## **Trustees Report for AGM 2021** 

## **Introduction from the Chair** 

Welcome to our 2[nd] annual general meeting. Things are still different and may well be for a time to come. Despite this, I am struck with how much the village charity and all of its members and leaders have achieved throughout this time. I think the resilience of our community is impressive and hope that after reading the reports from each area of activity, you will agree. 

We held our first AGM by zoom and will be gathering virtually again for this meeting. We also held a consultation meeting for anyone in the village to attend after the AGM. I do hope you are able to stay for this again. The creativity and (fun packed) hard work that has gone on over the past year is truly impressive. It has brought a number of the ideas from villagers into reality. 

Our membership has doubled over the past year and we have every expectation that we will double again over the coming year. The more people who become members, the more voices are heard, the greater our ability to make Cutthorpe into a stronger community. 

I look forward to another year of success as we come together to think about what we would like to see happen in our lovely community over the coming year.

## **Children’s Activities** 

Preparations are well underway for the Halloween event 2021, organised by Sarah Bell. Sarah has had an incredible amount of brilliant prizes donated and ticket sales are doing well (my main job is raffle ticket sales!). Thanks to the Men’s Shed and Craft group for supporting making some of the more involved games. 

A bouncy castle has been booked, there will be a few smaller games and activities including face painting and crafts, a cake sale plus costume and pumpkin competitions. As all the activities are being organised by ourselves, rather than inviting in third parties, it is hoped we can raise a decent amount of money, with a view to the majority of the funds being able to support the new play park, should that project go ahead. 

An events licence has been granted. 

There is a desire to offer something to children of the village for Christmas 2021. Originally we had planned to use the pub but the landlords have understandably retracted the offer due to them leaving. The reality is the institute isn't really big enough - we were bursting at the seams at the last party! The plan is to see how much profit is left after the Halloween event and take it from there. The date pencilled in is Saturday 11 December. If the institute is free on that date, we may look to simplify the catering and perhaps offer hotdogs from the hatch or similar, to give more running around room. 

The Father Christmas tractor ride through the village was very popular last year and the plan is to repeat this on Sunday 19 December. 



I am planning to pursue the arts club in the new year. Schools are really going all out this year with activities so all the kids calendars look very full.

## **Choir Report** 

The report can be fairly short. in view of the covid emergency. Choirs have been the first groups to stop operating and the last to resume. The worry is that contagion is more risky when shouting or singing. As far as I know this is not proven, but seems a reasonable concern. In the year since our last AGM, we have had two engagements. The first, was an ‘around the village carol sing’ on the 15th December 2020. This attracted almost all the choir members and many enthusiastic villagers. We were, though, following the rules of the time and were in separate small groups, though singing together. It was a most enjoyable event. Mulled wine was provided by Ken and Wendy on behalf of CVC and was much appreciated. The second event was the informal Village Party on 29th August 2021. This was a relatively low key singalong. The Cutthorpe band performed and the choir led a sing song. Again a welcome event in a time which has been sad for many. The choir has just begun to meet again, tentatively, at present, but talk of some sort of Christmas celebration is under way.

## **Cutthorpe Festival** 

COVID has meant that the Festival has not been able to be held for the last 2 years, although as restrictions are now lifted and hopefully remain so longer term, thoughts have now started in respect of planning an event in 2022. 

Whilst many people within the village have commented how much the festival has been missed, many have also commented that the break has given the opportunity to think about future festival formats. Suggestions have ranged from making it a much bigger event (like Barlow) to reducing it to a smaller one day event. We thought therefore that we would seek the views of residents (who the festival is for) as to how they would like to see future festivals organised. Any views would be appreciated via our Facebook page or the link on the village website. 

In addition, the current lead organisers ( Ken and Wendy Lawrie) are unfortunately not in a position to lead for next year’s event, so if you are interested in taking on this role for next year, -please get in touch with Ken on ken.lawrie@btinternet.com for a chat on what’s involved. There is a very willing and able group of volunteers that provide support in both advance planning and over the festival period.

## **Men’s Shed** 

The Men’s Shed group got going over the past year with projects such as assisting with the preparation of the Wild Flower Meadow, repairs to seats, identifying and marking with QR codes prominent features in the village, helping with the Halloween preparations and the creation and planned installation of a War Memorial in the Village near the telephone box/ library. This is due to be unveiled for this year’s Remembrance Day. 



The search for suitable premises for the Men’s Shed has also been pursued throughout the year and we are hopeful of positive developments to report next year.

## **Cutthorpe Calendar** 

Despite concerns around how easy it would be to distribute, the 2021 Calendar went ahead. Once again a good selection of photos was submitted and a reasonable level of sales achieved, but down on the previous year. Unfortunately we were left with about 40 calendars unsold, which did eat into the profits, but a reasonable surplus was still made. 

For 2022 a different approach has been taken. We have asked for pre-orders and only ordered up to that level so as it stands only 50 calendars have been printed which all have homes to go to. It is possible to run off further copies so if there is sufficient demand to make an economical second batch this can easily be arranged. 

We also had a review during the year of other ways to raise general funds as there is a feeling that a combination of the cost of printing and more and more people using digital calendars sales are likely to continue to dwindle. We are looking at things like tea towels, mugs etc that don’t have a finite life so watch this space to see what alternatives will be available for you to make a contribution to the general funds of the charity and have an exciting memento.

## **Environment** 

The work of the environment group has been limited over the last 12 months due to COVID 19 with things like the annual litter pick having to be cancelled. 

However agreement was reached with the Parish Council to plant a wildflower patch on a strip of land near the telephone box in the centre of the village. This was undertaken by The Men’s Shed group preparing the land, a few volunteers sowing the seed and watering regularly. The wildflowers have provided colour and an increase in wildlife activity. It has also improved the look of the area due to regular maintenance by various volunteers. It is hoped the wildflowers with extra seed scattered each year will continue to provide colour and pleasure.

## **Treasurer’s report** 

After all the excitement of last year setting up a new bank account for Cutthorpe Matters it has been significantly quieter this year. 

General activity in the year has been limited to payment of the annual insurance premium that gives us blanket cover for all our activities, profits from the sale of the calendar and printing of the newsletter. 

The cost of a turf cutter and flowers was covered to create the wild flower area next to the phone box which is now really starting to come through. 



A highlight has been the activity kicked off by Sarah and Natalie for the children of the village and the fact that they have managed to get funding of £650 this year for their activities. A range of activities have taken place in year and the money well spent and, as can be seen in Natalie’s report, plenty more underway. Comments that kids should extend through to those in their 60’s seems to have fallen on deaf ears at the moment. 

Ken has reported on the festival. We did have a small gathering at the end of August where the village band played a few songs more than ably supported by their guitar teacher, Chris, and his accomplished singer, Jen, for which the festival agreed to make a small payment. 

Graham has commented on the Men’s Shed where we have also joined the national body with a small subscription paid for that.
