## **Structure** 

Enderby Lawn Tennis Club (ELTC) is a membership based Charitable Incorporated Organisation (CIO). ELTC was founded in 1937 and became a CIO on 9[th] July 2019. 

ELTC is run entirely by volunteers and is managed by its trustees. Trustees are appointed in accordance with the club’s Charitable Incorporated Organisation (CIO) constitution. 

## **Activities and Objectives** 

The object of ELTC is the promotion of community participation in healthy recreation for the benefit of the inhabitants of Enderby and the surrounding district by the provision of facilities for playing tennis. 

ELTC operates and maintains three floodlit savannah courts. The club has a membership of ~110 adults and has a junior section of ~60 children and offers a wide range of membership types to encourage participation. Pay and play is available for the public. 

The pay and play facility offered to the public encourages people to try tennis and enables those who do not wish to become members to have access to the tennis courts. The club provides an online court booking system and access to the courts is via a PIN number issued at the time of booking. This online system was introduced in March 2021 and because it has made it easier to get onto the courts, more people are using the courts and gaining health and enjoyment benefits from playing tennis. 

ELTC provide a series of free tennis lessons each year for pupils at Danemill Primary School and provides free disability tennis sessions. The club has the services of a self-employed LTA registered coach who provides coaching for juniors and adults. This enables anyone interested in advancing their tennis skills to have access to expert tuition. 

Children from the age of four and adults up to the age of 90 regularly use the club’s facilities. It has been shown that tennis provides a lot of health benefits, both mental and physical. The availability of the facilities for tennis in Enderby enables its residents and those in the surrounding areas to have access to these health benefits. Members can participate in club social play sessions, club

tournaments and coaching sessions. There are also opportunities to play in inter club matches for men, women, and mixed teams and in various age categories. 

The club installed a Smart Access Gate in January 2021 that enables access to the courts via PIN numbers issued when doing the online court booking. This has eliminated the need to collect keys for the court from the leisure centre and has extended the hours the courts can be used as the system now also automatically switches on the floodlights for court bookings. The cost of installation was entirely funded by grants from the Lawn Tennis Association (LTA), Sport England, Blaby District Council, Everyone Active and Enderby Parish Council. 

The club participates in the LTA Rally initiative to encourage more people to play tennis. The club also does extensive local promotion of the online booking facilities for Pay & Play users and usage of the courts has increased. 

## **Funding** 

About £12,000 of the club’s ~£24,000 income for 2021/22 is derived from membership fees. Other income is from items such as one-off grants (£2.7k COVID small business rate relief support, £2k for disability tennis, and £1.6k for ground maintenance), pay and play fees £2.8k, match fees £0.7k, floodlight fees £1.8k, etc. A full set of the club’s accounts is provided below. 

## **Achievements** 

A list of achievements is available in the last section of this report. These include running our first She Rallies event for women and girls, providing disability tennis sessions, renewing the lease for 35 years, providing free to use tennis rackets and balls for people who want to try tennis, and maintaining our LTA registered venue status. 

## **Looking Forward** 

Options for renewing the floodlighting are being developed. The proposed LED lamps will reduce power consumption by almost 50% and will reduce maintenance costs. The current metal halide lamps are obsolete and spare parts are becoming more expensive and difficult to source. The current lamps will need a major service shortly and it is considered that it will be more cost effective to install new LED lamps. 

The disability tennis initiative will be further developed using the experience gained to date. ELTC is working with Bright Ideas to identify potential SEND users who could utilise the free of charge session on a Thursday which will be run by a coach. 

The installation of a defibrillator cabinet to make the ELTC defibrillator available to pay and play users and the public is being investigated. The defibrillator is registered with The Circuit and will be accessible for the NHS 999 service. 

ELTC will work with Tennis For Free (TFF) to encourage more people to play tennis by providing regular free coach led tennis sessions at weekends over a ten week period. This is being targeted to be introduced in 2023.

## **Accounts review for year ending 31 August 2022** 

The accounts are prepared on a receipts and payments basis. 2021/22 had a loss of £707 after taking account of £10,773 being transferred to the Sinking Fund. 

**Income £24,272** – The main income items were: - 

Membership income of £11,986 was up on last year as 2020/21 was impacted by COVID. 

Pay & Play fees of £2,786 were up by 32% on the previous year, mainly because the new gate system was not in operation due to COVID for the whole of the previous year. The average Pay & Play fees over the three years before the introduction of the new gate system was just under £600 a year. The introduction of the online booking and the Smart Access Gate has increased pay and play use by over 450% compared to previous years. 

Floodlight income of £1,839 also showed a significant increase on previous years. The new smart gate system automatically switches on the floodlights at designated times and the charge is collected when the booking is made. This automation means the public can use all the courts all year round from 8am to 10 pm, something which we could not do before. 

A grant of £2,667 was received from the Small Business Rate Relief Scheme for COVID support. We also received other one-off income including disability tennis grants of £1,950 from Sports England, grounds maintenance grant of £1,461 from Blaby District Council, and donations/gift aid of £182. 

As a charity we benefit from gift aid on all eligible donations which increases the value of the donation by 25%. 

**Expenses £14,206** – The main expenses were 

- Grounds maintenance of £2,652, which mainly related to the installation of artificial grass on the slope behind Court1. Blaby District Council provided a grant of £1,461 and the ELTC funded the balance. 

- Court maintenance power sweeps £1,845 - There were four sweeps in the year, their total cost was £1,320, a cost of £330 per sweep. The remaining £525 is for three new nets at a cost of £409, sand for court dressing costing £79 and £13 other items. 

- Electricity cost of £1,277. 

- Rent of £1,110 is higher than the £750 budget as the lease was formally renewed in Dec 2021 but the lease start date is April 2020. A payment of £360 was made to reflect the new rate annual rent of £750 compared to the old annual rent of £510. 

- Lease renewal fees of £1,082 are a one-off cost for ELTC legal fees for the new 35-year lease. The lease start date is 1 April 2020. 

- Floodlight maintenance cost £888 - £563 was spent on a installing a new floodlight bulb and a capacitor. £325 was spent on investigating and resolving floodlight failures. 

- Tennis Balls £850 – the club purchases the balls for use at club social sessions and club matches. 

- LTA Fees of £739 are back to the normal charge after last year’s lower level due to COVID. £360 is for LTA Registered Venue fees which provides

public liability insurance and gives access to the ClubSpark online booking system and the LTA support and advice. £379 is for match fees for the summer and winter leagues. 

- Smart Gate Fee £722 – this is an annual charge for the maintenance and operation of the Smart Access Gate. 

- Insurance of £634 covers the property of ELTC. The insurance covers the clubhouse, the tennis courts, the chain link fences, and the floodlights. (Note – ELTC obtains public and employer liability insurance via the LTA Venue Registration process.) 

- Payment Processor Fees £517 – the online booking system uses Stripe, and the online membership system uses Stripe and GoCardless to process transactions. 

## **ELTC Reserves and Sinking Fund** 

The ELTC Reserves represent funds available to cover emergency expenditure and to enable ELTC to continue to operate for up to two years if ELTC income streams were severely disrupted. 

The sinking fund is money that ELTC has set aside to maintain the facilities to a high standard; this covers the tennis courts, fencing and floodlights. When the time comes to replace these the money from the sinking fund will be used to pay for the new tennis courts etc. If there is any shortfall in the sinking fund ability to pay for the refurbishment, it will need to be made up from other sources.

ELTC Achievements<br>Lease renewal 2022 35-year lease agreed with King George V<br>Playing Fields Enderby charity. Signed lease<br>documents submitted to the Land Registry in<br>Jan 2022. Lease start date is 1 April 2020. The<br>lease negotiations took a number of years due<br>to the charitable status of the KGVPF which<br>meant the Charity Commission had to be<br>consulted.<br>Disability Tennis / Social  In 2021 worked with Blaby District Council<br>Prescribing 2021, 2022 Social Prescribing Team to develop social<br>prescribing to improve wellbeing, both<br>physically and mentally. In 2022 transitioned to<br>disability tennis for adults with learning<br>difficulties and work with Enderby Adult<br>Education Centre.<br>Refugee support 2022 ELTC is providing free membership to refugees.<br>Two Ukrainian refugee families have joined to<br>date.<br>She Rallies 2022 To encourage more women and girls to try<br>tennis ELTC organised a free She Rallies event<br>in April 2022. The initiative was developed by<br>Judy Murray with the Lawn Tennis Association<br>and involved members attending specialist LTA<br>training sessions. Almost 30 women and girls<br>attended.<br>Free racket and tennis ball  To encourage more people to try tennis ELTC<br>loan 2022 introduced free racket and tennis ball loan. The<br>aim is to enable people who may not be able<br>to afford rackets to get the physical and<br>mental health of playing tennis.<br>Danemill Primary School  The free tennis coaching sessions for Danemill<br>Tennis Classes - 2017  Primary School have been running for many<br>onwards years and the children really enjoy the<br>sessions. The sessions are run over a ten-week<br>period each summer term.<br>Smart Access Gate Project -  Smart Access Gate installed in January 2021.<br>2021 Increases the court time available to Pay &<br>Play users by 4,000 hours a year due to<br>automation of floodlights and extended<br>booking slots in the evenings. ELTC Achievements<br>Online court booking and  New system for booking online introduced for<br>membership system - 2018 & members in 2018 and for Pay & Play in 2020.<br>2020, 2021 Now easy to check court availability and book.<br>In 2021 introduced online membership process<br>which makes it easier for people to join the<br>club as it includes ability to spread payments.<br>COVID-19 – 2020 & 2021 Implemented Lawn Tennis Association (LTA)<br>COVID guidance, undertaking risk<br>assessments, implementing required actions<br>and mitigations, and developed event delivery<br>plans. This has been a continuous exercise and<br>a lot of work has been done by trustees and<br>club members to develop a COVID secure<br>environment.<br>LTA Rally - 2020  In July 2020 we became the first club in<br>Leicester to participate in the LTA Rally<br>initiative to expand the playing of tennis<br>through pay & play.<br>Supporting Tennis Coaches –  In June and July 2020, we supported local<br>2020  tennis coaches unable to earn a living due to<br>the COVID closure of their normal venues by<br>giving access to court time.<br>Club teams and tournaments A great deal of effort goes into entering club<br>teams into the Leicestershire leagues.<br>Everyone from the Fixtures Secretary to the<br>Selectors, the team captains and the players<br>all contribute. The club tournaments and<br>COVID social tennis also take a great deal of<br>organising and are much appreciated.<br>LTA Venue Registration -  Achieved all the Lawn Tennis Association (LTA)<br>2018 onwards safeguarding standards required for LTA Venue<br>registration. This means the club benefits from<br>LTA public and employer liability insurance and<br>can use the ClubSpark membership and court<br>booking systems.<br>Charitable status - 2019 We became a charity on 9 July 2019 after<br>much hard work by the committee and the<br>excellent support of Voluntary Action<br>Leicestershire. ELTC Achievements<br>This means the club can benefit from gift aid<br>on donations by taxpayers.<br>Court Rejuvenation - 2018 All three courts rejuvenated, and poor<br>drainage problem fully resolved. Cost of<br>£10,000 was paid in part by grant of £3,000<br>from Blaby District Council.<br>Clubhouse and grounds –  Artificial grass installed at the back of Court 1<br>2018, 2019, 2022 in 2022. This will enable people to watch<br>matches and makes the grounds look much<br>smarter and more welcoming. Blaby District<br>Council have provided grant aid for 50% of the<br>cost.<br>New electric heaters were installed in the<br>winter 2018, and roof insulation was installed<br>during the summer of 2019. Blaby District<br>Council have provided grant aid for 50% of the<br>cost.<br>New benches installed; clubhouse door<br>repainted<br>Flowerpots replaced and wonderful new<br>displays created.<br>Flower beds beautifully maintained<br>Google Drive All Club documents/Policies/Procedures are on<br>saved securely.<br>This enables easy updates with more<br>accountability and traceability.<br>Love Blaby Lottery As of August 2022, the club is receiving ~<br>£300 a year from sale of £1 weekly lottery<br>tickets and has earned £1,385 since 2018.<br>£375 has been won by ELTC lottery supporters.<br>You can help the club and win up to £25,000<br>You can enter by going to our website<br>enderbylawntennisclub.co.uk and clicking on<br>“Be A Winner” and this will take you to the<br>ELTC page for the Blaby Lottery.<br>Gift Aid We have successfully applied to HMRC to be<br>recognised as a charity.
