Abbey Players Annual General Meeting

Monday 11[th] March 2024 at Sketty Primary School - 19.46pm

1. Welcome by Chairman Simon LJ

Apologies same as those for EGM (so not read out again)

2. 2023 Minutes read by Tracy John Proposed by Lynne Miller and seconded by Carys Wright The only matters arising from the minutes were the VAT and Ray Lucas, both of which would be covered later in the meeting.

3. Artistic Director’s report read by Ashley Eynon-Davies. Very pleased with the work put in by the principles and the company. Special mention to Lee for costumes and Jonathon Lycett for his valuable input.

4. Musical Director’s report read by Cath Van Wyk on behalf of Jonathon Lycett.

5. Treasurer’s report

David should have been back for the meeting, but he was stuck in Tenerife due to a delayed flight. Simon LJ gave a summary of the financial position on his behalf. The show made a profit of approx. £900. Fundraising and membership together with other income, resulted in a surplus for the year of nearly £10k. However, some of that (about £3k) was due to the VAT from last year. A strong position going forward. Simon thanked Yvonne O’Sullivan for auditing the accounts.

7. Chairman’s report

Simon said the use of Taliesin was a financial success, but the show was in jeopardy as only 300 tickets were sold by September and the committee very nearly had to cancel it. We have got to work together to promote the show and not just rely on the committee who are very busy people with work and families. Simon thought the company was brilliant and Ashley had been very creative, and it was good to have Jonathan Lycett back. He thanked all the Committee and the Production Team for their hard work and was looking forward to Abbey’s first Disney show.

8. Election of Officers

Cath VW was nominated for Vice Chair – prop by Cath Bingham, seconded by Leanne Noble.

Lee LJ was nominated for Secretary – prop by Beverley Harris, seconded by Simon John.

David Jenkins was nominated for Treasurer – prop by Beth Hubbard, second by Ewan Forrest.

There were 7 nominations for the 6 general committee members as the 6 existing members had offered themselves for re-election plus Leanne Noble had been nominated. Usually this would result in a ballot, but Anne Williams had withdrawn her nomination to make way for Leanne. The 6 committee members are therefore Kelly Reynish, Liz McDonell, Lynne Miller, Katie Rowden, Carys Mugford and Leanne Noble.

Proposed by Carys Wright and seconded by Lesley Jenkins.

9. Life Members

Lee read the list of Life Members. There were no new recommendations.

10. Honorary Members

This year’s members were Yvonne O’Sullivan, Claire O’Leary, Spencer Thomas, Lee Dennis & Nia Mills. There were no other suggestions. Proposed by Katie Rowden and seconded by Liz McDonell

11. President’s address

Unfortunately, Ray Lucas was unable to be with us this evening due to poor health. In view of his age and health he has decided that he can no longer continue as President. Simon thanked Ray and Mavis for all their work for the Society over the years. The Committee will now have to consider a new president in the coming weeks.

12. Society Awards

Adrian Howells Abbey Player of the Year Award – Lee Lloyd-Jones

Gaenor Thomas Award for Individual Performance – Emma Kennedy and Natalie Edwards

Margaret Grey Newcomer Award – Laura Baljak

Committee Choice Award in memory of Jean and Bernard Strawford – Dylan Stapley

13. 2024 Production

Beauty and the Beast will be Nov 19[th] to 23[rd] with performances at 7pm and a matinee at 2pm on the Saturday. There is a possibility of extra performances on the Monday 18[th] or the Sunday 24[th] if necessary. It will be in the Taliesin again as there is a restriction that this can only be performed in theatres with an auditorium of less than 400 seats. Simon confirmed that Ashley and Jonathan would be returning as the Director and MD. There would be a backing track again rather than live music. Rehearsals start 15/05/2024. Rehearsal

schedule already available and please don’t audition for parts if you cannot make the rehearsals. Tickets cannot be more than £16 so there are no concessions. The Box Office should open shortly. Fees will be £60 for playing and non-playing members. Playing members will also pay a £50 production fee. Ray Harris asked if anything could be done about car parking, but this was impossible as everything possible had been tried this year.

Beth Hubbard asked if there would be a double cast – Simon confirmed this was not the intention, but it could change at the discretion of the committee.

14. AOB

Noda nominations had been received by Max (Pugsley), Joanne (Alice) and Simon (Moon and Me routine). Some other Abbey Players had also been nominated for roles in other Society productions. All were congratulated on their nominations.

We still have the rights to Elf, and this is currently still planned for 2025. Congratulations to Beth & Nick on the arrival of their baby, to Carys Wright on the arrival of her baby and Best Wishes to Katie for her upcoming wedding in April.

The raffle was rapidly drawn, and the meeting closed at 8.33pm.
