Organisational Structure and governance

The charity trustees are responsible for the general control and management of the charity. The trustees give their time freely and receive no remuneration or other financial benefits.

The trustees meet together as a body annually and are responsible for all decisions taken in relation to running the Charity and the shop. In addition, to assist in the smooth running of the charity, the trustees normally meet with a wider committee of volunteers once a term.

Objectives and Activities

Our objectives are to provide a service to the school community by providing affordable “used” uniform and reducing the environmental impact of buying new. This generates income that can be used for wider public benefit via grants made to charitable organisations designed to improve the lives of disadvantaged children.

When organising the ongoing running of the shop, the trustees have considered the commission’s guidance on public benefit.

The shop is located on the premises of Holmewood House School, by permission of the governors, with the use of all facilities provided for free. The shop receives donations of used uniform and sports kit from the school community and resells them to generate profit which is then used for charitable purposes via grants to other charities. The shop currently opens twice a week during term time and intermittently during school holidays. Trustees and additional volunteers staff the shop.

In addition, activities have been organised to allow involvement and education of pupils within the school to aid learning about recycling and the work of the various charities we support. These have included presentations in school assemblies, and direct communication between Holmewood House School pupils and some of the children helped in the African schools. We would normally arrange visits to the local charities that we support, but this year they had to be cancelled due to Covid-19.

Achievements and Performance

The shop has maintained trading throughout the year despite the challenges presented by the Covid-19 pandemic. During the time the shop was unable to open, a delivery service was implemented to ensure we were able to continue to raise funds for the charities with whom we have regular commitments. As such we have been able to fulfil our aims of supporting our regular charities, which each provide support to children in different ways.

This year we have found additional ways to reuse donated items we are unable to sell in the shop. Items of uniform and sports kit which are not suitable for resale have been donated to “Bags of Support” for use in African Schools. In addition, 25 wax jackets (which were no longer school uniform) were donated to local charity Dandelion Time for their pupils to wear during outdoor activities and 4 bags of sports shoes were donated to “Boots to Africa”

Allocation of Funds for Donation

100% of funds raised are gifted as grants to other charities. The allocation of funds is agreed at the Annual Meeting each year. The shop has ongoing commitments to support two local charities and two international charities annually. In addition, all members of the school community are invited to propose any charitable organisations they would like to see supported with any residual funds created each year. When considering which charities to support, trustees take into account all information included in the charity’s application and their own due diligence. However, this year, given the ongoing strain placed on our regular charities by Covid 19, the committee agreed to allocate all available funds to these four charities. All charities receiving grants from us are required to submit feedback on the use of their gifts each year.

Note 2 Accounting policies 2.2 INCOME

This standard list of accounting policies has been applied by the charity except for those ticked "No" or "N/a". Where a different or additional policy has been adopted then this is detailed in the box below.

Recognition of income
Gifts in kind for use by the charity are included in the SoFA as income from donations when
receivable.
Support costs
The charity has incurred expenditure on support costs.
Volunteer help
Donated goods for resale are measured at fair value on initial recognition, which is the
expected proceeds from sale less the expected costs of sale, and recognised in 'Income
from other trading activities' with the corresponding stock recognised in the balance sheet.
On its sale the value of stock is charged against 'Income from other trading activities' and
the proceeds from sale are also recognised as 'Income from other trading activities'.
Goods donated for on-going use by the charity are recognised as tangible fixed assets and
included in the SoFA as incoming resources when receivable.
The value of any voluntary help received is not included in the accounts but is described in
the trustees’ annual report.
These are included in the Statement of Financial Activities (SoFA) when:
• the charity becomes entitled to the resources;
· it is more likely than not that the trustees will receive the resources; and
• the monetary value can be measured with sufficient reliability.

There has been no offsetting of assets and liabilities, or income and expenses, unless required or

Grants and donations
Grants and donations are only included in the SoFA when the general income recognition

Legacies
Legacies are included in the SOFA when receipt is probable, that is, when there has been
grant of probate, the executors have established that there are sufficient assets in the
estate and any conditions attached to the legacy are either within the control of the charity
or have been met.

Tax reclaims on donations
and gifts
Gift Aid receivable is included in income when there is a valid declaration from the donor.
Any Gift Aid amount recovered on a donation is considered to be part of that gift and is
treated as an addition to the same fund as the initial donation unless the donor or the
terms of the appeal have specified otherwise.
Donated services and facilities that are consumed immediately are recognised as income
with an equivalent amount recognised as an expense under the appropriate heading in the
SOFA.
The cost of any stock of goods donated for distribution to beneficiaries is deemed to be the
fair value of those gifts at the time of their receipt and they are recognised on receipt. In
the reporting period in which the stocks are distributed, they are recognised as an expense
at the carrying amount of the stocks at distribution.

2.3 EXPENDITURE AND LIABILITIES

Liability recognition Liabilities are recognised where it is more likely than not that there is a legal or constructive obligation committing the charity to pay out resources and the amount of the obligation can be measured with reasonable certainty.

Support costs have been allocated between governance costs and other support. Governance and support costs Governance costs comprise all costs involving public accountability of the charity and its compliance with regulation and good practice.
