Organisational structure

HExSA is formed by ex-students of Hartford School for girls Moyamba residing in the UK and Ireland. Harford Ex-Students Association (HExSA) is committed to on-going projects supporting education of girls at Harford Secondary School for girls in Moyamba, Sierra Leone. The purpose of HExSA is to advance the education of girls at the school, by providing equipment, resources and facilities for education and relieve financial hardship of girls by providing scholarships and financial support to girls in need.

Risk management

The Trustees have in place a system of control for the authorisation, payment and monitoring of programmes and activities.

Our vision is to unlock the passion and talent of school going children (secondary age) and together we will create the right environment and structure for them to thrive.

Our Mission:

HExSA wishes to bring new life and hope to school-going children attending Harford School for girls in Moyamba by providing them with the key skills which will empower them to transform their lives and reach their potentials.

Our Object:

• To advance the education of girls at Harford secondary school in Moyamba district in Sierra Leone, by providing equipment’s, resources, and facilities for education.

• To relieve financial hardship of girls at Harford secondary school in Moyamba district by providing scholarships and financial support to children in need at the school to enable them to access education so as to develop their skills, capabilities and improve their conditions of life and become productive citizens in the future.

• To ensure a safe and fit for purpose educational environment for our girls.

Our Core Values

• People -Centred: We put young people first. The remit of our work provides opportunities for young people to exercise genuine power, take decisions and follow them through. We are committed to equality, diversity and inclusion.

General Summary/ financial activity summary

Following on from our last financial submission, the charity managed to engage in only two fund raising activity to plead for donations to enable us to meet our set goals.

Due to the impact of Co-vid 19, the charity only recorded income of £6,665 in this financial year ending 31[st] March 2022. We spent £2261.84 during the period under review. As part of our expenses in this financial year, we paid £215.54 for our website design and incurred costs of £ 196 for Zoom costs. We also paid out a total of £2,000.30 towards services for our foundation day event and thanksgiving event.

Our Strategic Objectives

Due to lack of income and the effect of the pandemic, we were unable to meet all our strategic objectives in full. We recognise that there are still much to do in the coming financial year.

Future Plans

• Following on from a need assessment carried out at the school, we have recognised the need for the supply of clean water supply for the girls at the school and to refurbish the science labs in the school. We are hoping to engage in more fund-raising activities for the next financial year and hopefully this will enable us to meet this need.

Thanks to our donors

Harford Ex-Student Association relies heavily on funding from donors and fundraising activities to make a difference to the lives of our girls in Moyamba. We wish to thank all our donors for supporting us and believing in our objectives.

We also wish to thank our small team of volunteers/members who serve in various ways and capacities round the clock, endlessly and tirelessly, to ensure that the strategic goals of our charity are met.

Statement of Trustees Responsibilities

The trustees are responsible for preparing the Trustees Annual Report and the financial statements in accordance with Charities Commission and the Statement of Recommended Practice in the United Kingdom.

The law applicable to charities in England and Wales, the Charities Act 1993, Charity (Accounts and Reports) Regulations 2008 and the provisions of the trust deed requires trustees to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the charity and of the incoming resources and application of resources, including the income and expenditure, of the charity for that period. In preparing those financial statements, trustees are required to:

• Select suitable accounting policies and then apply them consistently.

• Observe the methods and principles in the Charity SORP

• Make judgements and estimates that are reasonable and prudent.

• Prepare the financial statements on the going concern basis

unless it is inappropriate to presume that the charity will continue in business.

They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.
