*Please note it is important that all members attend the meeting so Mashura can take place. A quorum of 25% of members as stated in the constitution is required. If the quorum is not present within 30 minutes of the starting specified in the notice of the meeting, the chair may delay the meeting by up to 30 minutes. If the quorum is still not present then the chair has discretion to reconvene the meeting if at least 45 members are present otherwise the meeting must be adjourned. The meeting shall then be reconvened within 7 days of the original meeting.

Introduction by SA thanking those giving up time. We are chosen by the Almighty to be here.
Minutes of last AGM / Matters - Proposed by Mohammad Chacha Laher and seconded by Ahmed Aswat as a true copy of last years AGM.
Accounts - presented by treasurer (Zaid Umarji) who confirmed they have been audited by Chopdats. Query raised why we have lots of accounts - treasurer confirmed that most have a use and he leaves some open as it's onerous to open new accounts nowadays.
Wages cost query? £24k for 2 imams or 3? Confirmed 2 as 3rd imam has been appointed post accounting period - will cost extra £5k per year. Chair confirmed that all imams have now all signed up to contracts to try and cover all eventualities insha'Allah. Costs may increase - we will do our best to ensure money is spent and accounted for.
What is gift aid claimed on? Mainly from member fee and lillah donations. Can madrassah fees be included? No - due to legal technicality. We should try and maximise income from this area. We claimed back more the year before? Advised due to back claiming for previous years.
Energy bills possibly going up? Advised that we’re currently on a fixed contract and we’re trying to minimise usage
- have installed NEST and new boilers which should be more energy efficient.

Madrassah Report
Query raised on space? Committee confirmed that we may need to go to the sunnat area but will look into options. Query on development of building / madrassah. Chair advised that we keep looking into different options. Alhamdulillah, in a decent place.
AOB
Roof - lots of patchwork has been done over the years and roofers have advised that the whole roof now needs redoing. One quote for £178k - waiting for additional quotes. Quality of slates isn't good - needs re-doing. Plan is to fundraise asap. We were originally looking at a phased approach but most roofers have said that we should consider doing in one go. Member suggested that we may need to look into Qarze Hasne - approx. lifespan is 6 months so this may be something we consider.
Is it worth adding another floor at the same time? Probably not feasible at this stage.
Cash reserves - how much do we need to save and then raise as roof needs doing asap. Committee confirmed that we need to leave approx. £100k.
Timescale for work? 2-3 months to complete from start to finish.
Could we raise funds by having a recommended donation amount from each member to raise funds for the roof?
Could we sell houses that we currently have? This can be looked into as an option depending on costs? Current plan is to highlight the cause to the community via a newsletter to raise funds. SGM for anything else.
Membership model? SA advised that someone asked last year regarding abolishing the member fee model and that has been discussed with individuals. We need a governance structure and how we replace it. Newer masjids don't have a member fee model so it raises Questions in the community. It's a challenge that we as a community face. Engagement is a challenge. Should we look at online payments? Yes Insha'Allah
Efforts in community and Rabetah - gap in women's taalim. Meeting has been held with them to try and do more. Focus on youth - looking at options. Commended us on bits that we're already doing - alhamdulillah. Rabetah will receive feedback from across and we are also looking at what other organisations do.
Women's prayer space. We try to give access as and when required but don’t have a dedicated space.
Office bearers stepped down as per constitution. Members elected the following:

Badre Alam Aswat stepped down as vice-treasurer. Replaced by Hafiz Mohammad Dawood - proposed by Kalim Lajporia and seconded by Adam Bhai Ravat.
Ebrahim Vachhiat & Hafiz Akbar Dabharia - proposed by Kalim Lajporia and seconded by Hafiz Masihulla Sacha. Bashir Bhai Khalifah - Vice-Secretary - proposed by Adam Bhai Ravat and seconded by Ahmed Chacha Lambat.

All praise to the Almighty and peace and blessings upon our beloved Prophet Muhammad SAW. Alhamdulilah, through the mercy of the Almighty and Duas of all our beloved Muslim Brothers and Sisters we are now in the 18[th] year, since the opening of Dawatal Islam Mosque.
It is through the grace of the Almighty that I had been given an opportunity in the role and it is a role that I with the assistance of my fellow trustees, committee members and community in general have tried to do to the very best of my ability over a number of years. I sincerely apologise for any trouble or difficulty I or any member of the Executive Committee has caused to any brothers or sisters. Although we are now in our 18[th] year, we as a community should never forget the blessings that the Almighty has bestowed upon us and the duas, work and sacrifice done by brothers/sisters over a number of years to enable us to have such a beautiful Masjid/Madresah. Some of the brothers/sisters are no longer with us, we pray that the Almighty elevates their status in Jannat and accepts everyone’s efforts. Ameen.
Over the last 12 months the main objective has been to try and make the Masjid the focal point of our community and to try and ensure that it is frequented as much as possible by those living in the community. We have had and continue to have challenges from various angles. We pray that the Almighty protects us and all the Masajids and Madresahs. I humbly request the whole community to respect, encourage, assist and show love to each other. It is only through working together and having some kind of worry and concern that we can tackle these challenges. I pray that the Almighty keeps us united and improve the situation of our community and the wider Ummah. Ameen.
Throughout the year we have been blessed to have 3 Imams in Molana Azhar Patel Saheb, Moulana Suleman Laher Saheb and Kari Ebrahim Mayet Saheb who have provided great dedication. They continue to do so and we pray that the Almighty accept all their efforts. Ameen. We pray that the Almighty enables us all to work well with all our Imams and benefit the community. Molana Abubakr Divan Saheb and Molana Zakariya Abid Saheb continue to provide excellent support and dedication. May the Almighty accept everyone’s efforts. Ameen.
We continue to be enlightened by the presence of many prominent Ulamah’s from both locally and nationally. We pray that the Ulamah’s continue to keep coming to the Masjid and blessing us with their presence and advices. We have to take up these opportunities to participate in such programmes. A humble request for all brothers and sisters to participate whenever possible as it will only be beneficial.
Our Madresah, Alhamdulilah continues to improve. Our Headteacher, Molana Zakariya Sidat Saheb, all the Ustads, the Apas, Caretaker and Madresah Committee have provided dedication and commitment to ensure that our Madresah continues to move in the right direction. We appreciate the efforts of all the parents who ensure that their children attend the Madresah as regularly as possible. May the Almighty safeguard all our children and bless all the families. Ameen.
We have a great need to record our appreciation to our Moazzins for the promptness in delivering the Adhan on time for each Salat. In addition to this, we need to record our sincere gratitude to the individuals who observed Itikaf during Ramadhan, all the people who assisted with feeding the many guests throughout the year for the various programmes, this includes individuals who come for chanda collections, individuals who assist with cleaning the Masjid, the individuals who assist with the food/clean-up programmes and to all the individuals who have contributed or assisted in any capacity. May the Almighty accept everyone’s efforts. Ameen.
In relation to the roof, we would like to express our gratitude to everyone for their duas, support and concern. We have had many conversations with many people and we have been up front and honest. Furthermore we acknowledge the attendance of the brothers who could attend the update/awareness meeting on Sunday 15[th] January. This was a really productive meeting and provided a clear picture to every one of the plans going forward. A further update will IA be given at the AGM/Mashura.
We have continued to build on our Outreach work which has enabled us to help all sections of the community. Last summer we saw the return of our Annual Fun Day for brothers and sisters. After a number of years where we were unable to hold a Fun Day, we had an amazing turnout and a good amount of money was raised to help the Masjid/Madresah. We express our sincerest gratitude to all brothers and sisters who contributed/assisted and attended the event. We pray that we continue to have such events where we can bring the community together.
The enthusiasm from the youth has led to the setting up of the first Advanced Islamic Studies Class under the supervision of Moulana Suleman Laher Saheb and Moulana Abubakr Diwan Saheb. We now have two classes set up, one for Adults and one for the younger lads. All praise to the Almighty we are in the process of having a similar initiative for the Sisters.
The connection with the Huddersfield Town Foundation and the Kirklees Youth Alliance has enabled us to continue with the Premier League Kicks Sessions.
Over summer we had a number of sessions for the younger generation and their parents which placed a focus on reading and the benefits of reading Islamic books. A number of books were borrowed and brought back from the earlier sessions. The sessions were really well attended and we hope to develop this further.
Towards the latter part of summer and over the last few months we have undertaken a project in connection with The Soothill Community Association which involved applying for funding from One Community and looking to help people who were struggling with gas/electric arrears, food costs, one off items such white goods, uniform etc. All praise to the Almighty through our connection with a number of organisations we were able to help a number of families. Sadly, in these difficult times, if we already did not know many people are struggling. We pray that the Almighty makes it easy for everyone. Ameen
Through this project is has become more evident that there are many people, in particular single mothers who need help. Furthermore domestic violence is rife. We cannot turn a blind eye to this and have to continue to look at ways to support everyone. We continue to liaise with the Council and other partners to ensure that we access any support available to help.
We have worked in partnership with a number of local, national and international charities to help humanity. We pray that the Almighty accepts everyone’s support and eases the situation for anyone in any troubles and hardships.
The cycling club has been established which has enabled us to provide a number of different sessions for all sections of the community. From learn to ride event to bike repairs/maintenance. We would like to acknowledge the support of all the volunteers who have assisted and everyone who has participated. We expect the club to develop and continue to help all sections of the community with a focus on physical, mental and social wellbeing.
We express our gratitude to the sisters for their duas, support and enthusiasm to put on events. The support they have provided throughout the year is not unnoticed and we pray that the Almighty accepts all their efforts and keep them involved in the work of the Masjid/Community. Ameen
We were nominated for 3 awards at the Beacon Mosque Awards which highlighted the work of the Masjid/Community on a national level. Our intention as you will know is not for recognition, the number of hours that all the volunteers put in is to make a difference and to enable everyone to become connected to the Masjid. We pray that the work continues with sincerity. Ameen
The plan for the future is to continue working as hard as possible to ensure that the Masjid is full for every Salaat and to create an environment like that of our Prophet (SAW)’s beloved Masjid-E-Nabawi in Madinah Al Munawwarah.
The Annual General Meeting (AGM) is a Mashura for the year*. We sincerely hope that you can come to discuss how we can take things forward. The harsh reality is that we often do not get the required quorum which means that the Mashura is delayed. We are asking for individuals to spare a couple of hours for the sake of the Masjid. There are many challenges ahead which I am sure that we can collectively meet through Mashura.
We ask for forgiveness for our shortcomings and again thank everyone for their support in any capacity. May the Almighty reward everyone. Ameen.

Responsibilities and basis of report Independent examiner’s statement
I report to the trustees on my examination of the accounts of the Daawatal Islam Mosque for the year ended 31 December 2022, which are set out on pages 6 to 7.
Responsibilities and basis of report
As the Charity's trustees you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (‘the Act’). I report in respect of my examination of the Charity’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.
Independent examiner’s statement
I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect:
-
accounting records were not kept in respect of the Charity as required by section 130 of the Act; or
-
the accounts do not accord with those records; or
-
the accounts do not comply with the applicable requirements concerning the form and content of accounts setout in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a ‘true and fair view' which is not a matter considered as part of an independent examination.
I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.

Headteacher’s Report
I pray this report meets you all in the best of health and Imaan.
The Madrasah continues its journey to improve with your support and duaas. We currently have 225 students on roll which is a significant increase considering we would usually hover around 185 – 190 mark in the past years. The increase in number brings its own challenges of admin work, providing extra support for less able students, staff recruitment etc but alhumdulillah we have been able to operate smoothly.
Throughout the course of the year, the Madrasah hosted various programs including sports activities during the summer, our Ramadhaan radio show which concluded with a “build an ark” competition, trip to Lydgate Lodge, Fajr Knights initiative and a parenting seminar. May the Al-Mighty reward all those who supported us towards each initiative.
In February 2022 we were honoured to host Hifz Quran Khatam for three of our students. We were blessed with the presence of Mufti Moosa Badat Saheb, Moulana Abdur-Rauf saheb and Sheikh Suleman Moola saheb of South Africa. It was truly a momentous occasion for our community. May Allah keep the Quran in the hearts of the three huffaaz and make them a beacon of light for the community of Soothill and for the Ummah at large.
After months of consultation with the Madrasah Committee, fees were increased from £30.00 per month to £37.50 for Nazirah classes and from £35.00 per month to £45.00 per month for Hifz classes. For the coming years, I would recommend working towards a five-year plan clearly presented to parents of any fee increase. As we all ride through the high cost of living, it is important we help and support the vulnerable.
Assessments have taken place daily since the beginning of the 2022-23 academic year. With the arrival of our respected Imaam; Moulana Suleman Laher saheb, a strong leadrership team (SLT) has been enacted and generally all matters are decided through mashwarah.
The Madrasah invested in much needed smart screens and tablets to help staff deliver lessons. Alhumdulillah they are being put to great use and inshaAllah will aid our students learning in this digital age.
Finally, I would like to express my sincere thanks to the Madrasah Committee members who have,as always provided huge support and guidance.Helping the Madrasah navigate through the many different challenges. Their service is one of the toughest volunteer roles of all, and they performed with dedication and tenacity.
May the Al-Mighty reward you all abundantly in both worlds and May He accept us to serve his Deen with sincerity, Aameen.
And all praises belong to the Al-Mighty.
