## **Structure, Governance and Management**

## Governing Document:

Love Driffield is a registered Charitable Incorporated Organisation governed by its Constitution (foundation model). The organisation was registered with the Charity Commission on the 14[th] August 2019.

## Recruitment and appointment of Trustees:

The trustees form the Executive Committee of the charity. The members of the Executive Committee are elected at the Annual General Meeting by the members of the Charity. All members are circulated with invitations to nominate trustees in advance of the AGM.

The Constitution of the Charity states that there must be at least four charity trustees, with no maximum limit of number of trustees.

As the CIO is governed by a Foundation model Constitution, the Trustees of the Charity are also the only members of the Charity.

## Trustee Induction and Training:

All trustees are provided with the Charity Commissions ‘Roles and Responsibilities of Trustees’, the Constitution and the financial statements including the Annual Report. Any training required by the trustees may be requested at any point, where it is considered useful to their role as trustee.

## Organisational Structure:

The board of Trustees manages the Charity, and aims to consider only strategic decisions at its meetings. Trustees are aware that any conflict of interest is declared and recorded. The board holds its meeting every three months, date decided at previous meeting.

Love Driffield Charity No: 1184896

## **Trustees Annual Report For the year ending 31 August 2024**

## Risk Management:

The major risks, to which the charity is exposed, as identified by the Trustees, have been reviewed and systems have been established to mitigate those risks.

The main financial risk to the charity at present is the reduction in donations and lack of grant funding available to support the food bank during the Coronavirus pandemic.

All systems and procedures are reviewed regularly to ensure they meet charity law and our own organisations aims and objectives.

## **Objectives and Activities**

The charity’s objects are:

“To relieve persons in the Driffield and surrounding areas of the East Riding of Yorkshire that are in financial hardship in such ways as the trustees from time-to-time think fit. In particular, but not exclusively by:

- a) Running a food bank, known as "The Driffield and Wolds Foodbank" providing emergency food, essential toiletries and household items to individuals and families in need and/or for distribution by charities or other organisations working to prevent or relieve poverty.

- b) Such other means, including (but not limited to) the provision of support or signposting to relevant information and other advisory services.”

## Main objectives for the following year:

In shaping our objectives for the following year and planning our activities, the Trustees have considered the Charity Commission’s guidance on public benefit and this is regularly revisited.

- 1 Running of the food bank to support individuals and families in need and/or for distribution by charities or other organisations. The charity strives to be a local community hub for the provision of support or signposting to relevant information and other advisory services.

- 2 To work alongside other local charities to support the community during the cost of living crisis.

## **Trustees Annual Report For the year ending 31 August 2024**

## **Achievements and Performance**

Love Driffield is in its fifth financial year after becoming a CIO on 14 August 2019. During the year, Love Driffield held the official opening of the Hub on 22 November 2022 and work has continued to develop the new food bank premise into a serviceable community hub. The Hub has continued to provide a space for the community to benefit from, incorporating a digital hub, a workspace for the department of education and an area the Cherry Tree Advice Centre to name a few.

With the cost-of-living crisis continuing to take hold during this year, the demand has remained high. 2,088 families have been supported by the food bank within the year, with 3,287 bags distributed and 94 families supported with living assistance items. The high demand at the foodbank and continual improvements to the new premise during the year have meant it has been another challenging year which has been made manageable with the support of a fantastic team of volunteers.

During the year, Love Driffield has continued to develop The Hub, leaving it unrecognisable to the building which the charity moved into 4 years ago. This has allowed the charity to continue to operate as a community hub, alongside the foodbank, building a community centre for our clients as well as the general public when accessing courses and support services from the building. The ongoing investment in the building has been to create a more accessible and friendly space for the users.

Love Driffield has operated a Warm Welcome Space project throughout the autumn and winter of the financial year. A mixture of clients and pensioners attended, enjoying craft sessions and various out-sourced workshops. The aim of these sessions has been to reduce social isolation for some vulnerable members of the community, as well as provide access to community resources and create a provision of activities and warm refreshments. Love Driffield hope to continue the warm space provision, and include a sewing class going forward.

Love Driffield held uniform exchange events during the summer holidays of 2023 & 2024. These events were to enable families to swap school uniform for a number of local schools to reduce the financial burden at the start of a new school year. These events were a huge success and approximately 150 families were actively taking part in these events each year.

During 2023/24, Love Driffield have applied for grants to supply small appliances, such as kettles, toasters and airfryers, to support families who have been displaced or for clients who are struggling to equip their kitchens. These items have been vital in supporting our clients, allowing them to cook healthy meals and utilise the contents of the foodbank bags provided.

Love Driffield Charity No: 1184896

Throughout the year, Love Driffield has continued to work in partnership with The Beverley Cherry Tree Community Centre to provide advice to our clients. The Adviser, Jo Ramsey. This service has continued to be invaluable, saving clients the expense of traveling outside of Driffield for this type of financial support. We cannot put a price on the help they have given our clients.

Other projects untaken during the year which Love Driffield is proud to have completed included working with local schools on a project to encourage social responsibility and good nutrition with local school children, ‘Operation Christmas’ whereby Love Driffield directly provided over 200 children with toys at Christmas and attendance at Driffield Show to get Love Driffield visible and increase awareness of our mission and services.

## **Food Donations**

During the year we received 19,093kg of food donations, valued at an estimated £33,414. As our accounts are prepared on the Receipts and Payments basis, gifts in kind are not included within the financial figures provided.

## **Plans for Future Years**

Please see main objectives for the following year.

1. Continue to support local families in need during the cost of living crisis which continues to show with the continuing trend of a growing client list. This will include the provision of food and ancillary supplies provided by the Foodbank as well as the provision of services and signposting to support and support and advise clients and their families to improve their financial outlook.

2. Work alongside schools in an education project, with children & staff attending the foodbank when not open to clients, doing role play / making pretend client bags / discussions on nutrition.

3. Continue to use the Hub to facilitate ‘Warm Spaces’. This is to provide a warm welcoming space for members of the public to improve social isolation and access to community resources and create a provision of activities and warm refreshments.

4. Building relationships with agencies and other community groups, in order to identify needs in the local community which Love Driffield could contribute support to overcome.

- there is no relevant information of which the charity’s Independent Examiner is unaware; and

We have taken all the steps that we ought to have taken as Trustees in order to make ourselves aware of any relevant information and to establish that the charity’s independent examiners are aware of that information.

## **Statement of Trustees responsibilities**

The Trustees are responsible for preparing a Trustees’ Annual Report and Financial Statements in accordance with applicable law and United Kingdom Accounting Standards. Love Driffield has income below £250,000 and has therefore elected to prepare the financial statements on a Receipts and Payments basis in line with the Charities Act 2011.

The Trustees are responsible for keeping proper accounting records that disclose with reasonable accuracy at any time the financial position of the charity. They are also responsible for safeguarding the assets of the charity and hence taking reasonable steps for the prevention and detection of fraud and other irregularities.

## **Independent Examiner’s Report to the Members of Love Driffield.**

I report on the accounts of Love Driffield for the year ending 31 August 2024, which are set out on pages 11 to 20.

## **Respective responsibilities of Trustees and examiner**

The charity's trustees are responsible for the preparation of the accounts. The charity’s trustees consider that an audit is not required for this year under section 144 of the Charities Act 2011 (the Charities Act) and that an independent examination is needed. It is my responsibility to:

- examine the accounts under section 145 of the Charities Act,

- to follow the procedures laid down in the general Directions given by the Charity Commission (under section 145(5)(b) of the Charities Act, and

- to state whether particular matters have come to my attention.

## **Basis of independent examiner’s report**

My examination was carried out in accordance with general Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a ‘true and fair’ view and the report is limited to those matters set out in the statement below.

## **Independent examiner’s statement**

In connection with my examination, no material matters have come to my attention which gives me cause to believe that in, any material respect:

- accounting records were not kept in accordance with section 130 of the Charities Act or

- the accounts do not accord with the accounting records

I have come across no other matters in connection with the examination to which attention should be drawn in order to enable a proper understanding of the accounts to be reached.
