**ANNUAL GENERAL MEETING OF THE DUNSTABLE MUSICAL THEATRE COMPANY** HELD ON 20 JULY 2021 AT THE LUBYA HALL MANCHESTER PLACE, DUNSTABLE COMMENCING AT 7:45PM 

## 1.0 Apologies for Absence

## 2.0 Minutes of the previous Annual General Meeting 

The minutes from the last AGM were circulated before the meeting.

## 5.1 Chairman 

Fiona thanked everyone for attending. Having taken over in 2019 we had a very successful year with Cats at the Grove Theatre. Fiona thanked the production team for all the work that went into this show. 

Due to the challenges of COVID and lockdowns, several shows have had to be postponed and we also weren’t able to have an AGM in 2020. 

The committee have now been working towards Jekyll & Hyde being performed at the Little Theatre in Spring 2022 with Me and My Girl at the Grove Theatre in Autumn 2022. We have also secured the licenses for Little Shop of Horrors to be performed at the Rep in 2023. 

## 5.2 Treasurer 

As Pauline hadn’t presented a report for the 2019/20 year, she presented a report covering both years. 

Firstly, looking at the Balance sheet year ending 30[th] June 2020.These accounts have been audited by Higgins & Co.

## Balance Sheet 2019/2020 

The year started off very busy with our Grove show, and we had a very lucrative 8 months before Covid-19 put a halt to all our activities. Total balance at the beginning of the year in our combined accounts was £6,457.61. We made an amazing profit of £14,189.91 – rather a rarity in these days of Grove Shows!   We carried forward several advance payments, including £967.52 for licence plus room hire for Jekyll & Hyde. Also, an advanced payment of £500.00 for the licence of Little Shop of Horrors plus £1,129.00 for license and venue hire for Nunsense.  We also have one advance receipt of £30 show fee for Jekyll & Hyde. 

## General Account 

We had an excellent start to the year with our highly acclaimed production of Cats at the Grove. This was a huge success both on the stage and financially making a large profit of £4,016.43. 

Then came our amazing grant from the Co-op a staggering £9,078.04 which included money raised from local shops on Westfield Road, Lowther Road and Katherine Drive, we were totally blown away by this and never dreamed the figure would be anywhere in the realms of this amount.  We are so grateful to have even been considered and this has secured our future for several years to come.  I would just like to add these stores jointly raised the most money out of all the Co-op’s in the Country! 

We continued the year with our annual Christmas Concert at the Rep which raised a good profit of £661.45.  This is always a highlight in the DMTC calendar which we are very keen to perform once more when conditions are more favourable. 

Payment for Gift Aid claimed on 2018/19 accounts finally came through which was a disappointing £94.49, less than expected due to change in our charity number in October 2018. 

Heather & the Social committee had a good year considering, with an overall profit of £757.52 (£1,142.00 -£384.48)).  We started the year with our everpopular sweepstakes, firstly the Premiership sweepstake (which fortunately managed to come to a conclusion and finish the season) and Strictly Come Dancing.  These raised an overall profit of £230.00. The winners & losers gained prize money totalling £195.00 so not a bad little earner for all (over the 2 accounting years).  We even managed to squeeze in 2 quiz nights, one in September raising £182.49 and the second in February, a joint Quiz Night with the Dunstable Rep which raised a profit of £339.00, the proceeds split between the 2 societies.  And lastly, we cannot forget those all-important raffles which certainly help to raise the funds. Well done team let’s hope we can get back to some more socialising soon – we’ve missed you. 

NODA subscriptions was slightly more than the previous year due to us putting on a large show. Insurance up compared to last year, again due to the Grove show.

Sundries/Misc is compiled of Ticketsource referrals, relating to our referral of Dunstable Rep and their introduction of Tickets source for their ticket sales, plus Amazon Smile Disbursement.  This is another way in which you can assist the society if you nominate Dunstable Musical Theatre Company on Amazon Smile as your nominated charity, it’s not a large sum but every little helps. 

Moving onto 2020/21 As you can imagine there’s not been a lot going on.  We have had to defer shows due to be performed last year, onto 2021/22.  We hopefully will get to perform Jekyll & Hyde on our next attempt (3[rd] time lucky).  We shall start with the with Balance sheet ending 30[th] June 2021. These accounts will shortly be forwarded to Higgins & Co. 

## Balance Sheet 2020/2021 

Total balance at the beginning of the year in our combined accounts was a very healthy £20,400.00.  We actually gained a profit of £418.34 mostly due to payments received late from the previous year. 

As you will see we still have our Nat West bank account open as there are still one or two people paying their membership and patronage on standing order into this account – can I please ask those of you to please set up new standing orders into the Lloyds account (I have the names in anyone is unsure). 

We carried forward again several advance payments from the previous year, including £967.52 for Jekyll & Hyde. £500.00 for Little Shop of Horrors, £1,129.00 for Nunsense plus £2,092.88 for the rights & music hire for Me & My Girl.  We carry forward once more advance receipt of £30 show fee for Jekyll & Hyde, plus £156.00 for Nunsense which was refund on license as we will now be performing one less night. Total balance in our combined accounts at 30[th] June 2021 is £18,881.46 a very healthy place to be. 

## Moving onto General Account 2020/21 

We received gift aid for 2019/20 of £835.77 which included the missing payments from the previous year. Plus a small sum of £81.30 for 2020/21 based on membership & patronage received though standing order which we very much appreciate. 

We did manage to compile a Christmas Concerts with our friends at Dunstable Rep via YouTube from the comfort of our own home.  I have to say these are not the easiest to either record or put together, are they Chris – I believe the word was challenging.  But with that in mind we received £272.61 in donations and several comments of congratulations and warm wishes which were greatly appreciated. 

NODA subscription for all its members this year was set at the lowest level of £72.00. 

We reduced our insurance to the lowest level due to no performances or rehearsals of any kind.  This would have been increased had we been able to put

on any shows / events but sadly that never happened.    Our auditor remains the same at £390.00 

Member’s efforts (Social Committee) only pay out was for the Premiership sweepstake which finally came to a conclusion in July 2020. 

And finally, the Sundries/Misc - Income of £35.48 is all Amazon Smile Disbursements. 

Expenditure was for donations we gave to assist our friends at Dunstable Rep (£200) and the Grove Theatre (£150).  The committee were in total agreement we really had to support the venues in which we hope to perform in, in the future. 

We are all very much looking forward to our first performance of Nunsense later in the year – fingers crossed.

The Committee has decided that they should remain at £30 per annum for both adult and junior members (or £20 if paid by standing order), with a show fee decided by the Committee on a show-by-show basis.
