Saturday 12 July 2025: ANNUAL END OF YEAR SUMMER PARTY

No grants have been made due to lack of applications. We welcome applications from health workers for small grants to cover travel and conference expenses. There is a restricted fund for this purpose.

In planning and carrying out these activities the trustees have had regard to the guidance issued by the Charity Commission on public benefit.

This 151[th] year of the society has seen most of the meetings held at Nuffield Hospital, Clifton and we remain grateful for their support. We have been able to livestream most of the meetings and recordings of most are kept online, accessed through our website.

We are aware that material goes out of date and review recordings at the end of each year to decide if to delete any.

We have expended money this year to transfer the website to a new provider. This should enable a sizeable saving in the future: the costs this year mainly relate to the costs of transfer and of purchasing several years in advance for further savings.

We have restarted the West of England Medical Journal – due to the energy of our editor and trustee Dr Nabil Jarad.

We are very aware of, and grateful for, the help of volunteers in running the society.

Financial review

We continue to work alongside the old Medico-chirurgical society who transfer any subscriptions they receive to our account. All subscribed members of this charity are members of the old charity.

The treasurer’s report has been published separately. It shows that our financial position remains fragile. The subscriptions from both charities cover administration costs. Meal income does not cover meeting room booking costs.

This year we have placed most of the funds of the society in a low interest bearing 35day notice account operated by NatWest who are our bankers.

At the end of the year the charity held about £9000 of which about £1,500 is held for grant making. Overall we made a loss of £1500 despite money from the old Med Chi.

Structure, governance and management

The charity is governed by a constitution that has been approved by the Charity Commissioners and is registered as a Charitable Incorporated Organisation – this is a registered charity that can operate legally as a company without registering as a company with Companies House. With an income under £25,000 the reporting requirements are relatively light.

We are also registered with HMRC for gift aid and as an employer of our part time administrator Ms Purver.

Trustees are automatically members of the governing committee. The committee includes the minimum of President, President Elect (and past President), and Treasurer. The committee seeks and appoints trustees, and welcome approaches from all. No body external to the committee nor person is entitled to appoint a trustee.

We have a close relationship with the old Med Chi.

Plans for future

Under our President Prof Parag Singh we are exploring new sponsorship and using a variety of venues as well as online meetings to boost attendance. We also expect the website changes to be finalised by November.

Report of Hon Treasurer for Bristol Med Chi Society CIO 1181791 Hon Treasurer Peter Carpenter

At present most in-person events occur at the Nuffield who are now starting to charge for this and for food. We have also used the more expensive Engineers House for some meetings where we expect a higher turnout. We are also having a few online meetings to reduce costs and increase our reach.

Most of the money is held in a 35day notice savings account attached to account The accounts for both the old Med Chi and CIO have been scrutinised for accuracy by a person not involved in handling the money.
