ABBEY PLAYERS

Annual General Meeting

Monday 10th March 2025 Skety Primary School - 7.35pm

1. Welcome by Chairman Simon Lloyd-Jones.

A minute silence was held for John Davies.

2. Apologies for Absence

List of apologies read out by Lee Lloyd-Jones. There were no additions from the floor.

3. 2024 Minutes

Read by Tracey John

Proposed by Leanne Noble. Seconded by Ewan Forrest

There was one matter arising from the minutes. Following the resignation of Ray Lucas as Abbey President, Anne Williams became the new President.

4. Director’s Report

Read by Cath Van Wyk on behalf of Ashley Eynon-Davies.

5. Musical Director’s Report

Read by Cath Van Wyk on behalf of Jonathon Lycett.

6. Treasurer’s Report

David reported that this had been a good year. Although a small deficit on the show, there was a surplus on the year of almost £12,000 from subs, fundraising, gift aid and interest on reserves. Net assets now around £68k. David thanked Yvonne for auditing the accounts.

7. Fundraising Report

Read by Lee Lloyd-Jones on behalf of Lynne Miller.

8. Publicity Report

Cath Van Wyk thanked everyone for pulling together to sell tickets. Keep up the good work!

9. Chairman’s Report

Simon Lloyd-Jones was pleased with the success of Abbey Players first Disney show. Hard to make a profit when ticket low prices dictated by rights holders so the very small deficit on the show was actually pleasing. Simon reminded everyone that the Committee put in a lot of effort to put the shows on. They get no financial reward and all they ask is that everyone makes an effort to support the Society. He thanked Leah Collett, Leanne Pugh and Cath Van Wyk for standing in to save the show, the production team, Front of House team, tea makers etc. Special thanks to Lee who is a very unique ‘man of all work’.

Vice Chairperson Cath also wanted to thank Simon LJ for his relentless work on behalf of Abbey players.

10. Election of Officers

1 nomination received for Vice Chair - Cath Van Wyk Proposed by Sarah Clatworthy. Seconded by Cath Bingham

1 nomination for secretary, Lee Lloyd-Jones Proposed by Frances Lane. Seconded by Bethan Packer

1 nomination for Treasurer, David Jenkins Proposed by Ewan Forrest. Seconded by Sarah Clatworthy

All existing general committee members had put themselves up for re-election with the exception of Kelly Reynish. 1 nomination had been received for committee - Tracey John. No vote was needed as no other nominees.

Proposed by Rosie Cottle. Seconded by Susan Thomas.

11. Life Members

Cath Van Wyk read the list of existing Life Members. Howard Phillips had relinquished his life membership. The committee had proposed 4 new Life Members - Simon John, Tracey John, Simon Lloyd-Jones, Lee LloydJones.

Proposed by Katie Bird. Seconded by Frances Lane.

12. Honorary Members

The proposed list from committee includes:

No other suggestions were offered.

13. Presidents address .

Anne said she was delighted to accept the position of President……until she remembered she had to give a speech at the AGM! Anne explained she had originally been watching the local amateur productions as her husband, Lyn was the performer. However, she decided to join in ‘offstage’ in 1977 and has been contributing to Abbey in one way or another ever since, doing fundraising, props, Secretary, Ticket Secretary and now as our President. Les Mis was going to be a wonderful opportunity for all the societies in Swansea and she had her tissues and waterproof mascara at the ready.

Simon thanked Anne and requested she continue as President, to which she agreed.

14. Society Awards

Adrian Howells Abbey Player of Year Award to Simon John for building and decorating props, directing Murder Mystery fund raiser, and use of garden for publicity photos amongst other things.

Gaenor Thomas Award for Individual Performance to Connor Edwards for Lumiere.

Margaret Grey Award for Best Newcomer to Callum Aspland for wholeheartedly joining in with fundraising, nearly getting away with murder, as well as being a playing member.

Jean & Bernard Strawford Committee Choice Award to Leah Collett for stepping up to cover Madame De La Grande Bouche for the first few nights of the show.

15. 2025

Les Mis is already under way and will be no ordinary show with a cast from all over South Wales and over 100 performers. Over 4,000 tickets sold already. If anyone has booked seats through the Society, they must be paid for by the end of April.

Membership fee for Abbey players this year (March 2025 to March 2026) is £50 for both Playing and NonPlaying members. This is due by the last performance of Les Mis (July 19[th] ). This is separate to the Performance Fee of £150 for Les Mis.

Simon John asked if extra performances were bring considered – Simon Lloyd-Jones confirmed a decision would be made by the end of April.

Ray Harris asked who would be covering the financial balance and if it was shared between the 3 societies – Simon LJ confirmed it is only funded by Abbey Players. Ray asked if we had insurance in place to protect any losses. David J confirmed that we have insurance to cover things such as cancelled performances.

16. 2026 Show

Simon Lloyd-Jones confirmed that a show had not yet been chosen. The intention is to be back at the Grand Theatre. Our preferred November slot is not available in the Theatre, so we are looking for a suitable week.

17. AOB

Congratulations to all in the recent performances of Sunset Boulevard and Legally Blonde. Also, good luck to Connor, Natalie, Tracey and the Society for the NODA nominations for Beauty and the Beast.
