Aims and Organisation

Lions Clubs International

The Maidstone Lions Club is a local club formed as part of Lions Clubs International voluntary service organisation that helps, supports and guides local clubs to serve their local communities. Clubs are chartered as separate entities with their own constitution but have links to other clubs in their Zone, to their District in the South East of England, the Multiple Districts of the UK and to Lions Clubs International. Linkages with other Lions Clubs and the Lions Clubs structures provides a vehicle for the exchange of ideas and through co-operation the clubs work together to help on national and international charitable projects.

Maidstone Lions Club

Maidstone Lions Club is a voluntary organisation which exists to help the local community and support, as it sees fit, Lions Clubs’ national and international projects. The administration of the Club is wholly financed by its members. All time to organise activities to raise funds and provide community service is given freely by the members and friends of the club, for no payment or reward. This is the Club’s 61[st] year as part of Lions Clubs International.

The objects of each Lions Club are to:

Membership

The Lions Club’s membership at the beginning of the year was 20. At the end of the year the membership was 19.

In undertaking its work the Charity relies on the members of the Maidstone Lions Club. Their time is given freely and without charge and without this support the charity would not be able to function.

Maidstone Lions Club is managed by its members and meets monthly at a “Business Meeting”. The Club elects and appoints annually a number of Officers and Trustees who meet monthly to discuss strategic or important issues. Detailed affairs relating to Fund-raising and decisions on Community Service proposals and donations are considered at regular monthly welfare committee meetings.

Club members pay an annual subscription of £52.00, paid half yearly. These subscriptions and some fund raising social events for members pay for the members’ dues which are paid to support Lions SE District, Lions Multiple Districts and Lions Club International administration and for the administration of the Club. The monies relating to the administration of the club are indicated in the accounts.

CIO Composition

The CIO is managed by the Trustees which include the Club President, Secretary and Treasurer. The Trustees are elected by the members of the Lions Club and are listed in Appendix A. Trustees are encouraged to attend the Lions District 105SE Spring Forum where guidance is given on the role of Trustees. New Trustees are given relevant information as outlined in the constitution.

The Club’s charitable work and donations are administered through the CIO. All financial donations are individually approved by a majority of the members and Trustees, subject to there being a quorum of at least 50% trustees and members; the Chairperson, Lion President, having a casting vote.

Purposes of the CIO

The charitable purposes of the CIO fall into the following general categories:

Finance and Activities

Income

The CIO relies entirely on the Maidstone Lions Club for its income. Members and friends of the Club undertake a variety of fund-raising activities throughout the year.

These funds are only then donated to chosen causes following the guidelines in the Grant Making policy and on the recommendation of the Club’s Welfare Committee and the Lions Club members and approval by the Trustees.

Property

The Maidstone Lions Club owns two private residential properties for the purpose of generating rental income for the Maidstone Lions Club. These properties are: 9 Cudham Close, Vinters Park, Maidstone ME14 5QG

15 Castle Road, Allington, Maidstone ME16 OPR

Both are managed by – Hatch Batten Estates. Mid Kent Shopping Centre, Castle Road, Allington, Maidstone ME16 6PU

Donations made by the CIO

The Trustees approved a number of donations to local organisations and individuals based on recommendations from the Welfare Committee / Club members. A list of the donations approved by the Trustees is enclosed within the accounts.

Welfare Activities

Apart from financial donations the Club organised / supported amongst others: Third World Spectacles Recycling Maidstone Hospital ICU Heart of Kent Hospice Message in a Bottle for Maidstone citizens with hidden medical conditions Maidstone Churches Winter Shelter

Reserves Policy

The CIO looks to maintain a minimum balance in its account of £10,000.00 to cover any urgent needs or requests for financial donations.

Risk Policy

There are no employees but the Charitable Trust does own two properties. The property risks are mitigated by letting the properties through professional agents who hold tenancy deposits, and having appropriate buildings insurances.

The Trustees are covered to the level of £10 million by the Trustees’ indemnity element of the Lions Multiple District Insurance policy. Due diligence in checking the insurance details of any organisation employed at events is essential.

The only other perceived risk is insolvency. This is addressed by the trustees ensuring that grants / donations do not exceed the available funds held by the CIO

The Receipts and Payments accounts of the Maidstone Lions Club for the year ended 30 June 2021 are attached to this report. These have been independently examined and approved.

In order to assist you to fulfil your duties under the Charities Act 2011, we have prepared for your approval the receipts and payments accounts of Maidstone Lions Club Charitable Incorporated Organisation for the year ending 30[th] June 2021, from the charity’s accounting records and from information and explanations you have given us.

As a member firm of the Institute of Chartered Management Accountants (CIMA), we are subject to its ethical and other professional requirements which are detailed in the member’s handbook.

This report is made solely to the charity, as a body, in accordance with the terms of our engagement letter. Our work has been undertaken solely to prepare for your approval the receipts and payments accounts of Maidstone Lions Club Charity Trust Fund and state those matters that we have agreed to state to them, as a body, in this report in accordance with AAF 2/10 as detailed at icaew.com/compilation. To the fullest extent permitted by law, we do not accept or assume responsibility to anyone other than Maidstone Lions Club Charity trust Fund as a body for our work or for this report.

The charity's trustees are responsible for the preparation of the accounts. The charity’s trustees consider that an audit is not required for this year under section 144 of the Charities Act 2011 (the Charities Act) and that an independent examination is needed.

It is my responsibility to:

An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records.
