Minutes of Erith Deanery Youth Trust Association AGM meeting held by zoom on Tuesday 21st September 2021

1 Adam opened the meeting with a prayer

2 Apologies were received from Glenda Cooper

3 Peter Green was welcomed to the meeting as an EDYTA member.
4 ‘At the first AGM, all the charity trustees except for the ex-officio trustees shall retire from office’:
All the trustees except for Adam who is ex-officio stood down.
5 ‘The vacancies so arising may be filled by the decision of the members at the AGM’:
All previous trustees present agreed to continue as trustees of the charity. (Monica is to contact Glenda Cooper to check she still would like to continue as a trustee) Yes, Glenda would like to continue as a trustee.
6 ‘Before standing down and/ or being reappointed as part of the annual trustee rotation’….
annual trustee rotation’…. At the next meeting of the trustees on 16[th] November 2021, it will be decided as to how long each trustee will serve, either 1, 2 or 3 years….equally divided. 1,2,3 years is to establish an equal rotation of trustees over a 3 year period and it does not mean that people must cease to be trustees as the 3 term rule is not applicable yet.
7 All trustees present are now trustees of EDYTAssociation
8 The AGM received the annual statement of accounts as at 31[st] December 2020:
Income and Expenditure: Net fund in hand for the year … £-2,653.16 Statement of Assets and Liabilities: Net Reserves….. £ 7,494.96

As the trust has a small turnover, it is not necessary to have the accounts audited.
Glenda was thanked for all she does as treasurer of the Trust.
9 The Trustees ‘Annual Report
This report was previously circulated. An amendment was made regarding the Doug Horley Praise Party in October. It should read 2021, not 2022. It was noted that events that have been held in 2021 (Year 6 get together in August and the Family Fun Day in September), have been well attended and very successful.

The financial assets of the trust have been transferred from EDYT to EDYTA.

The name on the bank account has been changed to EDYTA

Going forward, the terms EDYT and EDYTA will both refer to the new association. That way if EDYT is used rather than EDYTA it doesn’t matter.

The Fellowship of St John has approved to give the trust a grant of £8,000 over 2 years. We have received the first payment of £4,000.

Laura Webster, our Youth and Children’s Support Worker, has received a letter confirming that she now works for EDYTA and that her conditions of employment are continuous.

We need to encourage more members….every church should have a member.
