Minutes of the meeting held 31/10/22 at 11.30am at CCGS

The trustees present their report for the year ended 30th Sept 2022.

The accounts and all supporting documents for the year ended Sept 2022 have been examined and checked by R.W.Oakes of David Mitchell Accountancy Ltd.

Our third year has seen an increase in money flow coming in and going out. The second year just coming out of a worldwide pandemic, which has resulted in less homing, less fundraising and therefore we are playing catch up and ended up with a deficit of -£4,578.57.

We homed 107 Greyhounds this year.

Jo Blake has resigned as a trustee and has been replaced with Rebecca Patman to keep in line with the trustee ration set by charities commission.

Tracy Ryan has been managing the day to day of the kennels and Tara Holland and been keeping the paperwork and admin up to date.

We have had a new team member join us in Aug 22, Karen has worked in the corporate world and helping businesses find better ways to do things. She is looking at setting up a database in order to have everything on a system for all staff to use and see.

Judith is still out of action, she had a big operation in March 22 and has been recovering from that and also receiving cancer treatment from the hospital. Tara has increased her days to 3/4 days per week to help with the admin and also Judiths care.

INCOME

This year you can see the effects the pandemic has had on our charity, our kennel fees and adoption fees have seen another decline in comparison to our last 2 years. We have however managed to increase our dog intake due to being able to have members of the public visiting the kennels again. However, we have yet to see an increase in our trainer donations this may be more reflected in next years accounts.

Due to the pandemic we needed to find more and better ways to fundraise after losing out on face to face fundraising, with fayres and festivals etc. Our fundraising has tripled this year, mainly due to we are now claiming Gift Aid on our donations. We are also working with online outlets which we receive donations from AmazonSmile, Giveasyoulive, easyfundraising, recycle4charity, Our annual Christmas raffle. We also attended our first event since the pandemic the Greyhound Derby hosted at Towcester racecourse and we managed to raise just under £3k.

We also found more people signing up for sponsorship to offer their help so again we saw an increase from £5691 to £6866 in sponsorship. We have also increased our donations and sale of goods online. We’ve had a increase in Legacy/Donations this year and will be showing these separately next year.

Our biggest benefit this year again has been the GBGB Bonds, which for each dog we take into kennels we can receive a £400 bond. Our first year with the bonds we received just under 12k, this year it has now increased to a massive £34800.

EXPENDITURE

Our biggest expenditure will always be staff wages, we now have 5 members of paid staff. You will see an increase in wages this year as we have increased staff hours not only due to pandemic but also due to Judith’s illness. Our wage bill has seen an increase of £6k in comparison to last year.

Vets costs will forever be our second highest expenditure, this past year we have been unlucky in that we have ended up with poorly dogs in our care. Pooch came in with a gardia parasite which has affected his stomach lining and has needed to see specialist etc whose current bill stands just under £5k. We also had Coco who has needed vet care and has a bill of under £2k. We have also found that some dogs are coming in with just a month on the Vac card which has meant we are paying for vaccinations too. After a metting we have now implemented a new policy of not accepting any dogs without at least 6-9months on vaccination card.

Due to some illnesses we are having to provide a special diets which has slightly increased the food bill.

FUNDRAISING

Our Fundraising we have been working on to find more ways in which to raise money especially when its not coming in from the usual outlets. This year we have started to do Gift aid and have managed to back date out claims to Sept 19.

We work with Agria pet insurance who offer 5 weeks freee insurance for each pet homed, then if they take out a policy with Agria we receive a bonus payment.

We still using other online platforms to fundraise such as Amazonsmile, Giveasyoulive and easy fundraising. We have set up collections of print cartridges, stamps, old jewelry and phones etc once sent off or collected we receive a donation from the items.

We always have our Annual Christmas Raffle, and Christmas card & calender sales at the end of the year and we made it to the Derby at Towcester Racecourse where we raised £3k.

We haven’t got round to setting up an Ebay shop, hoping to find someone to take this role next year. Also Karen has had some great ideas for new fundraising avenues to check out and implement.

FUTURE PLANS

We need a volunteer group who are happy to go around and do shows, local fayres and festivals etc. Our previous volunteers have feel off due to the pandemic.

We will continue with the GBGB Bonds to help towards our vet fees, and the dogs in kennels will be funded by Towcaster Racecourse.

We are increasing our selling costs of goods due to the increases coming down the line.

I report to the trustees on my examination of the accounts of the above charity ('the Trust') for the year ended 30th September 2023, which are set out on the previous page.

As the charity trustees of the Trust, you are responcible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 ('the Act').
