## **About Hereford Round Table** 

Hereford Round Table is a modern movement with the members at its heart, the Round Table Movement today remains true to its founder’s vision, is proud of its successes, and more than ready to welcome the next generation. Founded to give young men a place to meet, make friends, and exchange ideas, the Round Table is non-religious, non-political and non-sectarian, and has as much to offer men today as it did when it started in 1927. 

As important as what the Round Table is, is what it isn’t. If you think the Round Table is a closed, secret society that belongs to the past, you couldn’t be further from the truth. 

Much more than just a club or an association, the Round Table is a vibrant movement whose 8,000 members meet regularly in 600 clubs around the UK to see friends, have fun, and get involved in their local communities. The energy that members bring to Table forms friendships, shapes lives and makes a lasting difference to many people beyond the movement itself. 

## **Aims and Objectives** 

1. To develop the acquaintance of young men through the medium of their professional and business occupations. 

2. To emphasise the fact that one’s calling offers and excellent medium of service to the community. 

3. To cultivate the highest ideal in business, professional and civic traditions. 

4. To recognise the worthiness of all legitimate occupations and to dignify each his own by precept and example. 

5. To further the establishment of peace and goodwill in international relationships. 

6. To further these objects by meetings, lectures, discussions and other activities.

## **Chairmans Report** 

First I want to give thanks to Christian Williams for steering the ship as Chairman during the worst possible time, despite the impossible circumstances, he handed over an intact Table that had even managed to generate substantial profit despite no public events. So unlike the Tories taking over from Labour in 2010, there was actually something left in the coffers. 

When I reflect on my year as chairman it is impossible to ignore the start of that period which was still a lockdown environment, despite having briefly had some freedom, were were not allowed to see each other on mass and everything was conducted via Zoom. It became apparent to me early on that I had to establish some goals for my year that were in line with the circumstances we were operating in. There was a road map out of lockdown, but it was far from certain so we as a table had to plan accordingly. Rock the Barn, our new annual event was potentially viable given the strong performances of the 2018 and 2019 event, so immediate focus turned to that. In addition, I had to consider the annual fireworks which we hadn’t held since 2019 and the potential for a new event in the calendar, which was either a regenerated version of a previous event or something new. I also had to consider that we as a group had been in hibernation (along with the rest of the country for 18 months) and it would take us time to come back to full organisational strength. With all that in mind I set my goals for the year, and they were; 

Bring back Rock the Barn and secure it going forward Introduce a new event in the calendar Increase membership Hand over a stable and harmonious Table in 2022 

You may note from the list above the absence of the annual Fireworks. This was an uncomfortable decision but ultimately not difficult. I decided that there would be no fireworks in 2021 due to several factors. Firstly and most importantly, the most recent incarnation of the event was not profitable. The costs that were associated with the event, which escalated year on year, made it a fragile economic proposition. There was no room for negotiations with our longstanding venue and this more or less nailed it for me. There was increased competition locally from very successful free events that took market share, the fireworks took a lot of effort and came almost on the back of Rock the Barn which was an enormous resource drain to table. This meant that energy and enthusiasm to get straight into fireworks planning was  understandably low and as we were still in a lockdown period, I made the call to cancel it in 2021. I made clear that I thought that fireworks could return one day but would need a complete re think, venue change and 12 months planning that we didn’t have for 2021. At the time of writing I am pleased to inform that a new venue has been secured and a plan for fireworks 2022 is in place. 

Going back to my list of goals, I can say with pride that Rock the Barn 2021 was a rampant success. It was very hard work, we had to change the date mid way through because of lockdown and we had very limited resources in terms of volunteers owing mostly to Covid 19 but we managed to pull it off. Mistakes were made and will be learned from but we made a bigger profit than previous years (due to a cut and burn cost analysis by me which in fairness was unique to 2021) and it is in good shape for another go in 2022. The event itself has already outgrown table to an extent and has the potential to grow even more. 

I also wanted to introduce a new event for the year, which could offer a new revenue steam and an alternative to years gone by. The general consensus was that “the ball” set up had become tired in the summer format but there was scope for a winter themed event. With that in mind we set about to launch “Ebenezer’s Feast” in conjunction with the Green Dragon hotel, an evening of theatre, feasting and fun at the start of the festive season. The sad truth about this event was that it fell victim to a lack of capacity from our end to push and promote it. The post Rock the Barn slump meant that it lacked urgency and commitment and was fast becoming a one person crusade. Added to that, the proposed venue were not terribly supportive and so the inevitable lack of ticket sales (less than 10%) with three weeks to go meant that I had to once again, cancel an event, earning a reputation as Captain Cancel. Like the fireworks, I believe this event can happen but will need much more planning and commitment and a dedicated sub team to organise it. 

Membership was something that I also wanted to make a mark on during my year. I had joined Round Table at something of transitional moment and a number of longer term members had left, leaving the membership at a historically level. I am really pleased to say that with the support of the rest of the guys we have managed to induct three new members to Hereford Round Table during my year and welcomed back a previous member, swelling the membership back to a decent level. We can still do more, and will continue to do so but the current membership is not only at a good level but also offers a variety of skillsets that will be invaluable going forward. Increased membership is key to the success of the events we plan as it allows a much greater spread of responsibility throughout the year and we can avoid “burn out”. 

Finally, my main goal was to hand over to the next chairman, a Table that was stable, organised, enthusiastic and well placed to grow going forward. I am very pleased and proud to say that with the help of the guys we have done that and it's a table in great shape going forward and I'm excited to see what it can achieve in the years ahead. 

So to summarise, whilst I did not achieve all of my goals, I am satisfied that I have managed to do most of what I set out to do as chairman and that my stewardship and the support of the tablers has secured Hereford Round Table in a post Covid world, breathed some life back into it and I hand over the reigns happy and ready to support table going forward.

## **Independent examiner's report to the trustees of Hereford Round Table** 

I report to the charity trustees on my examination of the accounts of Hereford Round Table (the Trust) for the year ended 31 March 2022. 

## **Responsibilities and basis of report** 

As the charity trustees of the Trust you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 ('the Act'). 

I report in respect of my examination of the Trust's accounts carried out under section 145 of the Act and in carrying out my examination I have followed all applicable Directions given by the Charity Commission under section 145(5)(b) of the Act. 

## **Independent examiner's statement** 

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect: 

1.     accounting records were not kept in respect of the Trust as required by section 130 of the Act; or 

2.     the accounts do not accord with those records; or 

3.     the accounts do not comply with the applicable requirements concerning the form and content of accounts set out 

   - in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a 

   - true and fair view which is not a matter considered as part of an independent examination. 

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.

## **1 ACCOUNTING POLICIES** 

## **Accounting convention** 

The financial statements have been prepared under the historical cost convention, and in accordance with the Financial Reporting Standard for Smaller Entities (effective April 2008), the Charities Act 2011 and the requirements of the Statement of Recommended Practice, Accounting and Reporting by Charities. 

## **Incoming resources** 

All incoming resources are included on the Statement of Financial Activities when the charity is legally entitled to the income and the amount can be quantified with reasonable accuracy. 

## **Resources expended** 

Expenditure is accounted for on an accruals basis and has been classified under headings that aggregate all cost related to the category. Where costs cannot be directly attributed to particular headings they have been allocated to activities on a basis consistent with the use of resources. 

## **Taxation** 

The charity is exempt from tax on its charitable activities. 

## **Fund accounting** 

Unrestricted funds can be used in accordance with the charitable objectives at the discretion of the trustees. 

Restricted funds can only be used for particular restricted purposes within the objects of the charity. Restrictions arise when specified by the donor or when funds are raised for particular restricted purposes.
