Objertives and Aclivities
To promote, advance and improve for the beneflt of the public agriculture, horticulture and rural
rafts and skills in all their branches by the improvement of livestock and the demonstration and
showing of livestock, machinery. craftS* products, methods and processes connected with agriculture
and agricultural education in particular, by the holding of an annual show.

The trustees confirm that they have referred to the guidance contained in the Charity Commission's
general guidance on public benefit when reviewing the charity's aims and objectives and in planning
future activities.
Achlevement5 and Perfomiance- a message from the Trustees
The year started with welcoming Rob Hlcks at the 2024 AGM onto the board of trustees. This fU￿illed
Charity Commission objective to include representatives who are not necessarily members of the
organisation itself, and has had the benefit that Rob has brought vlews from his own perspective of a
lifetime of experience within agriculture In the Ryedale area.
This belng an annual report, it is necessary that we cover the events that occurred last spring and led
to us leaving our home for several decades and returning to one of our previous sites. It is important
that nobody is in ony doubt about our decision to leave or the reasons It came about.
The trustees had a frank and candid meeting with Mr William shaw on 29 April last year. Mr Shaw
had been offered a considerable suth of money by Simon Boak for hire of the Ryedale showfield site in
order to hold a Steam Fair, and solely because of this, Mr Shaw said that he Saw no rea50r¢ why
Ryedale Agricultural Society could not afford a similar fee to hire the same site. The trustees
attempted to explain to Mr Shaw that as a charitable organisation, our event was ¢05ted SQ that in an
average year, we could cover our overhead5. but that our objectives were not solely to make profit.
Unfortunatelyi we were supremely unable to get Mr Shaw to see our point of view- he was adamant
that we were able to afford a similar amount of money as Mr Boak was paying. Crucially. he insisted
that the payment be called a voluntary donation to The Friends of St G￿Eory'S Minster. lof which he
and his brother are trustees), despite being repeatedly told by us that our objectives a5 a society'to
promote agriculture and rural craft5 in the local area" would prevent us from donating such a large
portion of our income to that cause. Significantly, he refused to agree to a written contract allowin8 US
to hold the event on hi5 land.
Regardless of the ne8Otiations about the future horfie of the Show, the usual preparations continued
for the 2024 Show at Welburn Park, and yet another very successful event was delivered. due to our
experienced, professional ahd formidable tealn of staff and helpers. Indeed, it was almost tompletely
overlooked that it was only our ger)eral secretary Keira's second ever show- so accomplished and in
control was she. Likewise, havin8 Rachel our Chairperson at the helm for a secohd consectstive Show
proved to be of great benefit. We were fortuhate to be blessed with great weather on the day* made a
surplus on the year and received Bood feedback from those attending.

So, as you wlll know, at the inquest meetln8 followln8 the Show, we receNed a mandate from the
majority of those attendin& to proceed with talks Wlth the owner and agent at Duncombe Park in
order that we return the￿ after a gap of several decade5. This is of course an exciting project and is
the beginning of a new chapter In the hlstory of the show. We expect that the Duncombe Park slte to
be a much more sultable sSte for the future of the Show for several reasons, not least of which Is that
their team are experienced at h05ting many events over the year, and they view hostlng the Ryedale
Show as being the jewel in their crown of event5. The site itself has a great view of Ryedale Siretching
out into the distance and the great house In the near foreground, and of even more importance to
oursefves. a field unlikely to cause us issues with vehicles getting stuck in the mud lit Is easy to forget
wlth tlme that we had a crlsls meetlng three days before the 2023 Show due to the wet ground
conditions).
So. to finalise. a huge "thank you" from the Trustees to all secretaries. helpers and councll members
land just to sin8levOUt one per50n. Mr John Kendall for his work In plaftfting our new show site) who
give hundreds of hours of their time for free to ensure that Ryedale show continues to remain one of
the best one day shows in the country. Thank you everyone.
Flnanclal Revlew
The total show day Income forthe yearwas £169,97312023: £161,080) with other operatlng Sncome
bein8 £14.86312023: £11.4381. Direct show day expenditure totalled £122.968 {2023.. £116,183) with
overheads being £33.83912023= £35.462). Charitable donation5 We￿ also paid to the total of £IO.OCKI
12023.. £4.71J)l. This left the Charity with an overall Surplus of £18.02912023: £16.173).
Fund balances èt period end amounted to £169,94012023- £151,912).
Reserve Pollcv
The reserves of the Charity are those that are freely available to be spent in pursuing the charity's
objectives. The trustee5 conslder it necessary to hold reserves to protect a8ainst fluctuations in
Income and expenditure, unforeseen events such a5 paftdemic, animal di5ea5e. or extreme weather
events causing cancellation of the show.
Structure, Governance and Management

The Ryedale Agricultural Soclety Is a Charitable lrtcorporated Organisatlon ICIOI registered by the
Charlty Commisslon for England and Wales on 20th May 2020. The governing documents of the charity
are the CIO fouhdation model constituliort. whkh 15 a cohstitutioh of a CIO whose only votlng
members are it5 charity trustees.

The trustees have appolnted a Show Councll, made up of experienced volunteers wlth skills and
kntswled8e necessary to the or8anisatlon of the Ryedale Show. New Council members are proposed bv
existing members and appointed by the trustees.
The Finance and General Purpose Commlttee IF&GPI has been created by the trustees and is
structured as foll0v￿..
Three councll representatives from each of the desl8nated areas of Pickerin& Klrkbymoorside
and Helrnsley.

As the Charit¢s Members ot the Board of Management, you are responsible for the preparation of the
accounts. you consider that the audit requirement of section 144121 of the Charhles Act 2011 (the 2011
Actl does not apply and that an independent examinatioh is needed. It is our responsibility to examine
the accounts under section 145 of the 2011 Act and to state, on the basis of procedures specified in the
General Directions8iven by the Charity Commi55ioners under section 14515llbl of the 2011 ￿t. whether
particular matters have come to our attention.
Basls of independent examiners, report
Our examination was carried out in accordance with the General DI￿dionS glven by the Charity
Commission. An examlnation includes a review of the accounting records kept by the charity and a
comparison of the account5 presented with those records. It also includes consideration of any unusual
item5 or disclosures in the accounts. and seeking explanations from you as Members of the Board of
Management concerning any such matters. The procedures undertaken do not provide all the evidence
that would be required in an audit, and consequently we do not express an audit opinion on the view
given by the accounts.
