ANNUAL GENERAL MEETING

Sunday 11th September 2022 1[st] North Worle Scout Hut

Present:-

2. APOLOGIES FOR ABSENCE

3. MINUTES OF LAST MEETING

Minutes from previous AGM were approved proposed by Alexia and seconded by Steve. All attendees voted in agreement.

4. MATTERS ARISING

No matters arising.

5. CHAIRMANS REPORT

Michelle explained that she’d only been in place a short time so didn’t have a long report. She reported we’d done a few things around the scout hut tidying up the outside and also clearing and tidying the leaders room. Michelle reported that future plans included looking at the options of concreting the front entrance path, finding out whether we have newts in the pond to see if we can clear the area and replacing the windows. The lease for the grounds is due for renewal in 2 years, so we are looking at getting that moving early so we can feel comfortable doing improvements.

6. ADOPTION OF ACCOUNTS

Summary of Accounts were distributed. Jayne reported they had been audited by TaxAssist. There were no questions about the report.

Sylvia proposed that we adopt the accounts, seconded by Alexia. All attendees voted in agreement.

It was put to the meeting that TaxAssist be used again for next years accounts. Proposed by Steve, seconded by Sylvia.

7. GROUP SCOUT LEADER & GROUP REPORTS

Reports attached on separate document.

8. GROUP SCOUT LEADER NOMINATIONS FOR CHAIR

Gemma reported that Michelle Macdonald had agreed to continue as Chair for the group.

9. ELECTION OF GROUP TREASURER

Jayne the group treasurer is happy to stand again this year. Emily nominated and seconded by Paul. All attendees voted in agreement.

10. ELECTION OF GROUP SECRETARY

Zoe Aucott agreed to stand as secretary. Sylvia nominated and seconded by Alexia. All attendees voted in agreement.

11. ELECTION OF EXECUTIVE COMMITTEE

Re-Election of the following members to Executive Committee took place:-

Vikki Corke – Omega Emily Gilbert – Alpha Sylvia Brown – Priory Barbara Millard – Village Alexia Brimecombe – Wild Cats

All attendees voted in agreement.

12. DISTRICT REPORT

Steph Gamlin, ADC Beavers, attended on behalf of District.

She reported that the recovery of Scouting in the area since lockdown had been steady, with a 20% increase in membership across the District and it’s expected to increase again this year. This is helped by 2 new squirrel dreys opening, 1 new Explorer unit and the relaunch of Network. In September a new group will be opening in Burrington Village.

Next Year there is the World Scout Jamboree and Axe District is well represented with 5 young people attended, 5 support team adults and 1 contingent leader.

There are lots of changes in Scouting on the horizon, particularly with regards to training and support for adult members, to help encourage more volunteers to join.

Steph reported that the Remembrance parade will be taking place on 13[th] November 2021 and we have also booked our annual Panto, this time also offering a matinee on the Saturday afternoon for younger members.

Steph thanked everyone for their support of Scouting, and in particular the leaders for the great programmes that they put on every week.

13. AOB

Gemma asked the Exec if we could look at opening a Squirrels Drey with 1[st] North Worle. Gemma explained there would be some costs involved but all agreed we could cover that as a Group. Squirrels are aged 4-5 and are the newest section in Scouting. Currently there are just 2 Dreys in Axe District and we have a waiting list. The biggest concerns are that those currently on the waiting list for Beavers might take even longer to join as Squirrels would get priority. All agreed that we could ask for expressions of interest from current members of the Group and to see what leader help we would be looking at. The nights available would be Tuesday or Wednesday, with Wednesday being a preference.

Gemma asked the leaders if they were still happy with Group Camp going on after the news of the Queens death. All agreed that it should go ahead as per Scout guidelines. Leaders had various queries regarding kit, timings, etc as parents were asking them questions. Gemma promised to get emails out to parents ASAP with FAQ’s.

Alexia asked if the Group did any regular fundraising, particularly at Christmas. Various options were discussed including Christmas Post, Wreaths and a craft fayre, or table at a craft fayre with items made by the young people. It was agreed to discuss this at the next meeting.
