## **GPFA Minutes AGM Tuesday 20[th] June 2023 at 7.30pm**

3. Chairman’s annual report for 2022 (NK) 

Short period of report from Nov 22 (last AGM) until today 

The field remains a challenge due to the sand slits.  Sand was added due to the cracks from the dry last year, but due to winter the ground has swollen and ridges have arrived, this is an ongoing issue. 

The carpark is a success for school parking and walkers using the local area.  We are looking to top up the pea gravel on the car park.  Sourcing gravel has been an issue, therefore once sources it will be distributed on mass. 

The grass cutting rota has gone well.  NK thanked the committee and all others that have helped to cut the grass on a regular basis.

The committee hosted a successful coronation party, it was a lovely weekend with all the village activities and the playing field was a fantastic venue for the event. 

The school are about to use the field for sports day and for also hosting 300 children for a music festival which is planned in July. 

NK thanked everyone involved in making the playing field a huge success. 

## 4. Financial Statement (GB) 

The financial statement for up to 28[th] February 2023 

Opening balance £ 2798.73 

Income £9,100.55 

DRAFT 

Outgoings £10,042.47 

Closing balance £1856.81 

Large income was generated from Main Grants BGC £7,000 and a generous donation from Comparethemarket.com £1000. 

Large outgoings were from the purchase of the lawnmower £5,820.00 and repair of sandslits £1400. 

## 5. Chairman to invite comments and questions from the floor. 

Greg Bliss has a tailer which can help with getting gravel for the car park if needed and a shovel on front of tractor to help distribute the gravel.  MM to co-ordinate 

MM has submitted a bid to Augean Community Fund for further funding to help with the maintenance of the field.  MM’s first thought is that we won’t get funding due to the amount we have already received.  We await the outcome. 

It was asked if grass rolling would help with the raised sand slits.  It was discussed 

and concluded rolling will help when right moisture content is present to help.  If conditions are right Greg can use a roller on the back of tractor and has offered to assist. 

Greg could roll field before the school sports day (28[th ] July) – it was acknowledged 



this would be really helpful Thank you. 

6. Election of management Committee members - up to 6 members to be elected annually at the A.G.M.  Chairman to invite nominations for the Committee from the floor 

   - Chairman to ask existing Committee if they wish to remain at their present posts. – All positions agreed as before: 

      - Chair – Nick Knowles (NK) 

      - Secretary – Debbie Carmichael (DCa) 

      - Treasurer – Gillian Bland (GB) 

      - Malcolm Moss (MM) 

      - David Cashmore (DC) 

A request for vice chair was made and MM volunteered, thank you. 

Sam Moss would be willing to join committee.  Paul Woodstock and Phillip DRAFT McNaughton will hopefully join committee.  DCa to invite them after meeting MM to send through email 

MM would like to organise a small group to look after the field and focus on field maintenance.  This will be brought to next committee meeting. 

- Chairman to call for votes for nominees if necessary. 

- Chairman to ask if anyone wishes to become a trustee – The Trustees remain the same. MM, NK, EI and SB will remain as Trustees 

## 8. Any other business. 

MM Parish council auditor suggested The children’s’ play area inspected by outside body yearly and you need a certificate and you might need it for insurance. MM will look into this and bring to the next committee meeting. 

Following the meeting Dca will write minutes NK, MM and DC will sign off.
