## **Trustees Annual Report** 

## **SUMMARY OF THE MAIN ACHIEVEMENTS OF THE CHARITY DURING THE YEAR** 

As the Coronavirus pandemic continued at the start of this reporting year, we continued to stay in touch with our members through weekly telephone calls and the delivery of Easter presents in 2021. 

As the lockdowns were eased by the Government, we recommenced our weekly coffee mornings both in Caistor and North Kelsey in September 2021. Members were hugely grateful for the resumption of social events and we were told that this substantially eased their sense of isolation which had been exacerbated during the lockdowns. Trustees took precautions to protect the members attending these coffee mornings. All volunteers took lateral flow tests before each one, wore masks, used hand sanitiser and made this available to all and ensured that there was no shared food that wasn’t separately wrapped. Members attending were asked to wear face masks when they were not sitting at tables eating and drinking if they did not have a medical reason not to. 

Face to face befriending also recommenced in September 2021 where the volunteer was prepared to visit their Member in their home and where the volunteer was prepared to wear a face mask and take a lateral flow test. This was very much along the guidelines issued by the Charity and by the mutual agreement of the Volunteer and Member. In some situations, telephone befriending continued as it suited the Volunteer and the Member. 

In December 2021 Volunteers delivered Christmas gifts to 123 Member addresses. These were very gratefully received. 

Unfortunately the Chair of the Charity, Chris Robey, had to stand down due to ill health at the end of 2021. The Vice Chair Julia Whittaker agreed to take on the role of Chair for 1 year and it was hoped that Chris would be well enough to return after that period of time. In order to simplify the running of the Charity, the Trustees decided that the Board should be 4 in number and that the executive work of the Charity would be conducted by an elected Committee. The structure of the Charity can be summed up as follows: 

Trustee Board (4 members who each have experience of running charities/not for profit organisations) responsible for 

1. Ensuring that the Charity acts in the best interests of the beneficiaries and members and in line with its objectives 

2. Overall financial control to ensure that the Charity’s funds are secure and are spent in line with the intended charitable purpose 

3. Ensuring that the Charity operates within an organisational structure which sets out purpose and rules 

4. Ensuring that Health and Safety is considered in all activities and that proper training is adhered to 

5. Delegating operational activities within parameters agreed by the Trustees to the Committee and to Coordinators (who arrange all one to one befriending) 

6. Avoiding conflict of interest and maintaining the reputation of the Charity 



The Trustees are grateful to the Committee for all its work, to volunteers who befriend and organise the social events, coffee mornings and deliveries and birthday cards, to those who fund raise, to the treasurer and accounts administrator and to its secretary. 

We are very grateful to those who make donations to the Charity, without which we would be unable to operate and offer a highly valued service to the wonderful stoic and cheerful older people in our community.

When we became Lincolnshire Cares, we took the decision to ask everyone who attends our social events to become a member, hence the increase in membership from 2020. 

We pay our respects to our members who have passed away this year.

## **CHARITY STATUS** 

Our Charity Objectives remain the same, namely; 

_To promote social inclusion for the public benefit in particular but not exclusively by the provision of an intergenerational befriending service to address loneliness and social isolation among older people living in the county of Lincolnshire arising as a result of their age, infirmity, ill-health, disability or social circumstance._ 

_For the purpose of this clause ‘socially excluded’ means being excluded from society, or parts of society, as a result of one or more of the following factors: unemployment, financial hardship, youth or old age; and ill health (physical or mental)._

The trustees have made the following arrangements: 

Comprehensive insurance for our activities with Hiscox. 



Our application to set up a bank account with Barclays is in progress. We are currently still using our HSBC account through Friendship at Home. 

DBS checks are now being done online.
