## **Structure and Governance** 

Jess Grant Celebration is a Charitable Incorporated Organisation (CIO), registered on 23[rd] August 2018. 

## Constitution 

The charity is governed by its CIO Foundation constitution, registered on 23[rd] August 2018 and amended on 17[th] February 2020 to incorporate an additional object to reflect the funding of Ipswich Hospital Music Therapy service. 

## Board of Trustees 

Apart from the initial three Charity Trustees, the selection method for a new Trustee is appointment by the Board of Trustees, and is based on specific skills that will add value to the existing Board. Upon appointment, the Trustee is provided with a copy of the charity’s Constitution, including the conflicts of interest policy. A summary of the principal duties and responsibilities of a trustee is included in the charity’s Constitution document and the Essential Guide to Being a Trustee document is also provided.  As a charity claiming Gift Aid, the Finance Act 2010 requires that trustees, as managers of the charity, pass the fit and proper persons test. Therefore, the HMRC guidance on the test along with a declaration that the trustee has read and understood the guidance is also provided. 

There have been no changes to the Board of Trustees during 2023. The Trustees of Jess Grant Celebration have a broad range of skills that all contribute to the effective running of the charity. There are no plans to appoint any further trustees.

## Accounting period 

Effective from 2020, the charity reports on a calendar year basis. This is continuing to be effective, as funding for Ipswich Music Therapy Service is provided on an annual basis for the calendar year. 

## **Objects** 

1. To relieve the needs of children and young people suffering from terminal or critical illnesses, particularly but not exclusively cancer related illnesses, and their families, by providing grants, items and goods to individuals and organisations, including the provision of musical instruments and music therapy. 

2. To provide the funding to initiate, establish and support a new music therapy service for children, young people and families accessing Ipswich Hospital’s children’s services. 

## Activities 

In undertaking the following activities, the Trustees complied with their duty to pay due regard to the guidance on public benefit issued by the Charity Commission. 

## **Activities undertaken to meet the charity’s objects** 

## Ipswich Hospital Music Therapy service: - 

This service, which provides music therapy one day a week, for children and neo natal patients under the care of Ipswich Hospital, was in its fourth year of being supported by Jess Grant Celebration during this reporting period. This year Jess’ charity provided half of the funding required, £5,250, with the other half being paid by Ipswich Hospital. This was a significant step in the move towards music therapy becoming an integral therapeutic service available to children at Ipswich Hospital. 

Suffolk Music Therapy Services, who provide the music therapy sessions, reported that during the period August 2022 – August 2023 over 250 music therapy sessions were held for 198 children and families at Ipswich Hospital. The day that music therapy is held changed during the summer of 2023, now being on a Tuesday instead of Wednesday. This has meant that the music therapist has been able to access more patients, as Tuesday is a clinic day for many patients with long term and complex conditions. 

In August 2023, the wonderful work being done at Ipswich Hospital was highlighted when ITV Anglia filmed a session resulting from a Pride of Britain nomination for Jess Grant Celebration. This was a fantastic opportunity to shine a spotlight on the power of music therapy and its importance in helping children and their families. The filming featured two year old E, her sister M and her parents. It was obvious from the filming just how much benefit and enjoyment the session was providing for both E and M. E’s parents commented: “When you’re in that moment, you don’t think about what you’ve got to deal with, the everyday fight and struggles of what E needs at the moment. So, the

music helps forget all of that. She loves it. We know that E isn’t always going to be here. So, this is what we’ll remember”. 

Song-writing projects with teenage patients have enabled them to directly express their current situations and experiences. 

Music Therapy sessions have also directly helped patients’ pain levels. One patient who described her pain level as ‘9’ (out of 10) later described it as ‘5’ after her music therapy session. Another young patient had been experiencing a constant high heart rate for several days. After playing her the harp her mum took a photo of the monitor and commented “this is the first time her heart rate has lowered significantly since we’ve been in hospital”. 

Feedback also included this comment from one parent: "My son seemed much more relaxed after his session. He had been unwell and it was the first time he has smiled, let alone danced in around a week! We loved it, Thank you". 

## - Zest Music Days at St. Elizabeth Hospice, Ipswich: 

Zest Music Days provide music therapy sessions one day a month to young people under the care of St. Elizabeth’s hospice.  On the first Friday of every month, young people have the opportunity to engage in fun group sessions in the morning, and to receive one to one music therapy or smaller group sessions in the afternoon. 

Feedback from the staff at Zest included the following comments:- 

"The group music session is an opportunity for the young people to have fun altogether and this can be seen by the smiles on their faces and the way in which they respond and play the instruments to their best ability when it is their turn. We often get members of staff from other departments stating how lovely it is to hear the music on a Friday, so it has a wider reach than the young adults themselves, enhancing the general environment at the hospice". 

"I sat in on a one-to-one session with a young adult who I thought I knew well but I couldn't believe the response that Daisy got from her; she was fully engaged with playing the instruments and although non-verbal she was smiling and fully concentrating during the session". 

"We have a young man who really looks forward to the music sessions. He arrives on a Friday music therapy day with whatever musical instrument he wants to play on that day from a saxophone to a guitar and he likes to sit near Daisy and watch her play the piano". 

Jess Grant Celebration has been funding this invaluable service since it began in 2021, and in November 2023 the Trustees committed to another year of funding for 2024 at a cost of £3,000. 

## Addenbrookes Project: - 

In April 2023, Jo Palmer and I met with Helen Finlinson, Young Adult Care and Transition Lead for Zest at St. Elizabeth Hospice to find out more about a project she is involved in at Addenbrooke’s Hospital. The East of England Oncology Delivery Network is primarily looking at the provision of care for young people with palliative needs across East Anglia. In terms of music therapy, the meeting highlighted the fact that there are future opportunities to help more young people have access to music therapy, as do patients participating in Zest Music Days.

Following on from this meeting, Helen arranged for us to meet with her colleagues at Addenbrooke’s and Clare Rosscornes, Music Therapist on the children’s wards at the hospital. Clare was our daughter Jess’ music therapist and works 2 days a week on the wards, a post that is now completely funded by the NHS. On first setting up Jess Grant Celebration, Kevin and I met with Addenbrooke’s Charitable Trust in May 2019, to establish contacts for the future. At the time it was agreed by the Trustees that the music therapy provision on the children’ wards was very well established and funded, but we would look to be involved in future projects should the need arise. 

When the meeting took place in May 2023, there was no provision for young people to receive music therapy at Addenbrooke’s. Oncology patients between the ages of 14-24 years receive treatment on a separate Teenage Cancer Trust unit. The Youth Support Worker at the meeting had not been aware that music therapy was available at the hospital and thought there was scope to refer patients to Clare at the weekly Mixed Disciplinary Team meetings. 

It was a very positive meeting that resulted in a trial period to see what the uptake was like from the Oncology ward, within Clare’s current availability and hours. It was agreed that if a need could be established for music therapy, then it would be easier to put forward a proposal to extend hours or create a new post. The trial finished at the end of 2023 and the feedback was very positive. Although the uptake was not huge, the patients who did take the opportunity to access some music therapy really enjoyed it and it is something that the ward would support. The staff did not feel an additional post was viable but preferred to refer to the music therapy service as and when required. At the time of writing this report, Clare Rosscornes is looking to put forward a proposal to increase the music therapy hours to cater for teenagers and young adults on the Teenage Cancer Trust ward and other wards, who would benefit from music therapy sessions. 

At this stage, Jess Grant Celebration have expressed an interest in supporting the provision of music therapy for teenagers and young adults at Addenbrooke’s Hospital, by funding the additional hours if the proposal is accepted. The Trustees are agreed on the need for music therapy for this age group and feel this is an exciting project to be involved with in the future. 

## **Fundraising Activities** 

This reporting period has been very successful in terms of fundraising for Jess Grant Celebration. 

Fundraising included organising and running two events this year: Jess’ Celebration Cake Sale in March and a Music Quiz in September, both of which were extremely successful in raising funds. Towards the end of 2022 the Trustees of Jess Grant Celebration also applied to The Jon Gilpin Trust, and were awarded a grant of £2,000 in February 2023 to help fund our charitable objectives. 

As in previous years, supporters raised a significant proportion of the funds contributed to Jess Grant Celebration. In 2023, over £9,350 was raised by supporters of Jess’ charity organising their own events and taking on their own challenges. A breakdown of the main fundraising activities that took place in 2023 can be found in the Financial Review section of this report.

## **Volunteer Contribution** 

As Chair of the Board of Trustees for Jess Grant Celebration, I would like to take this opportunity to thank the Trustees and volunteers who are supporting the charity. 

All the charity activities undertaken on behalf of Jess Grant Celebration have been carried out on a voluntary basis. The charity’s Trustees and volunteers all donate their time and expertise completely free of charge, ensuring there are no salaries or personal overheads to take care of. 

The contribution of the Trustees is greatly appreciated. Each Trustee brings different skills that complement each other effectively. Trustees’ Meetings were held both in person and via online Zoom sessions, as the charity’s Constitution allows. Highlights from the work the Trustees were involved in during 2023 include: -: 

- The Trustees have been instrumental in making decisions about the allocation of funding to Ipswich Hospital Music Therapy Service and Zest Music Days at St. Elizabeth Hospice for the forthcoming year. 

- Helping to organise and run two ‘in person’ events for Jess Grant Celebration: Jess’ Celebration Cake Sale and The Music Quiz. 

- Attending meetings and liaising with Addenbrooke’s Hospital over a potential project to provide music therapy to teenagers and young people receiving care at the hospital. 

- Visit to Ipswich Hospital to take part in a music therapy session as part of ITV’s filming for the Pride of Britain Awards, and to see first-hand the enormous difference music therapy is making. 

A huge thank you to Barry Martin without whose help the Jess Grant Celebration Music Quiz would not have been possible. Barry created the quiz and was quizmaster for this successful fundraising event. We would also like to thank everyone who volunteered at Jess’ Celebration Cake Sale. This event would not have raised such a fantastic total without the many bakers who provided the cakes and the amazing volunteers who helped at the event. Furthermore, all of the raffle prizes at both Jess Grant Celebration events were donated by local companies and supporters, for which we are very grateful. 

The Trustees would like to thank everyone who undertook challenges for Jess Grant Celebration during this period or organised their own fundraising campaigns or events.  Supporters set up their own JustGiving pages or Facebook fundraisers, and promoted the charity to their friends and families, in order to raise their targets. Supporters also held their own events specifically for Jess Grant Celebration, going to great lengths to put on these events and to raise as much money as possible. The breakdown of amounts raised via JustGiving, direct donations etc are detailed in the Financial Review section below. 

The website, logo and branding for Jess Grant Celebration was designed by CHP Design free of charge in the months leading up to the launch of the charity in December 2018. Mark Hall at CHP Design has continued to host the site and make changes to the functionality of the website, when required. Jess Grant Celebration is extremely grateful for this company’s ongoing support. 

Sir Brian May has continued to support Jess Grant Celebration as the charity’s Patron, and we are very grateful for his support.

## **Summary of the main achievements** 

The Trustees of Jess Grant Celebration are delighted with the achievements made in this reporting period. Fundraising for the charity was very successful in 2023. It is clear that awareness of Jess Grant Celebration and what we are trying to achieve is increasing, with a large number of new supporters undertaking fundraising activities for the charity. Going forward, the charity is well placed to be able to continue supporting the funding of music therapy at Ipswich Hospital and St. Elizabeth Hospice, while also looking to support other potential projects such as the one currently being proposed at Addenbrooke’s Hospital. 

The main achievements include: - 

- £13,193 was raised for Jess Grant Celebration in 2023. This sum was raised through a wide range of fundraising events, challenges and donations. 

- Organising and running two successful Jess Grant Celebration events: Jess’ Celebration Cake Sale and the Music Quiz, raising £1,760 and £680 respectively. 

- Fundraising challenges and activities were organised by existing and new supporters who introduced a wide range of new audiences to Jess Grant Celebration, thus raising awareness of the charity and its objectives. 

- The charity allocated £5250 to Ipswich Hospital Children’s ward in January 2023, representing half of the funding for 2023, with Ipswich Hospital sourcing the other half of the year’s funding. 

- £3,000 was allocated to Zest at St. Elizabeth Hospice in December 2023, to fund a year’s worth of Zest Music Days in 2024. 

## Financial Review 

## **Policy on Reserves** 

At the time of writing this report, the annual funding for Ipswich Hospital of £5514 has already been pledged and there is over £12,000 worth of available funds to be allocated. It was agreed by the Trustees that Jess Grant Celebration would look to hold reserves of no less than 12 months’ worth of funding for the Ipswich Hospital Music Therapy service and Zest Music Days project. The annual payment for these services is currently £8514. 

As mentioned, Jess Grant Celebration have expressed an interest in supporting the provision of music therapy for teenagers and young adults at Addenbrooke’s Hospital, by funding the music therapist’s additional hours if the proposal is accepted. It was agreed by the Trustees that the remaining funds in the bank account was not unreasonable to reserve with this project in mind.
