up 3 members who meet quarterly and are responsible for the strategic direction and policy of the charity. At present, the committee consult with 9 members from a variety of professional backgrounds relevant to the work of the charity.
The day to day running of the project is managed by the Project Coordinator on the ground. Local volunteers are recruited to support the running of the project.
Related Parties
No trustee or other person related to the charity had any personal interest in any contract or transaction entered into by the charity during the year.
Objectives and activities
The main objectives and activities for the year are to continue to prevent or relief poverty or financial hardship specifically but not excluded in Cameroon and Nigeria by assisting in the provision of education n, training, and healthcare projects for vulnerable children and victims of war.
The strategies employed to assist the charity in meeting these objectives included the following.
-
Providing opportunities for orphans and disadvantaged children by helping them to achieve their aspirations.
-
Reaching out to orphans and vulnerable children who have been deprived from schooling for the past four years due to war.
-
Working with credible organizations and individuals on the ground to address the children's needs in a practical and professional way without discrimination.
-
Support displaced and extremely poor individuals to generate sustainable income through farming and rearing animals.
Public Benefit
The trustees have had due regard to guidance published by the Charity Commission on public benefit and consider that the charity complies with the requirements. When planning our activities for the year, the board of trustees have considered the commission’s guidance on public benefit. Our objectives are designed to help some of the world’s poorest displaced and homeless people gain access to basic education, food, books and tools connected to educational training requirements.

ACHIEVEMENTS AND PERFORMANCE
For the past seven years, the Northwest and Southwest regions of Cameroon have faced severe hardship due to an ongoing socio-political crisis. What began in 2016 as protests by teachers and lawyers against the discrimination of the Anglophone minority has escalated, leading to significant consequences. By August 2023, 598,000 people had been displaced, and over 2 - - million required humanitarian aid https://www.hrw.org/world report/2023/country chapters/cameroon. The crisis has left hundreds of children orphaned, malnourished, and homeless, many of whom suffer emotional trauma. Education has been heavily impacted, with kidnappings and school burnings making it difficult for parents to send their children to school.
In response, Agape Self Sufficiency volunteers initiated a summer school program in the West Region of Cameroon to support the most vulnerable children, including orphans and those from disadvantaged families. The program, hosted at College de Mbouo Bandjoun from July 16 to 30, 2024, provided education and care to 51 children with the help of eight staff members. The objective of the summer school program in Cameroon was to prepare orphans and vulnerable children, who due to poverty have been out of school, for the 2024/2025 academic year in addition to providing a safe space for trauma healing.
Key Activities:
-
Counselling and Trauma Healing
-
English and Math Lessons
-
Music and ICT Training
-
Extracurricular Activities
Selected summer school children are orphans or have been abandoned by their parents, leaving them to fend for themselves or rely on elderly relatives who are unable to provide proper care. Without stable parental guidance, these children are left vulnerable, unsupported, and disconnected from basic needs like education and emotional support. A common thread across their stories is the disruption of education. Many of these children have never been to school, have dropped out, or are unable to attend due to financial constraints, displacement, or the crisis itself. Without access to education, they are being denied the opportunity to build a better future for themselves. Several children are suffering from depression, grief, and emotional trauma due to the loss of family members, the instability of their environment, and the harsh conditions of their daily lives. Without intervention, these emotional wounds can have long-term effects on their development and ability to function in society.
Counselling and Trauma Healing sessions
During the first three days, the project coordinator guided the children through sessions focused on self-discovery and self-acceptance. The children shared their backgrounds, identified their fears, and wrote down their dreams. Storytelling played a powerful role, allowing them to express feelings of neglect and share personal struggles. Many wept as they recounted the impact of the crisis, the loss of loved ones, and experiences of hardship.
Despite these painful stories, the sessions ended on a positive note, with the children writing down visions for their future and affirming that their past would not dictate their decisions moving forward.

English and Math Lessons
A pre-test, consisting of oral and written assessments, was conducted to gauge the children's knowledge, and understanding. The English syllabus covered sound and word building, nouns, reading comprehension, and essay writing. By the end of the two weeks, children who initially struggled with spelling, reading, and writing were able to construct basic sentences. For example, Bless and Marie, who had never been to school, learned to speak basic English. Bless, who initially spoke only in his dialect, was able to communicate in English after a few lessons. Secondary school students, with the help of the language classes, even wrote closing speeches about their summer school experience.
The math syllabus included algebra, Roman numerals, equations, and basic arithmetic (addition, multiplication, and subtraction). By the end of the summer school children who had not attended school for 2-4 years were able to solve basic secondary school problems like simplification and variables.
ICT Lessons
Agape Self-Sufficiency raised funds that allowed us to purchase six laptops which are now being used to train vulnerable children in essential computer skills. The summer school children participated in computer learning sessions, where they were introduced to the parts of a computer, how to turn it on, and the pros and cons of social media. Many, who had never used a computer before, learned how to create folders, work with Microsoft software, and insert tables in MS Word. The children showed great interest in developing their information and communication technology skills.
Music Lessons
The music teacher provided lessons on basic music theory, solfa notation, rhythms, and simple melodies. The children learned to sing in harmony and play instruments like the drum, keyboard, and guitar. Music also served as a therapeutic outlet, helping the children heal emotionally.
Extracurricular activities
The program also included extracurricular activities such as football, handball, skipping rope, and dodgeball, which facilitated trauma healing. Talent shows during sociocultural evenings allowed the children to showcase their skills in dancing, singing, drama, and storytelling. Agape Self Sufficiency Charity also celebrated birthdays for those whose special day occurred during the summer school, bringing joy to children who had never experienced such attention before.
Healthcare
Medical care was provided to children in need during the summer program. Bless, a sickle cell patient with a mentally ill mother, received hospital treatment for the first time. Other children, like Merville, who had eye issues, and Miracle, who suffered from long-term stomach problems, also received medical attention. Miracle would have probably gone blind if not for the timely intervention of Agape Self Sufficiency during the summer school ASSUF covered all medical expenses and continues to monitor their health. Terry and Rollings, both suffering from skin diseases, were treated as well, with Terry undergoing X-rays and scans for a leg wound infection. ASSUF continues to provide follow-up medical care for these children.

The kitchen department
The kitchen department played a crucial role, consistently serving meals on time and preparing common, nourishing dishes. Food was provided three times a day, which was a rare opportunity for many of the children, as they often struggle to have even one good meal where they come from. By the end of the summer school, many children expressed reluctance to leave, with several saying, "I don’t want to go back because here we eat well." The warm and comforting environment left a lasting impression on them.
The summer school program, costing around £100 per child, covered transportation, boarding, teachers' fees, trauma healing, and meals. The children showed significant improvement in skills, emotional healing, and motivation to return to school, with positive feedback from guardians. To increase our impact, we aim to scale up the program and are currently seeking funding to make it an annual initiative, reaching more vulnerable children on our waiting list.
The summer school program was a great success, helping traumatized children gain confidence, express themselves, and renew their desire to return to school. Over the 14 days, the children formed close bonds, learned to live in unity, take responsibility, and develop positive behaviours. Many shared how they had never experienced such love or friendships, and some didn’t want to return home due to the care and support they received. One child expressed, “I wish we could have this program every year because now I know my purpose,” while others longed for their family life to resemble the friendships formed during the program. With tears Glory noted “I wish my family is like my new friends in the summer school”. See below for more feedback.
FINANCIAL REVIEW
Despite facing challenges such as limited resources and uncertainties around funding, the charity has managed to overcome these obstacles through effective financial management and the continued support of donors. As a result, it achieved a positive financial outcome for the period, with a net increase in funds of £10,353. A portion of these funds will be allocated to upcoming educational projects.
Principal Funding Sources
The charity's primary sources of funding currently come from donations made by individuals and organisations. However, the rising cost of living and high interest rates have been impacting on the amount of funding raised. In response, the charity plans to expand its efforts by seeking funding from a wider range of agencies.
Investment Policy
Aside from retaining a prudent amount in reserves each year most of the charity's funds are to be spent in the short term so there are few funds for long term investment.
Reserves Policy
The Management Committee has examined the charity's requirements for reserves in light of the main risks to the organization. It has established a policy whereby the unrestricted funds not committed or invested in tangible fixed assets held by the charity should be between 3 and 6 months of the expenditure.

AGAPE SELF SUFFICIENCY
PLANS FOR FUTURE PERIODS
The charity supports vulnerable children who have lost parents, been abandoned, or come from poor single-parent homes. This year, Agape recruited 11 volunteers to reach remote villages heavily impacted by war, where many children are abandoned. Volunteers identified 220 children, but we only had funds to support 160. With more children on our waiting list, we’re exploring ways to raise additional funds. Our goal is to help these children attend school or pursue careers to achieve financial independence.
TRUSTEES' RESPONSIBILITIES STATEMENT
The trustees (who are also the directors of AGAPE SELF SUFFICIENCY for the purposes of company law) are responsible for preparing the Trustees' Annual Report and the accounts in accordance with applicable law and regulations.
Company law requires the trustees to prepare accounts for each financial year. Under that law the trustees have elected to prepare the accounts in accordance with United Kingdom Generally Accepted Accounting Practice (United Kingdom Accounting Standards and applicable law). Under company law the trustees must not approve the accounts unless they are satisfied that they give a true and fair view of the state of affairs of the charity and the income and expenditure of the charity for that period.
In preparing these accounts, the trustees are required to:
-
select suitable accounting policies and then apply them consistently;
-
observe the methods and principles in the Charities SORP;
-
make judgements and accounting estimates that are reasonable and prudent; and
-
prepare the accounts on the going concern basis unless it is inappropriate to presume that the charity will continue in operation.
The trustees are responsible for keeping adequate accounting records that are sufficient to show and explain the charity's transactions and disclose with reasonable accuracy at any time the financial position of the charity and enable them to ensure that the accounts comply with the Companies Act 2006. They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.
