AGM REPORT FOR BEWDLEY SCOUT GROUP April 2020 - March 2021
Chairman’s Report
I am happy to report that we have a thriving, busy and above all, fun Scout Group but the pandemic has obviously caused a dramatic downturn in our activities.
I would like to acknowledge the fantastic contribution of time and enthusiasm given by the various Section Leaders and the Section Assistants to this Scout Group. I also wish to praise the time, energy and enthusiasm put into the Group by the Group Scout Leader and the members of the Executive Committee. The contribution of all these people to the smooth running of the Group is essential and greatly appreciated. The various sections often require additional help during certain activities, and I would like to thank all those parents who have given their time to help with activities.
Obviously, it has been a difficult year due to the pandemic and the lockdowns. However, when we have been allowed to meet the Group Scout Leader and Section Leaders have done an excellent job of producing risk assessments and arranging for our young people to meet outdoors following social distancing rules and keeping everyone safe. Some sections have also met via Zoom when it has not been possible to have face-to-face meetings.
During the year we explored numerous fundraising ideas and opportunities, some of which, were more fruitful than others. We can never do enough to raise more funds to support the Group, the upkeep of the hut and the continuity of our scouting activities for now as well as for future generations of Bewdley in the years to come. We are most grateful to Bewdley Town Council, government grants and Bewdley residents for their grants and donations, which, are gratefully received.
Our major maintenance and development projects for the hut are ongoing and we have made great progress. It has been good to subsequently see this coming to fruition and the change should be transformational, which, is very exciting. We have made every effort to be cost effective. However, this is a very expensive exercise so future support is welcomed.
We hope to invite everyone to see the changes once finalised and when we are allowed to do so.
I hope we can return to close to normality in the near future.

Group Scout Leaders Report
We have had a unique year in scouting, with section nights, camps, outings, and events cancelled because of Covid 19. All sections have only been able to meet face to face a hand full of times over the last 12 months.
In March 2020 all section meeting were stopped because of Covid 19. Cubs and scouts made the decision not to hold online meetings with their sections. Beavers did online meetings up to mid summer but numbers of beavers attending were dropping off and the leaders found it very difficult to plan and run a section night via zoom so they stop.
Even though leaders were not meeting each week with the young people they have been busy behinds the scenes at the scout hut with the refub. Especially Gaby, Lance and myself who have spent many days at the hut transforming it.
September 2020 we were allowed to meet up face to face but outside only and with a maximum group size of 15 young people. With the number of scouts being below 15 they were able to meet at one group but beavers and cubs had to split into 2 groups. Scouts did hikes and games night along with other activities. Beavers met one group on a Monday and the other group on a Tuesday running the same programme for both groups. They spent the Autumn term learning about trees, recycling, games at Hawkbatch Forest.
Cubs met one group on Tuesdays and the other on Thursdays. Again running the same programme on both nights they met at Hawkbatch, games night, litter picked and went to the Aqua Park, Upton Warren before they closed for 2 weeks as there was out breaks of Covid at 3 schools. Cubs returned end of October for pumpkin carving.
November brought bad news as scout groups across the country had to close again for 4 weeks with the national lockdown. It was the first time that Bewdley Scout Group have missed Remembrance Parade. Instead, each young person had a tube of smarties to eat and in return they had to return the tubes filled with money. In total we raised £300.60 for British Legion Poppy appeal 2020 – well done to all the beavers, cubs and scouts.
Sections returned to face to face meeting in December in only for a few weeks.
The committee bought all beavers, cubs and scouts a Christmas present of an engraved torch, sweets and pens/pencils. I would like to thank the committee for doing this.
All sections closed again in January with the national lockdown.
When writing this in April 2021, all sections returned to face to face meeting in April and are meeting outside as the hut is currently having work done and is not in use and also leaders feel happier meeting their sections outside. Even though we are meeting we still have restrictions in place. We still can’t camp which I know will be missed again this summer by the leaders and the young people.
Thank you to all the parents who offer to help on evening activities in order for us to keep to the correct ratio. Without your help these meetings would have to be cancelled.

I have every expectation that with the support we receive from the leader team, the Exec Committee, parents and Wyre Forest District team, Bewdley Scout Group will continue to thrive.
Since we have reopened in April, we have grown in numbers so much so we have opened a new beaver section. Cubs is now full and the scouts have limited places. So, we need your help now. Without you we can’t keep Bewdley Scout Group alive. We need helpers, leaders, committee members, help with maintaining the grounds and the hut. Please get in touch if you would like to help.

Bewdley Scout Group and the Committee
With a growing demand from children of Bewdley and surrounding areas, there is of course increasing need for adults’ support. So, if any parents/grandparents wish to join us, or know of anyone age 18 plus that would like to take part, please do let me know. Volunteering can be flexible.
There are 3 roles you can take on:

Occasional assistant- helping out as and when needed within a section maybe once a month. No training required just DBS.
-
Section assistant- helping out every week. DBS req. 3 on line modules training.
-
Assistant leader- helping every week and requires DBS, 3 on line modules and first aid.
Or if you don’t fancy joining a section as a leader/helper then why not join the committee or help maintain the hut. Can you spend an hour outside tiding the grounds or maintenance on the hut it all helps.
We are looking for a parent rep from each section to be part of the group committee. This will involve approx 4 or 5 meetings a year. The committee look after the hut, fund raise for the group etc.

The Treasurer’s Report
What a year!! In 2020 – 2021 total receipts for the group were £27,269.50 & payments totalled £23,097.51. The surplus as of 31/03/2021 is £4,171.99.
During the year we have received a £19,431.00 in Government Support for COVID19, £900 from Bewdley Town Council, £500 from the Free Masons, £500 from Rotary & £200 from Grace Plant. In addition to this an article in Kidderminster Shuttle arranged by Lance Jinks contributed a further £963.49 through a Gofundme campaign. Given the precipice we were looking into at the start of this financial year we could not have expected such generosity throughout the pandemic and are extremely grateful of the assistance & support we have received.
As a result of COVID19 our operational expenses are considerably down on last year’s. Many of the committee meetings have been conducted online and both the Chairman and I been amazed at the support & continued efforts to provide Scouting in difficult times by our uniform Leaders. The group has emerged in a strong position and we look forward to developing this further over the coming years.
On a positive note we’ve been fortunate enough to press on with our plans to redevelop the hut using the donations and grants mentioned above. Currently we have spent £15,298.39, the main items completed so far has been blocking up some of the windows and replacing some windows with PVC double glazing, the replacement of the kitchen & toilets, installation of new heating & associated rewiring. There are a number of tasks outstanding to prepare the HQ for receiving the members back and we have a plan & budget allocated to do so for September 2021. A separate set of accounts will be made available once all of the cost of the repairs at the HQ have been completed.
During this period we have also fully repaid in full the loan kindly provided by the District to assist with repairs at the HQ in 2019.
The cost of scouting increased in January 2021 with national fees which we pay to London headquarters increased by £7.50 to £36.50 per year per person, county fees increased to £11.50 per person per year, district fees are £5 per person per year and Rhydd fees are £6 per person per year. The committee will be looking at increasing the subs to cover the costs. Details to follow.
The group will return to full Scouting in September with use of a completely refurbished HQ and a considerable ‘rainy day fund’. Later in the year we plan to recommence our fundraising activities to invest in equipment for all sections to benefit.
