## **Report of the trustees for the year ending 31 March 2022** 

The Trustees of The Umoja Tanzania-United Kingdom Diaspora (UTZ-UKD) Charity present their annual report and audited accounts for the year ended 31 March 2022 and confirm they comply with the requirements of the Charities Act 2011, the trust deed and the Charities SORP (FRS 102). It is constituted as charitable organisation (CIO) registered with the Charity Commission on 03 June 2019 under charity number **1183677.** 

## **Our Aims and Objectives** 

Our objectives are set to reflect our charitable aims and the ethos of our charity organisation. It is important to us that we maintain and enhance the success of our charity work. 

Our key objective is to promote social inclusion for the public benefit, in particular but not exclusively among members of the Tanzanian community living in the UK, relieve the needs of such people and assist them to integrate into society, in particular by providing: 

1. Educational workshops and seminars on healthcare, teaching the English and Swahili language. 

2. Financial support through the giving of food, goods and other materials. 

3. Traditional Tanzanian cultural activities such as music, art, dancing and carvings 

## **Review of activities and achievements** 

Our charity carries out a wide range of activities in pursuance of its charitable aims and objectives. The following summarised activities, provide benefit both to those who attend our sessions and events and to those who reach to us by different means such as letters, telephone or emails. 

## **Events** 

We regularly hold events to raise awareness on national issues such as importance of vaccines, breast cancer Awareness, Virus infection awareness like Covid19, Prostate Cancer etc. 

## **Seminars** 

We hold seminars on health and wellbeing which are delivered free to members of the community. These seminars cover a wide health issues that are common in our community or among our community members. We work with statutory and voluntary sectors such as Police and health authorities in delivering these seminars. 

## **Festivals** 

Special community cultural activities, festivals that occur around the year are celebrated to keep in line with the cultural heritage of our members and these happen regularly every year. 



They are open to all members of the community where it promotes integration and understanding among our members with other communities. 

## **Learning and Networking** 

Our charity acts as a bridge between communities, we promote integration by conducting regular community learning visitation and networking in different parts of United Kingdom. Mostly young people are actively involved with this as it includes tuition classes. 

## **Our Finances** 

The principle source of income is from donations, various fund raising activities that can be organised throughout the year. 

## **Investment policy and performance** 

Investment activities are managed in line with the requirements of the Trustee Act 2000. Our cash reserves are held in the bank and deposit accounts. 

## **Our Ethos, strategy and policies** 

Our Trustees are responsible for setting a strategy for achieving the objectives they have set. The focus of our strategy is to promote inclusion for the public benefit. Therefore, most of our activities are open to all in our local communities and free, they are supported by donations and volunteers.

A caring charity organisation serving our local community and society. We seek to benefit the public through the pursuit of our stated aims and objectives. 

Measures are in place to make sure equal opportunities policies are implemented to enable equal access to all irrespective of their faiths, gender, sexuality, ability, age, colour or race.

It is important to us that access to service we offer is not restricted to anyone who is in need, for that reason we have set up a system that will able; 

- Complaints handling 

- Conflicting interests 

- Risk management 

- Safeguarding vulnerable beneficiaries 

- Volunteer management 

## **Use of volunteers** 



Volunteers are an important resource in all of our activities. They are involved in most of our community activities and we have over 10 people who regularly participate and devote their time in implementing our plans and activities. Recruitment of volunteers follows strict guidelines to make sure they are safe (DBS checked) to the people they serve, well trained, supervised and their work recorded. They also receive support from the management in achieving their own goals (work experience, references etc). 

## **Future Plans** 

There is a need to expand our activities due to the increase of people utilising our services. There are new challenges emerging from the changing way of life in education, health and culture. The involvement of different sectors of the community is important in making sure that the developed plans are inclusive and relevant to our service users. 

## **Statement of Trustees’ Responsibilities** 

The charity trustees are responsible for preparing a good quality annual report and financial statements in accordance with applicable law and Accounting Standards (United Kingdom Generally Accepted Accounting Practice). The law requires the charity trustees to prepare financial statements for each year which give a true and fair view of the state of affairs of the charity and of the incoming resources and application of resources of the charity for that period. In preparing the financial statements, the trustees are required to follow the following principles: 

- Prepare financial statements of the charity on the going concern basis unless where it is inappropriate to presume that the charity will continue in business. 

- Select suitable accounting policies and standards and apply them consistently. 

- Observe the methods and principles in the Charities SORP. 

- Make judgements, decisions and estimates that are reasonable and justifiable 

The trustees are responsible for keeping proper and correct accounting records that disclose with reasonable accuracy at any time the financial position of the charity and to enable them to ensure that the financial statements comply with the Charity Regulations. They are also responsible for safeguarding all assets of the charity and taking reasonable steps to prevent and detection of fraud and other irregularities. 

## **Organisational structure** 

The charity trustees are responsible for the general control and management of the charity. 

The trustees give their time freely and receive no remuneration or other financial benefits. The trustees at the moment meet together as a body weekly and are responsible for all decisions taken in relation to running this organisation and the activities provided by the charity. To assist in the running of the day to day activities an organisational structure is in place that appoints lead trustees who are supported by other trustees or members of the community that help oversee different aspects of the charity’s work. There are lead trustees for finance, education, sports, cultural activities, women and children and public relations. 

## **Trustees Recruitment and Appointment** 



Our charity organisation requires breadth and depth of experience to carry out its duties effectively and efficiently. 

Trustees are elected at the Annual General Meeting (AGM). They should be active members of the community and fulfil all criteria set for the post they are applying.  New trustees are inducted and required to familiarise themselves with contents of the trusts constitution and to the policies and procedures adopted by our charity. They are also required to read publications from the Charity Commission to ensure that they are aware of their responsibilities under the Charities Act.
