## **Structure, Governance & Management**

## **Type of Governing Document:**

Constitution,

## **How the Charity is Constituted:**

Charitable Incorporated Organisation

## **Trustee Selection Methods: Elected by existing Trustees**

## **How New Trustees are Inducted and Trained:**

All Trustees are provided with a copy of the Constitution, Annual Reports, Financial Statements and Minutes of recent meetings.

## **Objects**

The prevention or relief of poverty anywhere in the world by providing: grants and items to individuals in need and/or charities, or other organisations working to prevent or relieve poverty.

Our mission is to supply regular shipments of food, warm clothes and other life essentials.

## **Statutory Declaration on Public Benefit**

The trustees declare that they have complied with their duty to have due regard to the guidance on public benefit published by the Charity Commission in exercising their powers or duties.

## **Executive Summary**

We use Social Media to keep in regular contact with volunteers and organisations working on the ground in the countries we support. This gives us an insight into exactly what is needed and where. It also enables us to confirm to our donors that the aid we send reaches the correct destination.

A list of the “People We Support” can be found in the accompanying document. We hold regular meetings and work alongside several other charities and groups from Cheshire, Merseyside and North Wales. This enables us to make informed decisions on when and where to provide aid and to make the best use of our limited resources.

Although most of the aid we supply is sent from the UK, it is sometimes more economical for us to grant funds to charities and groups operating in the areas we support. This money is then used to purchase food and essential items locally, reducing transport costs and supporting their local economy. We obtain original receipts for such purchases whenever possible.

## **Activities, Achievements & Performance**

2020 proved to be a very strange and challenging year for everyone. RRYM was no exception. Three weeks after our AGM which was held on 3 March, lock-down measures were introduced, along with

**Refugee Relief Ynys Môn** Charity no. 1184413

Email: info@rrym.uk Website: RRYM.UK

all their implications. We immediately informed our supporters that we would be unable to accept donations for the foreseeable future. We felt it was the best course of action to take in a bid not to compromise anyone’s safety. Fortunately we already carried out all the sorting and packing duties from our home, and we had succeeded in accumulating a huge backlog of donations which had been sorted into summer and winter wear. This meant that we were able to continue to ship boxes of aid to countries various throughout the lock-down period.

The fact that all fundraising events had to be put on hold forced us to become a little more creative when it came to raising money for the charity. We launched several Facebook fundraisers during the ensuing months, as well as an online Christmas sale which enabled us to advertise and sell brand new items which had previously been donated to the charity but which were not suitable for shipping out to the camps. In November, Heulwen embarked upon a course of intense chemotherapy. She decided to turn a negative into a positive by encouraging friends and family to sponsor her to have her head shaved. She launched a personal fundraiser on Facebook which raised £1,314 for the charity.

In October trustees Heulwen and Barry received a firm offer on their home on Anglesey. They had already found a suitable property in Llandudno, so a house move was added to the agenda. The shipping of donations was duly speeded up in an attempt to empty the still very full loft and garage. The charity Mersey Aid turned up trumps by offering to accept excess donations if we could arrange to transport them to their warehouse in Wallasey. This was duly organised as you will see in our “People We Support” document. Barry and Heulwen donated monies received from the sale of unwanted furniture and other household items to the charity.

Following the permanent misplacement of four boxes of aid that were shipped to Athens in January 2021, RRYM decided to suspend the shipment of boxes to other countries until further notice. It became obvious from talking to members of other groups and charities that Brexit had caused horrendous problems with regard to shipping items abroad. It is hoped that we will be able to resume this service if/when things become a little easier. Meanwhile we have been focusing on sending boxes of aid to other organisations in the UK who have been packing their items on to containers.

As far as future activities are concerned, it has been decided that money saved on shipping costs will enable RRYM to make occasional financial donations towards projects organised by other registered charities. We also hope to work alongside other local groups to provide help and support for those in need. Barry and Heulwen finally moved to their new home in Llandudno on 5 March. Unfortunately this has served to widen the geographical distance between our trustees, but hopefully it will enable us to forge links with a wider range of local groups as well as raising the profile of the charity and making people aware of the work that we do.

Following Covid-19 guidance, our AGM which is usually held during the first week in March was cancelled. A remote meeting of Trustees was held on Facebook, and it was agreed to hold a formal AGM once conditions allow.

We showcase the work of our charity and request public donations on our Website https://RRYM.UK and on our Facebook page refugeereliefynysmon.

**Refugee Relief Ynys Môn** Charity no. 1184413 Email: info@rrym.uk Website: RRYM.UK

## **Other fundraising activity**

Items which have been donated but which are not required by the displaced people we support are sold either at local events or on social media to raise funds.

## **Talks and Presentations**

Heulwen has given talks to schools and social groups on Anglesey to raise awareness of the Refugee crisis and the work we do. She donates any speaker’s fees to RRYM.

## **shipping costs**

As most of the items we supply to refugees have been donated, the main area of expenditure this year was shipping costs.

We use “Parcel2go” and “Parcel Monkey” to select the cheapest courier service to deliver our boxes of aid to where they are needed.

Despite this, we spent £3,193 on Shipping Costs this year.

We posted 150 30kg boxes of clothes and household items, most going to Athens, the Greek islands and UK charities.

## **Purchasing Aid**

Our other main expense has been purchasing new underwear and other essential items which were not donated.

Some of these are purchased in the UK and shipped in the boxes and containers, while others are purchased on our behalf by trusted volunteers in the countries we support. These totaled £4,400, which included:

£744 for Firewood, £142 for Exam sponsorship, £1,318 for Solar Energy,

- £1,366 for Food Baskets, £338 for a Wheelchair and £487 for Medical devices.

For an explanation of these items and details of their recipients, please refer to the accompanying “People We Support” document.

## **The people we support**

Occasionally we are able to supply aid directly to displaced people, either in the UK or in refugee camps, who have been referred to us by a trusted volunteer or group.

However as we are such a small charity with few volunteers, most of the aid we collect is shipped to one of the organisations described in the accompanying “People We Support” document, who we trust to distribute the aid on our behalf. We receive frequent photographs of these distributions, which we show on our Facebook page and Website as evidence to our donors that the aid has reached its intended recipients.

## **Financial Review**

## **Statement of the Charity's Policy on Reserves**

We try to hold at least £1,000 in reserve.

We need this so that we can respond to emergency calls for help.

Occasionally we are able to supply aid directly to displaced people, either in the UK or in refugee camps, who have been referred to us by a trusted volunteer or group.

However as we are such a small charity with few volunteers most of the aid we collect is shipped to one of the following organisations, who we trust to purchase or distribute the aid on our behalf. We receive frequent reports and photographs of these distributions, which we show on our Facebook page and Website as evidence to our donors that the aid has reached its intended recipients.

RRYM has provided hats, scarves and gloves, men’s winter coats and footwear.

These were sent to the camp on Chios in 30kg boxes.

## **Samos Hospital**

It has fallen upon the understaffed Samos hospital to provide essential healthcare to the thousands of refugees living in the hotspot and the island. The lack of medical staff in the hotspot impacts not only the healthcare of refugees but also the vulnerability assessment procedure. Greece's economic woes mean that paramedics on the picturesque island of Samos are increasingly faced with the terrible dilemma of who to save and who to leave to die.

“I just received a box from Heulwen with medicine, (paracetamol) which is much appreciated, towels which will be used for the shower project for women and children by Boabab, glasses which where also sent to Mediequal team , and other special shoes for young teenagers. I cant express how much everything was immediately needed. People on Samos are suffering a lot , I could say worse than in 2015. Please thank your donors on our behalf and continue helping as you are so generously doing.

rsaegean.org/en/situation-on-samos-has-reached-the-edge/

RRYM has provided towels, nightwear, orthotic boots and back braces, spectacles, plaster strips, micropore and bandages for use in Samos hospital.

## **ThereYouGo (Samos Camp)**

Georgia Papadopoulou (charity @thereyougo.education Community), Teaches English in Refugee Camps and eventually give people the opportunity to sit exams with an LCCI recognition.

“Now we are teaching in the Hot Spot of Samos and again we have started with 3 different groups. Time will tell where our teaching will lead. We are hoping to help all people young and old by providing sufficient materials and enthusiastic lessons that will keep our students interested to follow a strategic course and of course better their level of English. Who knows in time they might be able to sit a European Recognised EDI English Language Exam”.

Between March 2020 and December 2020 RRYM shipped numerous 30kg boxes of aid to the camp on the Greek island of Samos. Items included clothes and footwear for adults and children, baby blankets, children’s toys and educational materials. In December 2020 RRYM donated 150 Euros or £144 towards the cost of firewood for the occupants of the camp. The payment was made using our charity Paypal account. In January 2021 we paid a further 100 Euros so that the residents of the camp could purchase rat poison to cope with a mass infestation. Again our Paypal account was used to facilitate the payment.

In February RRYM paid the sponsorship fee for a young Cameroonian lady by the name of Hermine, who was also a camp resident, to study for her English B2 exam. This was arranged by the organisation Thereyougo who are responsible for providing the tuition and who are based on the island of Samos. The cost came to 155 Euros or £142.

## **Chios Eastern Shore Response Team (CESRT)**

After almost five years of responding to the immediate needs of those landing on Chios’ Eastern Shores, of welcoming them with food, water, dry blankets and clothes and the warmth of CESRT welcome, as a Response Team, CESRT is embracing and being embraced by this change…

Offene Arme eV is the official host of CESRT priority activities: distribution of essential goods at landings and in response to identified needs. CESRT will be renamed ‘Offene Arme’ (Open Arms) with the formal status of a registered humanitarian association with the Greek Government.

In July 2020 RRYM sent four large boxes of baby and toddler summer clothes for ages 0-2 years to Cerian Sims Schaus in Sussex. These constituted part of a consignment which was being sent on a pallet to the Chios Eastern Response Team.

## **Folkestone Barracks**

In October 2020 we responded to a request from a volunteer at Napier barracks in Folkestone. The men/boys who were being detained there were in desperate need of warm winter jackets, hats, warm socks and sturdy shoes. We packed up several 20kg boxes of same before posting them down to Kent.

## **Atika Container**

## **Forge For Humanity**

During October and November 2020, RRYM sent multiple boxes of winter aid to Forge for Humanity in Athens. Items included men’s and women’s winter jackets, children’s winter wear, baby clothes and blankets, snow suits and assorted footwear. Some of the men’s jackets were distributed amongst the men that Forge support. The remaining items were passed on to Anne Bates, an independent volunteer based in Athens. RRYM maintained regular contact with Anne, which made it possible for us to tailor the contents of our boxes depending on the current needs.

## **Better Life With Refugees**

During November and December 2020, and January 2021, RRYM sent a number of boxes of aid to Better Life with Refugees in Athens. Items included winter clothes for babies children and adults, baby blankets and sleeping bags, nappies and nappy sacks, sanitary pads and baby wipes. Again some of the items were distributed directly by the organisation, while others were passed on to the independent volunteer Anne Bates for distribution in the parks and in Victoria Square. Unfortunately the four boxes that were shipped by us in January never reached their destination, despite exhaustive efforts on our part to complete the necessary paperwork brought about by the onset of Brexit. Some months later, and following much wrangling with the respective courier services, we were able to reclaim shipping costs.

## **Jo Garnham**

In January/February 2021, just a few weeks prior to our house move, RRYM sent several boxes of assorted toys, games, books and dvds, costume jewellery, household items and ornaments to Jo

Garnham in Lincoln. Jo is a member of the organisation Hull Help for Refugees. She is also a close friend of independent volunteer Anne Bates who distributes aid amongst refugee families in Athens, and who our charity has regularly supplied with boxes of much needed aid. Jo uses local online sites and attends local car boot sales to sell unwanted items. Any money raised is then sent to Anne Bates in Athens for the purchasing of basic food items for refugee families. Some of the items sent were as a direct result of our mega clear out prior to our move! Others were items which had been donated to our charity but were not suitable for shipping.

## **Hope and Aid Direct**

Hope and Aid Direct is a UK-based humanitarian aid charity that started delivering aid directly to the Balkans immediately after the war ended in 1999. It was founded with the motto "Taking Aid, not Sides". Registered charity: number 1077146

In February 2021 RRYM sent several boxes of aid to Roddy Philip of Hope and Aid Direct. It had become impossible for us to continue to ship aid out to Greece following the onset of Brexit and all the problems that ensued. We were also keen to get donated items to where they were needed prior to our house move in March. Items included baby clothes, children’s clothes, hats scarves and gloves and assorted footwear.

## **Children’s home in Jamaica**

The donations included baby children’s and adult clothing, assorted footwear, sleeping bags and blankets, toiletries and nappies, holdalls and suitcases. The items were shared out between individuals in need, hostels and homeless groups in Liverpool and on the Wirral over the winter months.

These items were made and very kindly donated to our charity by several local knitting groups and individuals. They included baby blankets, children’s blankets, children’s jumpers and cardigans, hats scarves and gloves and a range of baby clothes. In January RRYM sent 45kg of medical aid and equipment to HIHFAD to be included in another container to Syria.

In February 2021 RRYM purchased 10 boxes of toothpaste from the online charity outlet Inkind. This was our charity’s contribution towards a large number of Eid bags which were being made up by Cerian Sims Schaus and her group, Sussex /Aid For Refugees, before being shipped and distributed by HIHFAAD in Birmingham. Since November 2016, Khora Community Center in Athens has been operating a free shop in our basement space for refugees, asylum seekers, and other people in need.

Between March 2020 and December 2020, RRYM continued to send multiple boxes of seasonal items and essential aid to Khora Free Shop in Athens. Items ranged from light summer clothes for babies children and adults, to warm winter clothes for all categories mentioned. We also sent a wide range of toiletries and sanitary products. ## **Gaza Solar Energy Appeal**

During the summer of 2020, RRYM launched a Facebook fundraiser to raise money for the installation of solar panels for four houses in the area of Khan Younes, Gaza. We chose this project as a means of helping the families combat the constant power outages encountered in that area. Since one of the families has a child who often relies on using a nebuliser, not having to worry about a constant electricity supply would prove a huge bonus. Also, with summer temperatures in Gaza regularly reaching over 40 degrees, the families have since been able to use electric fans to cool their homes. In August we transferred the sum of £1,318 directly into the account of the company responsible for carrying out the work:

ALABADLA COMPANY (Mobile 0595507087) GAZA, KHAN YOUNES, (Khan Younis- Albald -Khaled Ibn Al), which was completed to everyone’s mutual satisfaction.

## **Lebanon Medical devices**

In December 2020 RRYM sent £487 to purchase medical devices for seven-year-old Mohammed who lives with his family in Al-Masry camp in Arsal. We were made aware of his situation by a very dear friend who is herself a refugee, and who spends most of her free time collating accurate information which helps charities/organisations such as ours to focus on the needs of families housed in the camps. Mohammed had already undergone surgery to lengthen the tendons in his hands and feet, but needed medical devices which he would have to wear, day and night, in order to complete the process of helping him to learn to walk. His parents could not afford to pay for said devices. Having received pictures of the devices along with a doctor’s report, we were able to send sufficient funds to cover the cost. Pictures of Mohammed sporting his new devices were duly posted on our Facebook page together with a heartfelt thank you message from his father.

## **Lebanon Food Baskets**

Towards the end of August 2020 we launched another Facebook fundraising appeal to help purchase much needed food baskets for Syrian families residing in the camps in Arsal, Lebanon. Our intention was to be able to send the money and purchase basic food items prior to the onset of winter. Again this project was managed thanks to our Syrian friend living as a refugee in Arsal. She identified the families who were most in need of help and estimated that for each $30 raised we would be able to provide each family with a food basket containing the following items: sugar, rice, tea, oil, canned meat, jam and tomato paste. Two months later we were able to transfer the sum of £1,366 to Lebanon. Fifty families received food baskets, and there was enough to buy 400 litres of heating oil for distribution amongst the poorest families. Pictures and receipts on request.

## **Purchase Wheelchair**

In October 2020 RRYM raised the sum of £338 to purchase a customs built wheelchair for a young paralysed boy residing in Kiangwali refugee camp in Uganda. His mother and siblings have found the chair invaluable for transporting Jean. The wheelchair was built in Kampala before being transported to the camp. Photos available on request.

## **Firewood for Turkish border**
