The trustees present their report and the financial accounts for the period ended 31 December 2020. The trustees who served during the year and up to the date of this report are set out on page 3.

The accounts have been prepared in accordance with the accounting policies set out in note 1 to the accounts and comply with the charity’s governing document and ‘Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2016)’.

Structure, governance and management

Governing document

Evergreen Collective was based at St Michael’s Church until July 2020 and then moved to 22 Cottonbrook Road from August 2020 which is now our registered office and the principal address of the charity. Evergreen Collective is a Registered Charity (No. 1186696). The charity registered on 2 December 2019 and the governing document is a Constitution of a Charitable Incorporated Organisation dated 29 November 2019.

The charity trustees are responsible for the general control and management of the charity. The trustees meet on a quarterly basis via various means of communication, be that via online meetings or physical meetings and are responsible for all decisions taken in relation to running the charity. To assist in the smooth running of the charity the trustees establish a number of sub-committees to help oversee certain projects and aspects of the charity’s work. An example of such a committee is the fundraising committee for a new building.

Recruitment and appointment of trustees

In selecting new trustees, we seek to identify people who regularly attend events and functions organised by the charity and are willing to volunteer to help in our broader community work.

Potential trustees will be asked to attend trustee meetings as observers and given more details of the charity’s aims and objectives. If all trustees agree, the new candidate will be proposed as a new trustee at the subsequent trustees meeting. This process allows due consideration of a person’s eligibility, personal competence, specialist knowledge and skills.

Objectives and activities

To advance education for the public benefit of people in the city of Derby through the continued development of their individual capabilities, competencies, skills and understanding in national curriculum subjects and subjects of educational value.

Charity aims

The Charity aims to meet its objects through a mixture of contracts and service level agreements with the statutory authorities, grants and through its own fundraising.

Charitable income is used to add value to the above services both in terms of the quality of its services and the variety of activities and projects planned for the benefit of the public.

Ensuring our work delivers our aims

We review our aims, objectives and activities each year. This review looks at what we achieved and outcomes of our work in the previous 12 months. The review looks at the success of each key activity and the benefits they have brought to those groups of people we are set up to help. The review also helps to ensure our aim, objectives and activities remain focused on our stated purposes. We have referred to the guidance contained in the Charity Commission's general guidance on public benefit when reviewing our aim and objectives and in planning our future activities. In particular, the trustees consider how planned activities will contribute to the aims and objectives they have set

Public Benefit

Evergreen is a highly respected local charity which concentrates on providing relevant, practical activities for the public in Derby with an emphasis on education and personal development.

It is an accepted truism that by investing in people we invest in our community. It is our duty to ensure that everyone is given the opportunity to develop skills and receive support so they achieve personal well-being. The goal is that individuals within the city of Derby are nurtured in an encouraging and positive way so that they can reach their potential and positively contribute to the community and society.

Achievements and Performance

Current activities and achievements

Evergreen Children’s Academy

The Evergreen Children’s Academy is a school of literacy and education which endeavors to impart holistic teachings at a rudimentary level. It aims to advance their education and personal development.

As a children’s educational institution, it prioritises a student-centred approach to learning through the employment of appropriate academic environments alongside the usage of new technologies, online sessions, workshops and other innovative teaching methods that facilitate and enhance knowledge acquisition.

The Evergreen Children’s Academy is the cornerstone to the charity's activities, with around 100-150 students enrolled during each academic year.

Children’s extra curricular activities

As part of providing further opportunities for the children who attend the Evergreen Children’s Academy a number of activities are offered on a monthly basis as workshops/events. These activities included and rotated every other month from movie nights to games nights, healthy fun (education based on a healthy lifestyle), and rounders as a sport activity during the holidays.

Youth activities

As part of providing further personal development opportunities for the youth workshops were provided quarterly for the youth (aged 12 and above) including a Fifa night and girls games night.

Adult activities

A number of seminars and workshops were provided which educated adults in terms of refinement of character and personal development both in person and online (The Turning point series and Note to Self sessions).

A Running Club, Rounders Club and Book Club was also set up for women and young girls as a holistic strategy towards personal development, skills and competencies.

To advance education for the public benefit of people in the city of Derby through the continued development of their individual capabilities, competencies, skills and understanding in national curriculum subjects and subjects of educational value.

Community activities and Fundraising

A number of fundraising events were organised to encourage the community to get to know and be involved with the charity’s work. A Winter Fayre was organised which involved people from the community setting up stalls and selling and fundraising.

Achievement and performance

Evergreen serves as a social hub for the local community. Provides a space for a number of educational courses, seminars and activities for personal and community development.

Financial review and reserves policy

Reserves Policy

The balance on general unrestricted funds as at 31 December were in surplus. The trustees are satisfied that the balance of the fund will enable the charity to meet its objectives. The trustees have also examined the requirement to maintain reserves for the ongoing work of the charity and concluded that the most appropriate level is between 2 to 6 months of operational expenditure.

The trustees hope to maintain this by good management of resources, nursing existing and acquiring new income streams. Current business plans and strategic planning seeks to encompass this issue.

Financial review

The charity continued to generate sufficient contributions from participants to meet the increasing demands of its education, mentoring and spiritual upliftment programmes. The charity's main source of income is Evergreen Children’s Academy’s paying students and any fundraising events we do. We also receive regular charitable donations.

Future plans

Activities planned to achieve aims

We intend to enhance the services provided by The Evergreen Children’s Academy and maintain the high level of service that the charity currently provides. The charity recognises the need to improve its financial control and overall governance and therefore plans are in place to seek advice from independent consultants and implement the resulting recommendations.

We intend to further enhance the support and positive educational activities offered within Derby.

Principal risks and uncertainties

Weak Governance

The charity has grown over the year and the systems and processes are yet to catch up with the growth of the charity. This can result in loss of funds and reputation with weak financial governance. The Trustees are committed to improving the overall financial governance of the charity.

Induction and training of trustees

Following appointment, new trustees are introduced into their role and given copies of the governing instrument, existing policies and procedures of the charity. A number of publications from the Charities Commission will be provided including the guidance on charities and public benefit. This will ensure all trustees are aware and familiar with the scope of their responsibilities under the Charities Act. Initially, new trustees will work with an existing trustee. They are then given the task of leading a particular project.

Independent examiner’s report to the trustee of Evergreen Collective

I report to the charity trustees on my examination of the accounts of the Charity for the year ended 31 December 2020.

Responsibilities and basis of report

As the charity's trustees of the charity you are responsible for the preparation of the accounts in accordance with the requirements of the Companies Act 2006 ('the 2006 Act').

Having satisfied myself that the accounts of the Charity are not required to be audited under Part 16 of the 2006 Act and are eligible for independent examination, I report in respect of my examination of your charity's accounts as carried out under section 145 of the Charities Act 2011 ('the 2011 Act'). In carrying out my examination I have followed the Directions given by the Charity Commission under section 145(5) (b) of the 2011 Act.

Independent examiner's statement

Since your charity's gross income exceeded £250,000 your examiner must be a member of a listed body. I can confirm that I am qualified to undertake the examination because I am a registered member of ICAEW which is one of the listed bodies.

I have completed my examination. I confirm that no matters have come to my attention in connection with the examination giving me cause to believe:

  1. accounting records were not kept in respect of the Company as required by section 386 of the 2006 Act; or

  2. the accounts do not accord with those records; or

  3. the accounts do not comply with the accounting requirements of section 396 of the 2006 Act other than any requirement that the accounts give a true and fair view which is not a matter considered as part of an independent examination; or

  4. the accounts have not been prepared in accordance with the methods and principles of the Statement of Recommended Practice for accounting and reporting by charities [applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102)].

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.
