Ruffcrt Willgge Hall Cornmittee were gifted land under a conveyance
dated the 27th September 1968 by the Parish Council. on the
underslanding that a viuage hall would be builL The original building was
constructed for the use of the inhabitants of Rufford and surroundiThJ
neighbourhood. The building has been extendèd creating the premi58S
On Ihe 6th August 2018 a new charity wa5 registered, creaiing the Rufford
Villase Hall Charitable Incorp)rated Organisalion. The new CIO began in
March 2019. The goveming document, 'Rufford Village Hall Constitution.,
has allowed the Tfustees to run the village ttall in accordance with modern
day legislation and r8gulations.
Appo5ntment of Trustees
The Constitution governs the appjintrnent of truslees and the management
of Ihe chaiily.
At every subsequent annual general meeting of the CIO. charty trustees
will retir8 on a three yearly basis starttng fri>rn the latest appointment date.
Should there only be t>ne charity trustee he or she shall retire. If 3ny
trustees were last ap￿inted or reappointed on the sarne day those to rotire
shall (un18ss they otherwise agree amorKJ thernselves) be d8t8rmined by
lot.
Any person who rets'res as 8 charity trustee by rotation or by giving notice
to the CIO is eligible reappointrnenL

Hiring Agreement
Use of Ihe vlllage hall Is subj'ect to a Hiring Agreen*nt; the automated
booking system. Hallmaster, provides this and all documents relating to
the hiring of the building. The hiring agreernoni sets out the condiiions of
hire and identifies the respective responsibilities of each paty to the
agreemeni. This agreement has recenlly bèen reviewed to m8et all
necessary requirernentS.
Licensing
The Hall is licensed under PPLIPRS LTD for the pUrE￿35e of music,
Businesses (ie those taking payment for activilies). require their own
licen￿.

Rlsk Managemant
InsurarKe
village hall is insured with respect to Fxoperty damage (buildings
insurance) by Ecclesiastical Insurance {£1135,828 cover). It is insured with
the same company wilh respect to contents (£59,420) public liability
{£10,000,000) employers, liability (£10,orx),000). Legal expenses are
covered by OAS (250,c￿).
The Management Committee recognises Ihat it is under a 5egal obligation
to wotect the building, rts Users and employees through adequate and
appropriate insurance.
Bulldlng Malntenance Programme
Gas appliance5 and portable ehectrical appliances are tesled by qualif￿j
personnel annually.
The mains electrical installation is checked by a qualified engineer every 5
years.
Fire fighting appliances and emergency lights arè inspected annually
under contract with Ihe suppliw.
Repairs and maintenance is monitored weekly ard the general condilion of
Ihe structure of the building is annually Checked by the caretaker. All item5
are recorded and added lo the maintenance schedule which is moniiored
by the Trustees.

Objectives of the Charlty
The objects of the CIO afe:
The provisK)n and maintenance of a village h811 for the use of the
inhabitants of Rufford and the neighbourho(>J without distinclion of
political. religious or other opinicfis, induding use lor.
a) Meetings, lectures and classes, and
b) Other forms of recreation and leisure-tine occupation, with Ihe object
of improving the corKlitions of life for the inhabitanls,
The Trustees consider these obj'ectives lo be consislent with Charity
Cornmission guidance on providing for the wblic benefit and these
objectives have been pursued in the activi￿S of the charity this year.
Prlnciple Activilies In Pursult of Objectives
The hall is in use most d8ys of the week for a variety of activities Includlng:
Yoga, Wl MeetirKJs, Tai Chi, Marshall Arts, Zumba Class, Music Classes for
babies, Children's Library, Coffee aThJ Chat Aftemoon. Bowllng Club.
monthly Antiques Fair, Artisans Fair and Sewing Group. Also First AKJ
Training available to businesses and the community and Home Schooling.
The hall is available for hire for private fUncti￿S induding chldren's
parlies. wedding receptK)ns. funer81 teas. villag8 social functions and
occasional fundraisiry fairs..

Funding Strategy
It is Ihe stralegy of th6 Trustees to manage the revenue budget on a self
financing basis. The ￿ntrIt)u￿.OThs made by users of the hall are set 10
achieve this.
The Trustee's Report
The Trustees are pleased to report that the hall has provided a variety of
activities throughout the year which meet the needs of the local communty-
We have sadly lost Scftr)ol of Dance. Line Dancing and Ballet Fit but have
been able to attract new dients through our social rnadia exposure. We
now have Zumba Classes, which have proved very SLKcessful and a
Bowling Club which is very popular. regularly having four teams playing.
This equipment is also available use by ot￿r5 f(Y one off events.
Due ta the success of our Warm arKJ Snug sessions we have continued lo
open aur doors one afternoon a week The cDmmunity Tractor Parade was
held again in June and was well atterKled. il is set to become a yearly event
is ever growing. It was also an opportunity to display our Rufford
Through Ihe Years photograph colW"on, a historical record of the villa9e,
which has attracted much interest.
The Grants Sub - Comrnittee has been gathering inlormation and preparing
grant arf)lications for projects idents'ried lo improve the fabric of the
building, examples being:
Toilet refurbishins
Renovation of the original wooden sprurKJ dance knr
Replacement of window stage curtaining
Upgrading and repair of the outside lighting

Smoke alarm system
Upjrade of the CCTV equiprnenl and replacement of all outside cameras
Developmenl of an oulside coutyard area
Suitable grants have been idenlified, some have been successful and
some have not, others are presentky being considered. One of our main
projects is the refurbishrnent of the toilets, hopefully our application will be
successful as this wtll be a major improvement to the premises. The sub-
committee is continually wrskirKJ on finding awopriate grants available to
us and preparing applicatior￿.
In order to provide a rnore efficient envronmerrt for the admintslration of the
hall a refurbishrnent of the office has teen carried out.
UnfOrtUT￿telY there was a m8j(x leak in the roof of the n*y created snug
which required costly repair5. the roam is almost ready for use again.
The Trustees and Clean and Care Team work t(yJether lo rnaintain Ihe hall
and improve the facilities as a priority to ff￿et the needs of the comrnunity
and provlde a pleasant envIronn￿nt for all
