Elections for committee members for academic year 2022/23

Christmas Fayre
Finances for this event are at approx. £1200. It was agreed that this event was very labour intensive and on this occasion not as successful in terms of final takings given the amount of effort required for it at what is a very busy time for our parents and staff.
Matilda
In comparison, we took around £600 over the 2 evenings supporting the Drama team and their 2 shows of Matilda. Several successes from this event including the Lucky Squares game where a parent won £100 cash prize whilst raising money for FOPs. Festive drinks and snacks were sold in the quad. All committee members who helped at these events enjoyed them, the evenings were considerably less time intensive and quick easy money makers. We hope to support more of these types of events and work with school on them. Subsequently, a request has come in from the Drama Team for financial assistance which we hope to be able to support on the back of these very successful evenings.
Fantastic collaborative working with school and many thanks to Claire in the Estates team to pull this off. A true success!
School spends

As mentioned above, a recent request has come in from the Drama department to support a piece of mural art in the Performing Arts block which will be circulated to the committee for consideration £950.

In addition to this, IB to request an updated wish list from RG to see if there are additional requests that have come in. It is recognised that there are funds in the accounts which can be spent.
Feedback and pictures from school will be much appreciated once item purchased so the FoPS can communicate to parents how much is done for their children through the PTA.

Second hand uniform
School uniform sales continues to be successful. More PE kit donations are needed.
IB to request from Jane F some graphics for socials for donations. One generic one for all school years which can be reused and one specific one for Yr11 leavers which can be circulated annually to that group.
In addition, the team are happy to extend this to revision guides in good condition to be sold on.
FOPs cupboard in school
It has been suggested that the cupboard has a sort out and clear out. Potentially, if school are agreeable, those parents who have students at Prestbury Phantoms on a Saturday morning, or other willing volunteers could look to do this then. IB to talk to school and find an agreeable date. Once this is complete, the uniform can be moved from home garages into the cupboard for storage.
Friday Tuck shops
These will resume in January 2023, on the last Friday of the month and will be organised by Mandi A. The agreed dates are as follows:

Volunteers will be requested through WhatsApp, and flyers circulated through Tutor groups and socials once all validated by RG.
School discos
It is recognised that the Pittville School discos are enjoyed by all, so we would like to hold the following discos in this and next academic years.
IB to request possible dates from DJ Sparky to then send on to SLT for agreement.

FOPS schemes
We have several schemes running which need managing. We would like to find volunteers from the committee who would be willing to take on this responsibility and to share the load.
In particular, Invest My Community, School Lottery, Clothes bank, Easyfundraising, Tesco Community Grants plus investigating what else might be out there.
If we can share these amongst the team to promote them, we hope to increase knowledge and sign ups to the schemes by our parents. Noting this in the minutes for consideration by the members ahead of the next meeting in February 2023.
Handover to new committee
Meeting arranged for later in January from Anne E to hand over documents and files to the new core committee. In addition to this, access to Gmail account, bank, Charity Commission etc will all be dealt with.

March – consider musicians, bucket collecting or snack selling at The Festival from the school gates. Could we involve the Year 10 newly appointed prefects in this? Review our buckets for collecting in the FOPs cupboard.

Funds raised and costings from key events in academic year 2021/2022
Highlights of activities held: TOTAL RAISED AFTER EXPENSES = £6,113.20
Main Funds raised:
Strong performance from our Second-Hand Uniform team who raised £439.74 In November, our Charity raised over £100 in donations from racegoers. A fantastic result with funds raised for our Christmas Raffle £1,131.12
Clothes Bank this year was trickier due to the location of the clothes bank £105
The School Lottery is ticking along nicely with an average of £2,100 per annum. We received a refund of £2,533.40 this year for the arrears from last year (change of bank account).
Invest my Community is a new scheme we launched in February this year. £429.89 raised so far. We are keen to develop further and set up campaigns to raise funds for specific needs.
Since March, we have organised a monthly after school tuck shop and raised £226.70
In May a successful and well attended disco for the Year 7 run by DJSparky raised £302.88 Our last fundraiser this year was the tuck shop during sports day where £345.77 were raised.
School bids and other expenditures :

’ - AGM Chair s report on October 5[th] 2022
Hi Everyone, thank you for coming tonight. I will try to keep this meeting short and sweet.
Six years ago, I stepped a foot at a PTA meeting… it is now time for me to retire after helping and covering for various roles over the years.
So farewell discos, Christmas fayres, raffles, tombola, tuck shop, sports day, races, School Lottery, easyfundraising etc…
The FoPS/PTA has been going from strength to strength and even survived Covid! Communication between School and PTA is now more fluid thanks to Zoe’s input though there is always room for improvement.
So, what have we achieved this year?
Our wonderful second-hand uniform ladies Helen & Mandi have worked tirelessly to keep the stock afloat and deliver good quality second hand uniforms to families. So far, they have raised £xx and for this financial year the fabulous sum of £439. Thank you, ladies!
For the first time this year, we placed a table by the school gate to sell drinks and nibbles to the racegoers (November meet). We hardly sold anything but received over £100 in donations.
Meanwhile, the talented techie Izzie launches an on-line Christmas Raffle that raised over £1,000 and creates an account within the ‘Invest my Community’ platform. So far, we have raised £429. The plan is to keep working on developing this concept across the school.
In March this year we started running a Friday afternoon ‘Tuck Shop’. Once a month 4 committee members would meet at the school gates to sell drinks and sweets. We have raised £226 and an extra £345 during Sports Day. We invested in a card reader machine to facilitate payments.
This year, we have also been collecting second-hand clothes to fill up the clothes bank placed by the top gate. Unfortunately, the access is proving difficult now the gate is no longer open to cars in the morning. The access is only available on Saturday mornings. Amount raised £105.
Thanks to our fantastic DJ Sparky, we have run our first disco since Covid. A great success and fun for all our Year 7. £513 were raised on the day (£302 after expenses). We then scheduled a Year 8 disco though it had to be cancelled at the last minute due to the lack of tickets purchased in advance.
During this academic year we have also pushed for Easyfundraising (£208) and the School Lottery (approx. £2,100). We are very grateful to the families and friends who have signed up with these two schemes.
Thanks to the hard work and commitment of parents, staff and support from our other money-making schemes this year, we have been able to contribute to the Drayton Manor trip (£1,000), Mug of treats for the teachers (£100), outdoor equipments (£1,200) and a Library Spinner (£275).
We were delighted to welcome new members this year, Imogen, Patty, Harriet, Sarah, Marc. Thank you for your help and commitment. A huge thank you to our behind the scene very talented Jane Farrar. Jane has produced my posters and flyers over the years. Thank you to Jane, our secretary, for her continuous help and support over the years. Thank you to all our members, parents, carers and to Mr Gilpin and his team for their support.
We are now looking for some new blood to carry FoPS/PTA forward next year.
