Section B Structure, governance and management

Description of the charity’s trusts

Cranleigh and District Lions Club CIO Constitution dated 10[th] June 2019 Type of governing document A Template from Lions Clubs International (Multiple District 105) British (eg. trust deed, constitution) Isles Charitable Incorporated Organisation How the charity is constituted

The Club President, Secretary and Treasurer, elected each AGM for the Trustee selection methods following year, are Ex-Officio Trustees. Other named Trustees are also (eg. appointed by, elected by) elected by the Club Members.

Additional governance issues (Optional information)

You may choose to include additional information, where relevant, about:

Cranleigh and District Lions Club is a local club formed as part of The International Association of Lions Clubs, a voluntary service organisation that helps, supports and guides local clubs to serve their community.

Clubs are chartered as separate entities with their own constitution, but have links to other clubs in their Zone, their District, the Multiple District of the British Isles and to The International Association of Lions Clubs.

Relationships with other Lions Clubs and the Lions Clubs structure, provides opportunities for support, training and the exchange of ideas. Through cooperation, clubs also work together to support national and international charitable projects.

The administration of the Club is wholly financed by the members. Our time organising activities to raise funds and provide community service is given feely and without payment or reward. We pay an annual subscription of £60 that contributes towards the administration of our local Club and the Lions District, Multiple District and International Clubs.

Section C Objectives and activities

The Objects of the Club are such purposes as are exclusively charitable in England & Wales, including in particular:

a) the advancement of citizenship by:

b) promoting the Voluntary Sector for the public benefit by associating with local authorities in a common effort to advance education and provide facilities in the interests of social welfare for recreation or other leisure time occupation to improve the conditions of life of people in local, national and international communities.

c) promoting volunteering.

d) the relief of poverty and the relief of those in need in particular by providing humanitarian aid and disaster relief. e) the advancement of health or the saving of lives by preventing avoidable blindness, assisting disabled people to lead independent lives or helping to prevent or manage health issues. f) promoting for the benefit of the public the conservation protection and improvement of the physical and natural environment; and/or g) promoting community participation in healthy recreation.

Our Lions year 2020/21 has been difficult particularly because we have not been able to run our usual programme of events and activities in the same way as normal.

For example, our usual very popular Classic Car Show normally held in August was cancelled but, in its place, we have run two Classics on the Drive events which were very well received by our local community and raised some much-needed funds.c£7700 Our Lions Cranleigh Bonfire and Fireworks event also had to be cancelled again. Our Christmas activities also had to be modified as Santa could not hand out children’s Christmas gifts and the elves could not collect bucket donations. But we were still able to provide Christmas Gift vouchers rather than Christmas Hampers, to over 100 families and individuals.

Summary of the main activities undertaken for the public benefit in relation to these objects (include within this section the statutory declaration that trustees have had regard to the guidance issued by the Charity Commission on public benefit)

Fortunately, we were able to run the Cranleigh Carnival and Fun Dog Show at the end of June ‘21 pretty much as normal and while it is not designed to raise funds it was such a well-received and successful show that we more than covered its costs.

New initiatives were required for fund raising during the year and the first of these was Lion Elwyn’s Sunflower Site providing kindly donated plants from our local Notcutts Garden Centre plus garden planters, display stands etc. made from pallet timber for personal donations from local residents. This morphed into Lion Howard’s Market Stall which sold handmade Christmas decorations, used toys, books, puzzles, used bikes etc in the run up to Christmas.

There was also an online Quiz and Auction and a Grand Shave all raising funds for our charity work, good causes and Lions projects.

Project Wenceslas ran from October to March attracting donations from locals who received but did not need the Winter Fuel Payment. These donations are used for the relief of fuel poverty or fuel debt.

When planning the activities listed above, the Trustees have considered the guidance on public benefit issued by the Charity Commission and ensured we are carrying out the purposes for which we were set up.

Additional details of objectives and activities (Optional information)

You may choose to include further statements, where relevant, about:

Welfare requests and Bursary disbursements are administered by their respective committees with proposals being brought before the Club and Trustees for approval. Any proposal with a possible conflict of interest for any club member is first reviewed by the Board of Trustees.

The Club takes its responsibility for the civic, cultural, social and moral welfare of the community very actively and donations towards community projects are frequently supported.

The Club had 53 members by the end of the year. In undertaking our work, we also rely on other supporters and the Friends of Cranleigh Lions Club, who all give their time freely and without payment or reward. Without such dedication and support we would not be able to function and achieve as much as we do.

Section D Achievements and erformance p Summary of the main In addition to organising the above events to benefit the local community achievements of the charity we were able to donate some £45000 to good causes from the proceeds during the year of those and other activities and inward donations from local donors during the year. Over £13000 was donated to local individuals or groups through our general Welfare Donations. Bursary 2021 provided grants to 7 local organisations totalling £3852. We provided over 100 Christmas Hamper Vouchers totalling £6605. We made over £7600 of general donations to local groups and organisations. Multiple District Donations to Lions International Disaster and Medical Appeals and good causes totalled £3887. Air Ambulance Kent, Surrey and Sussex received £2500. Project Wenceslas provided £2858 towards local families in fuel poverty. Lions Schools Welfare Funds amounted to £3200. Youth activities and projects received some £1500.

We hold over £10k in one deposit account as a contingency to protect the Club from the risks associated with running a number of outdoor events, whose income may vary from year to year depending, primarily, on the weather conditions on the day of the event.

Details of any funds materially in deficit

Further financial review details (Optional information)

You may choose to include additional information, where relevant about:

Generous individual donations from local residents/businesses including bucket collections, Sponsorship/Advertising at our events and proceeds from events and activities.

The inevitable costs involved with all our community and fund-raising events are carefully considered and managed through our Activities A/c and the surplus/profit transferred to our Charity Account for disbursement.
