Trustees Report for AGM 2024

Introduction from the Chair

Welcome to our 5th annual general meeting. When we embarked on setting up the Charity six years ago, we hoped things would develop and we all had a passion for village life and wanted to see even more connections within our small community. I think this is definitely happening and there is more to come. Tea and Toast has now run for over two years and as we embark into a third year, there are new volunteers joining the team and new people enjoying the monthly breakfast and chat in the village hall.

Having the charity in place has enabled us to attract small and larger grants for our community which is a wonderful indictment for those who worked to so hard to set up a charitable organisation to enable this to happen. At least two of the activities over the past year would have been much more difficult to establish. We are now embarking on a fundraising venture to restore the seat around the Coronation tree opposite the village hall. Everyone’s donations to Tea and Toast are being put towards this replacement. I wonder how many bacon butties it will take!

We held our first two AGMs by zoom and gathered together in the village hall for the next two meetings, a wonderful opportunity to meet up! We will be meeting in the hall again this year and hosting a consultation meeting for anyone in the village to attend after the AGM, complete with cake. I do hope you are able to come along and stay for this.

Our membership is now a good stable base for the Charity and this year we have been able to welcome new members. We are delighted that more people have chosen to join the Charity as it increases our ability to support each other in our lovely community. Please do consider joining us. We sent out a short questionnaire to members this year and are delighted to report that there were no areas that members felt we should change. This is particularly important as communication is key to all we do together and at the moment it appears that people, in general are happy with the way we all interact.

I am always so thankful for the time and commitment that those volunteering offer to support the activities and events over the past year from running the craft group to running the village choir.

I look forward to another year of success as we come together to think about what we would like to see happen in our community over the coming year.

Choir Report

This year we have not been meeting as a choir as often as usual. My availability has been compromised by the organising of our daughter's wedding in the summer, and the non availability of the Hall while it was being renovated.

We have also lost some of our voices, people moving away, and others becoming less well.

None the less we have had some good rehearsals, and are very grateful to Philip Hanwell for his playing.

I will be having a discussion with the choir regarding the future of the group in its present form.

Membership secretary report

The Membership has stabilised in the last year; we now have 74 members. This is representative of our village population, and is underlining continuing local support for the charity and its aims.

Cutthorpe Calendar

The Cutthorpe Calendar was produced again this year and has made a healthy contribution to the general funds of the Charity.

There have been a number of comments around the calendar getting better each year which is very nice to hear and down to those of you who make the time and effort to capture the views and then send them in for consideration. It makes it a real pleasure to put the calendar together.

We always have a very good selection of photos to choose from and unfortunately not all of them can go in. Please don’t be disheartened if your contribution isn’t included. We do make every effort to get as many different contributors recognised each year but there are still only 12 months in the year (plus a cover needed).

I repeat my request from last year to continue to send your contributions and not be put off if they are not included. Ideally they should be landscape but portrait can be used but may lose something as they need to be cropped to landscape.

Having regular buyers and preorders really helps to manage numbers. It means that we can be fairly certain of how many calendars we will need and get them printed and posted in one go which keeps the cost down and significantly reduces the risk of ending up with unsold calendars which eat into any surplus we make.

We may still have a few calendars left when this goes to print so if you still want one let me know on the email below.

Environment

The wild flower patch next to the telephone box was unfortunately not as successful this year despite best efforts. Due to the very wet weather in seed setting time of April /May and an

unfortunate burst water pipe, the ground never really got dry all year and only a few flowers managed to survive and show some colour!

In discussion with Anne Harrison as the lead for the village garden group, they have kindly requested to take on the maintenance of the patch for future so fingers crossed it is not as wet next year.

Treasurer’s report

Cutthorpe Matters Financial Report

General spend for the year covering the newsletter, web site, seeds for wildflowers, upkeep of the planters and insurance for the charity has been incurred as expected.

This has been funded by sales of the calendar (comments elsewhere in the report), surplus on another very successful Burns Night run earlier in the year and some general donations.

Of the ring--fenced funding there has been some activity this year now that COVID has receded into the background a bit more.

Tea and Toast has continued to be well attended and generates a small surplus each month. The craft club and choir have been more active and there has also been a bit of spend from the kids funds for a couple of events that have taken place.

There has been no activity in funds held for the festival but hopefully this will hopefully kick off again next year.
