WINSLOW BIG SOCIETY GROUP Minutes of AGM held on 10/11/21
Present : Committee : Vron Corben (Chair), Tracey Reimer (Minutes), Zoe Sutherland (Finance) Diana Slevin, Sue Keane and Jo Turner.
50 other people attended including Town and County Councillors, representatives from other groups and volunteers.
Apologies : Kay Peck, Sarah Morris, Angela Bowe, Chris & Mark Hudson, Lucy Martin, Keith Harvey, Sheila Cadge, Sue Renshell, Sandra Pratt, David Jones, Victor Griffiths and Andy Crossey.
1. Minutes of the last meeting : Approved.
2. Matters arising :

Wheelchair Car – We are going to try and obtain funding for a replacement – more details later.

Sadly Shirley Knight passed away during the year – we will always be truly grateful for what Shirley did for the Big Society
3. Chairman’s Report
Vron read her report. In particular she thanked three people (Liz Mostyn, Angela Bowe and Cathy Tracy) who were leaving the Committee after making very valuable contributions over a number of years but continuing in their roles running specific groups. They were applauded by those present.
Vron talked about the support that has been provided for the Covid vaccination clinics and expressed thanks to all at Norden House for their work on these and there was a round of applause for all the staff there.
Vron talked about the Drop-in Sessions and also clarified what these are – they are held on Monday mornings for the benefit of the young families especially anyone isolated or new to the town.
In response to a question from the floor about the Young Citizen of the Year, Roy Van de Poll from Winslow Town Council confirmed that the pandemic has meant that awards have not been progressed.
4. Treasurer’s Report
Zoe presented the annual accounts which, this year, had been reviewed and approved by Louise Eldred.

A couple of questions were raised:

i. Re car insurance. A person asked if the volunteer drivers in the Car Scheme are insured for this task. The Society makes sure drivers are aware that they need to check this with their own insurers (they sign a confirmation that they have done this) and most find that cover is provided without an extra charge. Where there was a charge the drivers sometimes moved insurer.

ii. Is the Society a registered charity? Yes it is and so we will try and ensure that the registered charity number is shown on all documents moving forward. The number is 1179561.
Vron thanked Zoe for the accounts and her ongoing work as Treasurer.
5. Committee for 2021/2022
As previously detailed by Vron, three people are leaving the Committee this year but the others are happy to remain on. VC explained we need to keep introducing some new blood into the Committee to take it forward.
New members this year are Jo Turner and Tracey Reimer (minutes) and ideally we would like two more people.
6. Any Other Business

i. Hard Of Hearing Group – Diana Slevin asked those present to encourage people with hearing issues to join this group as poor hearing can be very isolating

ii. Afternoon Tea – Christine made a request for donations of any china cups and plates people no longer need.

iii. Vron – Sue shared that Vron has been honoured with the British Empire Medal for her work with the Big Society but sadly did not get her day out at the Palace. Sue felt that the afternoon tea for 6 at The Bell was not quite the same! There was a big round of applause in the room for Vron’s wonderful work.

iv. Norden House – Nicky Freshwater explained that the Surgery has been recognised as one of the most successful surgeries/areas of the country for it’s vaccination clinics. She stressed that this just would not have been possible without all the volunteers manning the queues and car parks and the ladies that co-ordinated the rotas relating to this. She advised they were already 60% of the way through the boosters.

v. Committee – a suggestion was made to try and get the 50% of the town that is aged under 30 more represented on the Committee. We were encouraged to reach out to other organisations to search for younger people.

vi. North Bucks Patient Support Service – thanked the Big Society team for ‘pulling out all the stops’ for their patients.
The meeting ended and everyone then enjoyed delicious home-made cakes and tea and coffee.

Notes

(1) During the last year we have been covering a lot of the Hospital Car Scheme Journeys. This has meant an increase in income, and, due to the generosity of our Car Scheme Drivers who have not been claiming their petrol allowances, we have been left with a larger surplus than normal

(2) Lack of use at the start of the pandemic lead to a deficit on the wheelchair car accts. However the Car is now being used on a regular basis and is being paid for by the DWP Access to work scheme. This has reduced the loss we would have made and if the car had been used in this way for the full year we would have covered our costs.

(3) This is the income and costs of all our projects, the main project during 2020/21 was the Summer Playschemes

(4) In memory Donations following a funeral £277.12 Regular Donation from Grateful member of the Community £150.00

(5) covid-19 related costs were encountered this financial year, however WBSG were given a grant in the previous financial year to cover these costs

(6) This cost relates to the Website Hosting Fee

(7) DWP Access to Work are currently helping a Winslow Resident to get back to work using the Wheelchair Car. The Majority of the amounts outstanding relate to the July Invoice and Driver Expenses which were not paid by the DWP until the beginning of September In addition there were a couple of small invoices for other wheelchair car usage that were not paid until September
