## **EXETER CITY FOOTBALL CLUB MUSEUM TRUST** ## **TRUSTEES REPORT** ## **YEAR ENDED 30 APRIL 2023** ## **Structure, governance and management** The Museum was established as a Charitable Incorporated Organisation by a constitution dated 11 July 2018. The Charity’s registered number is 1180297. ## **Trustees** The Museum is governed by the Trustees who oversee the management of the Charity and decide its strategic direction with regard to its charitable objectives. The number of Trustees shall be not less than three or more than six appointed trustees and one ex officio trustee. Trustees are identified and appointed according to their skills and abilities in relation to the effective direction of the Museum’s activities. ## **Risk management** The Trustees regularly review the major risks to which the Charity is exposed, in particular those related to its operation and finances and are satisfied that systems are in place to mitigate exposure to those risks. ## **Objectives and activities** The objects and principal activities of the Charity are to advance education for the public benefit in the history of Exeter City Football Club by the establishment of a museum and the collection, safeguarding and display of historical items, both tangible and intangible, related to the history of Exeter City Football Club. ## **Public benefit** The Trustees confirm that they have complied with the guidance provided by the Charity Commission with regard to public benefit. All our activities are planned and executed in line with our charitable objectives and access to and use of the Museum’s collections is free to all members of the public. ## **Achievements and performance** After the challenges of the ‘Covid years’ the Museum Trustees were pleased to have an uninterrupted twelve months to further develop the work of the Trust. Thanks to our team of wonderful volunteers the Museum’s core work of sorting, cataloguing, archiving and displaying our collection has had real momentum. We also supplemented this collection through new donations, purchases and loans. Thousands of items were added to our online archive (The Grecian Archive). Scores of inquiries from former players or their families were dealt with. Further deposits of our paper based archives were made to the Devon Heritage Centre. The Museum was open to the public on Wednesdays, during stadium tours on match days and by special arrangement. We were honoured to be visited by the Lord Mayor of Exeter in December 2022. ## **EXETER CITY FOOTBALL CLUB MUSEUM TRUST** ## **TRUSTEES REPORT (continued)** ## **YEAR ENDED 30 APRIL 2023** Trustees continue to liaise with other football club museums and heritage organisations. During this financial year these ranged from Swindon Town to Stockport County and from the Army FA to the Football and War Network. Many representatives of these bodies visited our Museum to discuss our ways of working and to exchange good practice. We have also liaised with other local museums and have joined the new Mid Devon and Exeter Museum Group. We have promoted our work through a number of outlets including social media, local press and media and through club channels. We also offer and have given talks to a number of local organisations. A guided tour of the football related memorials in the local cemetery was provided to the club’s Senior Reds group. Projects started or completed during the year include: - Marking the Museum’s restoration of the grave of Arthur Chadwick, the club’s first professional manager. Wreaths were laid by Exeter’s first team manager Gary Caldwell and a representative of Accrington Stanley FC on 24 March 2023. Chadwick was born near Accrington and played for the club. - Liaising with and supporting Topsham Museum’s major exhibition and publication on legendary goalkeeper Dick Pym (Exeter City, Bolton Wanderers and England). The exhibition opened on 29 March 2023 and an official launch event took place on 6 April. This was attended by Gary Caldwell and club and Supporters Trust Chair Nick Hawker. - Building the collection of records and memorabilia relating to the club’s women’s team. A new display has been added to the main cabinet in the Museum Room. Projects under preparation and planned for the next financial year include: - Providing a season long series of articles to the match day programme to celebrate the 60[th] anniversary of the club’s first ever promotion in 1963/4. - Working in partnership with the Devon Heritage Centre on the Dave Fisher Collection. This is a significant football and sporting collection held by the Centre. It was left to them by Dave Fisher, a supporter and collector. - Celebrating the 90[th] anniversary of the club winning its first ever trophy – the Division 3 South Cup in 1934. Trustees have also agreed to work towards Museum accreditation and are liaising with the Devon Museum Development Officer on this. ## **EXETER CITY FOOTBALL CLUB MUSEUM TRUST** ## **TRUSTEES REPORT (continued)** ## **YEAR ENDED 30 APRIL 2023** ## **Financial review** In keeping with the small size of our organisation the accounts have been prepared on a receipts and payments basis. Income in the year of £1409 was greatly reduced from £18102 in 2022. This was anticipated given to the one-off grant of £15000 from the Exeter City AFC Supporters Trust last year. This has enabled us to continue the process of fitting out of the Museum room and cataloguing and archiving the items in our collection. Total expenditure in the year was £4300 (2022 £3852). One specific project was completed in the year largely funded from our general funds with a small contribution from a supporters group. At the end of the year we had £11905 in our general funds all of which are unrestricted as to their future use. The current financial year has continued the general trajectory set in the previous year with an emphasis on expanding, improving and promoting our activities. General information** The Charity is an Incorporated Charitable Organisation and a registered charity in England and Wales. The address of its principal office is St James Park, Stadium Way, Exeter, Devon EX4 6PX ## **2. Accounting policies** ## **Basis of preparation** These financial statements have been prepared on the Receipts and Payments basis as permitted by S.133 of the Charities Act 2011. ## **Going concern** There are no material uncertainties about the Charity's ability to continue. ## **Fund accounting** General unrestricted funds are available for use at the discretion of the Trustees to further any of the Charity's purposes. Restricted funds are those donated for use in a particular area or for a specific purpose. ## **Income recognition** Income from grants and donations is recognised in the financial statements when they are received. Income from donated goods is not recognised unless it can be measured reliably at its fair value. Donated facilities and services are recognised in the financial statements when received to the extent that they can be acurately evaluated. No amounts are included for the contribution of the general volunteers. ## **Resources expended** Expenditure is recognised in the financial statements when it is paid. Expenditure includes irrecoverable VAT and is classified under the heading to which it relates. All costs are allocated to expenditure categories reflecting the use of the resource. Direct costs attributable to a single activity are allocated to that activity. Trustee remuneration and expenses** No Trustee, nor any persons connected with them, have received any remuneration from the Charity during the year (2001 - £Nil) During the year the Charity received £104.77 from P D Farley for the sale of surplus and duplicated artefacts (2022 - £1211.58) and reimbursed P D Farley £388.38 (2022 - £1362.52) for authorised purchases made on its behalf. ## **4. Related party transactions** The Charity occupies under licence a room free of charge at St James Park stadium, the home of Exeter City Football Club and has permission, with prior consent, to mount installations elsewhere in the ground. These arrangements may be terminated by either party at any time subject to reasonable notice. During the year the Charity received donations of £100 (2022 - £350) from other supporters groups associated with the Club.
