The Mee@ng was held at McErlane Square on Thursday 28th November at 14:30.

1. Chairman’s Remarks

Mr Geoff Dunkley (GD) opened the mee@ng by welcoming everybody, thanking them for coming.

2. Roll Call

4. Minutes of the last meeNng

The minutes of the last meeting had been posted in the clubhouse from November 2023. Additionally the minutes can be found on the website www.pelawcbc.com

5. MaPers Arising

Mr Dunkley ( GD ) asked if there were any comments regarding the previous minutes.

GD discussed the issue relating to a Ladies Competition and a Ladies Team. The Lady members have clearly indicated that they do not want either. GD proposed that the matter should now be dropped unless the ladies themselves requested a change at a future date. The motion was seconded by Mr J. Sutherland and carried unanimously.

As there were no other issues raised GD proposed that the minutes were accepted as read. Mr Noble ( EN ) seconded the motion, which was carried unanimously.

6. Vets Report

Mr J. Sutherland ( JS ) gave the report for Mr D. McCaffery, Veteran’s Secretary, in his absence.

JS reported that the Tuesday league was running well with sufficient members playing. However there were concerns with the Thursday league. Mr McCaffery had had great difficulty with team numbers during the 2024 season, having to bring in players who had not ini@ally wanted to play on this day.

JS asked whether the club members wanted to withdraw from the Thursday league. Ader discussion amongst the members, it was agreed to keep a team in on Thursday and more members agreed to play on this date in the 2025 season.

7. Secretary’s Report

JS began by saying that he had become aware that one of the members had been ill and hospitalised for about 12 days. He said that as a ‘Community’ club we do so much for other people with ac@vi@es we run but fail with our own members. We must keep an eye out for each other, phoning occasionally and take posi@ve steps to keep in touch when we know someone is unwell or in need of a chat. Informa@on, providing the person in ques@on prefers privacy, can be shared and members can then keep in contact and give the necessary support.

JS said that the two teams in the Cowan League should be of equal strength, no elite teams.Following discussion this view was agreed to by those present.

JS suggested a team name change from Pelaw Pirates to Pelaw Saints. GD then said perhaps we should change Pelaw Warriors to Pelaw Angels. Alison McMeiken said why not Pelaw Saints and Pelaw Sinners. Norman Fletcher seconded this proposal which was accepted unanimously.

JS gave a summary of the Northumberland and Durham ( N&D ) AGM

JS finished by asking the members if they preferred the fixture list to be sent electronically or members being given a paper handout.

By general consent it was agreed to con@nue to hand out sheets. However JS made it clear that it was for the members to use this informa@on to turn up when scheduled and not resort to ringing up and asking… as has been the case.

8. Chairman’s Report

GD welcomed the fact that we had three new members, one who had been able to attend this afternoon.

GD informed the membership that our fees do not cover the cost of running the club. We raise the income needed by applying for grants and other funds to cover the costs.

One such grant from the government has allowed us to install wall heaters, loft and cavity wall insulation.

GD said that it was not proposed to increase the membership fee for 2025.

Tai Chi was a staple item which would not happen without Mr Eric Noble Turing up every Friday to run this event. GD thanked Mr Noble for this

Throughout 2023/4 we have run a ‘warm and welcome space’ every Frida afternoon, which is now attended by a regular group of about 12 people. Gateshead Council has provided funding for this until March 2025, however this activity will continue as a staple item.

In 2024 for the third consecutive year we coached the children from St Albans and Bill Quay, and hosted monthly sessions for the elderly and inform. We will be doing the same in 2025.

This year we are working with Pride Radio to provide an exciting IT course for the year 5 children of St Albans and Bill Quay schools. The children will visit a radio and film studio, including a green room. They will learn how to make and edit short films. These will be uploaded onto an online account for Pelaw CBC. This is starting on the Wednesday 4th November and will run though January 2025.

In 2025 we will host the two open competitions; we have arranged another ‘picnic in the park with Felling Brass Band’, and we will again coach the children.

The Pride Tournament proved so popular this year that we have been asked to host it again. GD said that, whilst it was a huge success, the number of bowlers who came

and help were barely enough and we would need more in 2025. We received £2245 in 2024 for running this event.

GD then said that the bottom line is that everything that we do requires that our bowlers volunteer and help. A small number have always done this, but it is the greater number that we need to come and help. Without this we cannot open our facility for the community and continue to fund our activities.

GD informed the membership that we had received funding from MOLEKULA and the METRO CENTRE. These funds were for a new shirt and a waterproof jacket. The design of the shirt was previously agreed and would be sublimated. The jackets would have the logos and club badge embroidered.

Members were informed that the cost would be met by the sponsors funds, but should the cost exceed this then any extra would be split equally between the members. If members required more than one shirt then the extra would be paid for by the member.

Finally members would be expected to wear their shirts and/or jackets for all league games, competitions and events.

GD then apprised the members of an unfortunate event for which he took full responsibility.

A contractor had been employed to renew the shutters for the bowling club, for which we had received funding from the National Lottery. The contractor had previously carried out work for the Chairman and one other bowler, renewing their garage doors and had carried out the work to a high standard. There was, therefore, an expectation that we would also have the work carried out to a high standard.

The contractor attended and quoted, which was accepted by the Trustees. He asked that a deposit be paid to purchase the shutters prior to carrying out the work.

On the day that the work was scheduled to be completed, the contractor contacted the Chairman to advise that he would be unable to carry out the work as his partner had gone into labour and that the baby was 5 weeks premature. He then said that the baby had serious health issues and he would be unable to carry out the work for some time. The information was given to the Trustee and it was agreed to give the contractor time.

It became apparent that contractor had scammed Pelaw Community Bowling Club and defrauded us of the deposit, which was a considerable amount.

GD advised that the had contacted Trading Standards and the Police as well as Action Fraud. In addition he had contacted the bank. All parties had been given all the information necessary for an investigation to be made.

GD then advised that Santander Bank had concluded their investigation and agreed to refund all monies paid to the contractor.

GD finished by informing the members that two companies had quoted for the work and a third company would visit soon. It was expected the work would be carried out in February.

9. Tai Chi Organiser

EN said that income from Tai Chi had fallen this year. This due to less sessions on offer. The instructor had aEended a number of course in the year and addi@onally had suffered injury in a cycling accident.

Income this year was in the region of £1000. AEendance during the winter was necessarily less due to the weather, but it was noted that the aEendees preferred to be on the green, which they cannot do once the season is at an end and the winter maintenance program completed.

10. Mr T Westrop

Mr Westrop had asked the secretary to address the mee@ng.

GD replied by saying that Pelaw CBC have a different outlook. We understand that their are teams that are solely focused on winning, but we would rather everyone enjoyed an opportunity to play, learn and enjoy both the game and the social aspect that it provides. If a person joins our club then they should be given that opportunity. Yes, we like to win, but winning is not everything.

11. ElecNon of Trustees

In keeping with our CIO, three trustees are required to step down each year, but can be re-elected should the membership agree.

Mr Eric Noble, Mr John Sutherland and Mr Maureen Morton opted to offer themselves for re-elec@on, and duly stepped down.

GD asked the membership if anyone wanted to propose themselves for a posi@on as Trustee. No members offered to take on these roles. GD proposed that Mr Eric Noble, Mr John Sutherland and Mrs Maureen Morton be re-elected . By show of hands the mo@on was carried unanimously.

12. Any Other Competent Business

Mr Alan McClelland (AM ) asked whether the plan was to con@nue to try and reconstruct, improve the building which is not big enough for what we provide.

GD replied that before we can seek the funds necessary to either rebuild or extend, it was necessary to fund a ‘feasibility study’. The cost for this was circa £20,000. Three funding bids had been wriEen, but to date we had not been successful. However this was something we con@nue to strive to achieve and in the mean@me would endeavour to improve the building as best we could.

With no further business, GD called the meeting to a close at 16:00.

I report to the trustees on my examination of the accounts of the above charity (“the Trust”) for the year ended 02/11/2024

Responsibilities and As the charity's trustees, you are responsible for the preparation of the basis of report accounts in accordance with the requirements of the Charities Act 2011 (“the Act”).

I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.
