**Trustees Meeting. March 2020 – March 2021** 

## **10/03/2020** 

## **Zoom** 

**Present** : Hywel Meredydd Davies. (Chariman), Einion Williams, Eirwyn Vaughan, Jennifer Jones (Secretary). 

1. It was decided to ask William Bromley for a copy of the Insurance Policy as part of the process to update all Policies. 

2. Huw Thomas is willing to assess the situation with Hywel with regards to Health and safety. 

3. Einion is going to contact Alwena with regards to looking into co-ordinating the work involved in reclaiming tax on donations to the church 

4. It was decided to ask William for the church accounts for the financial year 2019-2020 so that Einion can transfer them electronically to the Charities Commission before the end of February 2021. 

5. It was decided that we need to formulate a contract between the church and those renting rooms in Cildwrn, and that we need to show this to the Baptist Board. 

6. The trustees discussed how to celebrate the Churchs’ 40[th] birthday. It was agreed that holding a praise and thanksgiving service and some sort of party could be possible. It was decided to put this before the next Church Members meeting. 

7. It was discussed whether the church should give Iestyn and his family a financial contribution before they leave us for Machynlleth. It was decided to give speakers a financial contribution when they visit the church. 

8. It was decided to give Lydia Adams £150 and to report this back to the next Church Members meeting.

**Present** : Hywel Meredydd Davies. (Chariman), Einion Williams, Eirwyn Vaughan, Apologies: Jennifer Jones (Secretary). 

1. Tax rebate:  the next step is for Einion and Hywel to meet to discuss this. 

2. Risk assessment within Capel Cildwrn building:   Huw Thomas has agreed to do the assessment. 

3. Sunday Services and the Prayer Meeting. Due to Coronavirus no further meetings will be held in the Chapel Building. 



4. It was decided to use the app  ZOOM  for the Prayer Meeting to ensure that everyone who is able to and who wishes to can meet to pray . For now, only morning services will be availabe over Teledu Cildwrn on Facebook. 

5. Cildwrn Family:  It was agreed that Einion, Eirwyn and Hywel will email, text or phone 5 persons/families each to ensure that everyone has the support they need during this time. 

6. Easter books for the Primary Schools:  £260 has been collecte. It was decided to freeze the collection for now, and use it in 2021. 

7. Sunday Collection:  As we no longer meet on a Sunday the congregation will not be able to donate regulary. It was decided that Einion wil email everyone explaining how to contribute.

1. Rosie Hopkins, the solicitor, has informed us that we are now able to transfer the old charity to the new charity and therefor agree on a new name. 

2. It was decided to accept the new charity name at a Church Members meeting Thursday July 23[rd] .It was noted that William will need to prepare an up-to-date financial report. 

3. It was decided to investigate the cost of a new camera and lightning for the chapel, to improve the quality of the Television transmission. 

4. It was agreed to update the sign outside the Chapel. Teledu Cildwrn instead of Tear Fund. 

5. It was decided to discuss having one Sunday Service, morning only, from now on, and to put this on the next Church Members Meeting agenda. 

6. It was decided to encourage those who contribute regularly to do this Stewardship. 

7. It was decided that Jen will be resposible for thanking all who donate to the church. 

8. It was decided to discuss the Evangelising Course and the Bible Study in the next Church Memebers Meeting.

1. Re-opening the Church. Carys Davies joined. Everyone had a copy of the guidance issued by the Bapstist and Presbyterians regaring reopening churches. Following these strict guidelines, Cildwrn would only be able to use 8 pews. We would have to clean thoroughly before and after each service amd regulate the amount of people attending. 

2. It was decided not to re-open for the time being and to review the situation monthly. 

3. It was decided that November 1[st] 2020 would be the date for 

   - transfering everything to the new charity.  Einion is going to consult with Rosie Hopkins for advice process. 

4. Teledu Cildwrn Costs. It was decided to pay Hywel for costs incurred while setting upr Teledu Cildwrn. These include subscriptions and the cost of what a PC computer would have been

## **1.Registring new Charity** 

Hywel has now registered the Chapel with the new charity. The treasurer must now prepare the accounts dating back to November 1st 2020 to be passed on to the Commission according to the guidelines given to registering new charities for the first time. 

## **2.Minutes of Trustees meeting   29/11/2020** Passed as being correct. 

## **3. Minutes of Church meeting 19/03/2021.** 

## **Matters arising.** 

- It was decided to enquire with the Baptists from whom we rent the church building, whether we should formulate a contract to be used between the Chapel and anyone renting rooms in the Church building. 

- It was decided to ask Gobaith Mȏn what their long-term plans were regarding renting a room in the church building. 

## **4.  Assessing the Church Family during this lockdown period.** 

- The trustees continue to be in contact with those members who do not wish or are unable to take part in meeting on Zoom. Many join the weekly prayer meeting on Zoom. It was decided to continue to meet using Zoom for the Wednesday evening prayer meeting, and for an informal coffee and chat following the Sunday morning service. 



- It was decided to discuss the possibility of recording an item beforehand for the morning service, during the next Trustees Meeting.
