## **Matters Arising from Previous 2023 AGM**

## **Chairs Report 2023/2024** 

Huge thanks were expressed to the current trustees and members for their help and support over the past year. Our aims and objectives: To advance the education of the pupils of Suttons Primary School by providing and assisting in the position of facilities for education. 

The Friends of Suttons Primary School shall also have the following powers: - a) to foster more extended relationships between the staff, parents and others associated with the School. b) To engage in fundraising activities, providing that in raising funds the trustees shall not undertake any substantial permanent trading activity and shall conform to any statutory regulations. 

## **Processes** 

Sum Up Machines - The PTA invested in 6 machines late 2023. This has helped make transactions much smoother. 

PTA-Events - we initially joined for free, however, the website was extremely clunky for customers to use. Master Management Co. agreed to cover the sign up fee which has made it much easier and has reduced the platform fees too. This is now our preferred way of selling tickets for events etc. 

Bookers - The PTA has a membership (free to charities) to purchase goods for all of our events going forward. 

## **Sponsors** 

A huge thanks to our local businesses who agreed to become our sponsors for 2024. Their investment helps boosts profits in return for a level of brand advertising. 

Nuvision Accountants signed up as our main sponsor for 2024, donating £1,000. They have requested to be our sponsor for 2025. 

Master Management signed up as our secondary sponsor for 2024, donating £800. They also purchased our PTA-Events membership fee and completed much needed works around the school free of charge. 

LG Insurance also signed as our secondary sponsor for 2024, donating £800. 

Yopa - signed up to be our Estate Agent support for 2024. We raised £1,000 for the Summer event but due to insurance issues from their side, we are likely to only raise £300 for Fireworks. 

**Events** 



**Fireworks** - November 2023. This was the first time we hosted a fireworks display at the school. It was a huge success. 

**Christmas Photography Sessions** - December 2023. All slots were booked within 48 hours. The photographs looked amazing. 

**Christmas Fayre** - December 2023. This was received extremely well by families of Suttons School. However, a lot of work went into this and with lack of volunteers we may have to relook at what this might look like for 2024. **Bingo** - January 2024 - Our first adult only event. Hugely successful and was a lot of fun. Great feedback from all who attended. 

**Planetarium** - February 2024 - Both the school and children thoroughly enjoyed this experience and will be part of the 2025 calendar. 

**Mothers Day Sale** - March 2024 - really well organised with a set fee for any chosen gift which made it simpler for children to choose. 

**Easter Bunny** - April 2024 - a last minute fun idea. The Easter Bunny hopped into each classroom dancing / high fiving and leaving a bucket full of treats for the children to take home. 

**Fathers Day Sale** - June 2024 - Lots of great gifts for the children to purchase. It was very successful. We will make sure this runs similar to Mothers Day going forward. 

**Summer Fayre** - June 2024. A huge success with really positive feedback from those that attended. This year the focus was on a Fun and Food Festival and we had over 2,500 people attend. However, this takes 6 months to organise and again with lack of volunteers we need to consider what we can do in 2025. **Ice Cream Treat** - July 2024 - On one of the last days we arranged for an Ice Cream van to go into the school and distribute ice cream to all children and members of staff. This was happily received by all and was a great way to finish the year and thank all students for working so hard. 

## **Tickets** 

This year we wanted to introduce cheaper tickets for families to enjoy events / shows etc. In January we purchased 200 Adventure Island Tickets and sold them at the lowest price across Havering. However, we found these weren’t snapped up as we thought and had to sell these to customers outside of the school to make sure we weren’t at a loss. Therefore, we probably won't offer this again in 2025. 

We purchased a block booking of Cinderella Pantomime tickets for the Queens Theatre. We purchased 100 to gauge demand. These were sold within 24 hours but we didn’t receive any further requests so didn’t purchase more. We may still do this next year and purchase 100 only unless demand is greater. 

## **Treasurer's Report 2023 / 2024** 

We have had the most successful year in the PTA history of raising much needed funds for the school.  The full accounts report is in Appendix A.  To summarise;  Income received through fundraising events and local sponsors has accounted to **£27,054.58** .  Spend, which went on a number of resources for the school such as classroom reading corner upgrades across all 16 classes, new instruments for the music department as well as giving the children educational experiences such as a Planetarium with scientific age specific videos for science week.   The spend equated to **£19,255.72** .  We 



also have a longer term request from the school to raise funds to repair and renew parts of the playgrounds across Early Years, Infant and Juniors in 2025 and therefore not all funds are to be spent immediately.  We have also been asked to support the school with a new outdoor Library facility for the whole school to have access to.  This wont be until 2026 at least, but we need to be considering the level of funds that will be needed for this. 

## **Roles of Members / Trustees / Officials** 

The Chair outlined all roles of the PTA including Chair, Treasurer and Secretary. 

## **Election of Trustees and Officials** 

Lacy Lighterness (Trustee), Sarah Hunter Brown (Treasurer) and Kelly Jack (Trustee) stepped down from their roles. 

All other Trustees were reinstated. We had a further 2 parents step up and become Trustees.

The current Chair, Allison Roberts, was re-elected for another year. 

Mary Boland stepped up as our new Treasurer 

Vicky Thorne became the Secretary. 

## **Events 2024 - 2025** 

Looking ahead, we have been working on a few projects already. 

Fireworks, 8th November, tickets to go on sale Friday 27th September via PTA Events. DJ is booked. Light Up wands bought and delivered. Food stalls and fairground rides to book in. Refreshment stall to be arranged. 

Panto - an external Theatre company is coming into the school on Wednesday 13th November 2024. They will also be back in June 2025 for a Summer show. 

Willy Wonka Sale - we will be selling Luck-a-Liscious chocolate bars with numerous golden tickets for children to win per class. These prizes will be fun and beneficial treats to be redeemed in school time. 

Christmas - Santas Grotto - full details to be decided. 

Christmas Personalised Gifts - this is something we offer every year. Our children can create a design that then gets put onto gifts such as keyrings / mugs / tea towels etc. The teachers will be doing this with the children in class in October. 

Silent Disco - we are looking into arranging discos for year groups to purchase tickets and attend. Details TBC. 

Bingo - Angie is going to look at us potentially doing this again - details tbc. 



Planetarium - this is to be booked in the school calendar for 2025. 

Mothers Day - Teresa and Jai will be managing this for 2025. 

Fathers Day - Teresa and Jai will be managing this for 2025. 

Eco sale - the last sale was extremely popular. With the new PTA shed we are more organised and will look to hold another one soon 

Summer - Allison to organise something but need to decide what that would look like. Without volunteers the event will become smaller. 

## **A.O.B.** 

A date will be arranged for all members of the PTA to come together one evening at The Railway. 

The next PTA meeting will be held at the school - date TBC.
