## **Structure, governance and management** 

Sevenoaks Music Club is governed according to its constitution as adopted on 27 December 2018.  Sevenoaks Music Club is a Charitable Incorporate Organisation. Trustees are elected by Sevenoaks Music Club members at the Annual General Meeting. 

## **Reserves policy** 

It is Sevenoaks Music Club’s policy to hold some 120% of annual turnover in reserves for contingency purposes, this being based on covering all commitments that could be outstanding at any one time.

## **Objectives** 

As stated in the charity constitution, Sevenoaks Music Club’s objects are: 

_To promote and develop public education and appreciation of chamber music through public performances, talks, competitions, recitals and such other means as the trustees deem appropriate._ 

The giving of public concerts ensures that the benefits are available to the public. The concert ticket prices are such that these are not prohibitively expensive and reductions are available through a subscription scheme, and reduced price tickets and subscriptions are available to students in order to encourage their attendance. 

The programme notes available at each concert go beyond those normally provided at recitals, and are designed to further audiences’ understanding and appreciation of the music being performed. 

The Club is run entirely by volunteers, who undertake all the administrative work associated with engaging and looking after the artists, publicity, and producing concert programmes.

## **Activities** 

Sevenoaks Music Club promotes the appreciation of chamber music primarily by arranging recitals by renowned musicians in the Ship Theatre (Walthamstow School) in Sevenoaks. Admission by ticket is open to anyone, and discounted tickets are available, primarily through a season ticket scheme. Reduced price concert and season tickets are available to students in order to encourage development of an interest in classical music. 

The Club also provides cash prizes and a recital opportunity for two Sevenoaks Young Musician Competition participants each year as an encouragement to young performers. 

## **Achievements and performance** 

Because of the Covid-19 pandemic none of the 2020-21 season’s seven concerts could take place as planned. However, it was possible to put on the final two concerts, given by Emma Halnan and the Eblana Strings Trio, and by the Marmen String Quartet, after the easing of restrictions, the latter concert actually taking place a few days after the end of the Club’s financial year. A number of the other 2020-21 concerts have been incorporated into the 2021-22 programme. 

A consequence of the pandemic was much lower outgoings than normal but also very low income (from the sale of tickets for the two concerts that were put on). In the circumstances the attendance at those two concerts was gratifying, but it is evident that a significant proportion of our regular audience has been lost over the past year, and some rebuilding of our audience will have to take place.

The Club's accounts for the year 2020-21 show a defidt of £2.299 as compared with a
surplus of £2,999 for the precedin8 year of 2019-20.
It will come as no surprise to member5 that. as with the previous Season. the Club's
accounts for 2020-21 reflect the extraordinary circumstances that we have experienced
over the period. However, taking the two seasons. 2019-20 and 2020-21, together the result
would show a surplus. This is largely a consequence of the generosity of members,
donations, including those who declined refunds for the cancellation of the final two of the
201YL20 season's concerts.
In normal times the Club obtains the greater part of its income from members, subscriptions
and donations. In contrast, all of the Club's income for the 2020-21 season came from
Individual tlcket sales for the two concerts held In May and July. ficket pricing was
influenced by the windfall surplus from the previous year and wa5 also reflective of
uncertainty as to how many members might attend in the aftermath of lock downs. In the
event, audience turn-out for each recital was 8ratifyin8.
Members may notice that our year end account has exceptionally been extended to 121
July for the 202(k21 season. This is to account for transattions related to our flnal concert
that took place on 03, July 2021. For the current. 2021-22, season we shall revert to our
normal year end of 30 June.
The Club is fortunate in that its costs are directly related to the number of events held, with
very few fixed overheads. Nevertheless. costs forthe two concerts held durin8 the season
exceeded ticket income, resultin8 in the deficr( reported above.
During the year the Club has instituted a facility to purchase tickets and pay membership by
debit or credit card through our website, as well as the traditional methods of cheque and
cash. This facility appears to have been well-received and, to date, there have been minimal
issues with the system.
For the current season, membership income and donations are looking to be lower than for
2019-20. It is unlikely that this income will cover the costs of artists. fees, hall hire, concert
support, and printing etc. that will be incurred. If individual ticket sales and other sundry
income is insufPicient to make up the difference, it may be necessary to draw on our
reserves to cover the shortfall. This situation will be c105ely monitored as the season
progresses.
